A virtual receptionist answers business calls according to rules you set. Depending on the service and plan, it may use live receptionists, AI, or a combination, and can handle tasks such as taking messages, routing urgent calls, capturing leads, answering approved questions, or booking appointments. The key is to match the service model and billing terms to your callers and actual call volume—not to assume every plan does the same work.

How a virtual receptionist works

You decide which calls to send to the service, when it should answer, what it may tell callers, and what should happen when a call needs a person at your business. The receptionist then follows those instructions and sends messages or caller details to the destinations you choose.

For example, Ruby describes its service as human answering supported by AI tools and states, “When a call routes to Ruby, a trained receptionist—not a bot—answers on your behalf.” That is Ruby’s description of its own service, not a definition that applies to every provider. Smith.ai’s current pricing page presents an AI-first answering service, with a separate live-agent network available for escalation. Check the exact plan and escalation path rather than relying on the label “virtual receptionist.” Ruby and Smith.ai describe their respective service approaches.

How to set up call coverage

There is no single setup process across providers. In general, the business defines its call-handling rules, routes the relevant calls, tests the path, and checks that messages or caller details reach the right person or system.

  1. Set coverage hours: Decide when the service answers, including whether you need evenings, weekends, or holiday coverage. Smith.ai says businesses can choose answering hours and send calls outside those hours to a selected number or voicemail.
  2. Choose which calls to route: Configure your business phone system or forwarding rules so the intended calls reach the service. Decide what happens when it is unavailable or closed.
  3. Write the greeting and instructions: Specify what the receptionist can answer, what information to collect, which calls to transfer, and when to escalate or take a message.
  4. Choose message destinations: Confirm where messages and caller information will appear. Ruby says messages can be available in its app or sent by email or text, and calls can be transferred to a number you select.
  5. Test and refine: Call the business number from another phone. Check the greeting, routing, transfer behavior, after-hours path, and delivery of the resulting message or caller details. Update instructions when your services or procedures change.

Provider descriptions of these workflows are available in Smith.ai’s service information and Ruby’s FAQ.

How to compare plans against your needs

Build your comparison around the calls you actually receive and what should happen to each one. Verify the details at the plan level; a provider’s feature list does not establish that every feature is included in every plan.

How much a virtual receptionist costs

There is no single standard price because providers use different billing models. Ruby’s answering-service page lists plans starting at $245 per month for 50 minutes. Smith.ai’s AI receptionist page lists monthly plans with included call counts and per-call rates, and describes charges for calls beyond the allowance. These are time-sensitive prices published by the providers; verify the current plan terms directly before buying.

Ruby’s answering-service pricing and Smith.ai’s pricing page show why a headline starting price is not enough to compare. Ruby’s pricing guide describes per-minute and per-call pricing as common structures and advises checking for after-call work fees: Ruby’s virtual receptionist cost guide.

Estimate the invoice at your call volume

Use your recent call history to estimate how many calls the service would answer and, for a minute-based plan, how much answering time those calls could use. Then apply each provider’s included allowance and overage rules. The lowest advertised starting price may not produce the lowest expected bill if your calls are longer, your volume exceeds the allowance, or billable after-call work adds cost.

Ask each provider:

  • How does it count a billable call or minute?
  • Do transfers, voicemail handling, or after-call work count toward usage?
  • What is charged when you exceed the included calls or minutes?
  • Do unused calls or minutes roll over?
  • Are onboarding, integrations, or specialized workflows extra?
  • What cancellation notice or commitment applies?

Smith.ai states that its listed AI receptionist plan is month-to-month and requires 30 days’ cancellation notice. That is a vendor-specific term, not a general rule for virtual receptionist services. Confirm the current agreement with any provider before signing.

Privacy-sensitive and health-related calls

Ruby advertises a HIPAA-oriented answering service. Its FAQ says customers must opt in and sign a Business Associate Agreement to use that service. Treat this as Ruby’s stated arrangement, not as a determination that a provider, plan, or your business is compliant in every situation. Verify the contract terms and assess your own legal obligations for the information and calls you handle. The cited provider pages do not establish requirements for every industry, jurisdiction, or call type. Ruby’s FAQ describes its service arrangement.

How to interpret provider performance figures

Ruby’s 2026 vendor page reports more than 10 hours reclaimed per month, more than 1.1 million conversations handled monthly, and an average receptionist answer time under 10 seconds. These are Ruby’s marketing claims; the cited page does not provide an independent measurement method. They are not guarantees or evidence of the result a particular business should expect. Ruby’s vendor page is the source of those figures.
