A virtual receptionist is a remote human, AI system, or combination of both that answers calls for a business and handles them according to its instructions. Depending on the service and plan, it may take messages, answer routine questions, screen or transfer calls, capture lead details, or schedule appointments. The key is to check exactly which tasks, hours, and billing rules are included.
How a virtual receptionist works
The business provides information such as its greeting, hours, frequently asked questions, call-routing rules, and instructions for messages or urgent calls. The receptionist then answers remotely, often in the business’s name, and follows those instructions. The service may use a dedicated business number, call forwarding, or another phone-system arrangement; confirm the setup with the provider.
“Virtual receptionist” describes a service model, not a person working at a particular desk. Some services handle only basic answering and messages, while others offer additional call-handling tasks. Those tasks depend on the provider and plan, not the label alone.
Who handles the calls?
Human receptionist
A remote person answers calls and follows business-specific instructions. Depending on the plan, human receptionists may screen or transfer callers, take messages, collect new-lead details, or schedule appointments. Abby’s service description provides examples of these functions.

AI receptionist
Software handles some or all of the conversation. Provider descriptions include answering routine questions, taking messages, booking appointments, sending notifications, and transferring urgent calls. These descriptions explain what vendors say their systems can do; they do not establish independent accuracy or performance rates. Examples appear in the service descriptions from VirtualReception and Reception.ai.
Hybrid service
A hybrid service combines automated handling with access to a human team, but the handoff rules vary. Ask which situations trigger a transfer to a person, whether callers can request one, and what happens outside the human team’s coverage hours. ReceptionHQ’s service information describes a human-and-technology approach.
What can the service do?
Possible tasks range from recording a message to taking action during or after a call. Examples listed by providers include answering supplied FAQs, capturing lead information, connecting callers, scheduling, taking payments, dispatching, and completing follow-up work. These are provider-specific examples, not standard inclusions. Ruby describes functions such as FAQ responses, lead capture, scheduling, payments, and call connection on its service page; Nexa notes that receptionist work can include scheduling, dispatching, follow-up, and after-call work on its service page.

For each task your business needs, establish whether the service can perform it, whether it requires a human, what information or system access is needed, and whether it costs extra. “Answers calls” does not by itself mean the service can book into your calendar, qualify a lead, or resolve a caller’s issue.
How to decide whether it fits your business
Start with the calls you receive and what should happen to each one. A useful call-flow outline might specify that routine questions receive an approved answer, new inquiries are recorded with contact details, urgent issues are transferred to an on-call person, and other callers can leave a message. Use that outline to assess providers rather than relying on a general feature list.
- Identify the calls to cover: Decide whether you need overflow coverage, after-hours answering, all incoming calls, or only certain call types.
- Set the desired outcome: Specify when callers should receive an answer, leave a message, be screened, be transferred, or book an appointment.
- Check systems and access: Confirm support for the phone system, calendar, or CRM you use, and whether the required integration is included.
- Write escalation rules: Define which calls are urgent, whom to contact, and what the service should do if no one answers.
- Decide what callers may be told: Prepare approved answers and clarify which questions must be referred to your staff.

- Are calls handled by people, AI, or both, and how does escalation work when a call cannot be handled?
- What days and hours are covered? Are holidays included, and which languages can callers use?
- Can the service answer only supplied FAQs, or can it also book, dispatch, transfer, or take other actions?
- Which phone systems, calendars, and CRMs are supported? Are setup and integrations included?
- How are usage and after-call work counted? What are the included minutes or calls, and what are the overage rules?
- Are there separate charges for setup, bilingual answering, holiday coverage, scheduling, or call transfers?
- Can you review call logs, summaries, or recordings? What privacy controls and retention practices apply?
Billing may include more than time spent speaking with callers. Nexa notes that follow-up and other after-call tasks can count as receptionist work; ask how each activity is measured. Ruby advises checking for possible additional charges, including for holiday coverage, bilingual service, scheduling, integrations, and setup. A provider should explain which of these apply to the specific plan you are considering.
Ask how recordings and caller information are handled, including who can access them and how long they are retained. There is no single retention standard established across providers, so verify the policy for the service and plan rather than assuming practices are uniform.
How virtual receptionist pricing works
There is no reliable market-wide price range established by the provider pages cited here. Vendors publish individual plans with different features and billing units, so advertised figures are not automatically comparable. For example, Abby’s page advertised plans from $165 per month when it was observed; that is a provider-specific page figure, not a current quote or market benchmark. VirtualReception’s page displayed differing monthly figures in its plan information and FAQ, another reason to confirm the current price and billing basis directly.

Reception.ai presents a comparison using the 2025 U.S. median receptionist wage, but describes it as a wage-based comparison. It is not an independent study of savings from virtual receptionist services and should not be treated as one.

Does a virtual receptionist answer every call and perform every task?
Not necessarily. Coverage hours, usage limits, call handling, integrations, and tasks such as scheduling or transfers vary by service and plan. Confirm each requirement before signing up.
Does a business need special hardware?
Not necessarily. These are remote answering services, and the setup depends on the provider’s phone-routing method. Ask what your existing phone system needs to support; a new device is not an inherent requirement.
