Keep a source-system ID as an explicit text column unless you specifically need it to act as a row label. This avoids confusing the ID with a DataFrame’s generated row positions and helps preserve formatting such as leading zeroes. In Python/pandas and R/readr, set the ID’s type deliberately when importing, then inspect the parsed data before using it.
Choose whether the ID should be a column or an index
A record ID identifies a record in the source data. It is not automatically the same thing as a table’s row number or position. Keeping the ID as a regular field is usually the clearest choice when you need to filter on it, export it, or retain it for later processing. Use an index or row label only when that representation is useful for your analysis.
Python and pandas
By default, an ID can remain an ordinary DataFrame column. To make one or more CSV columns the row labels, pandas provides index_col in read_csv; choose the form that fits how later code will refer to records. See the pandas read_csv documentation.

If you need the ID to remain visible as source data for downstream steps, keep it as a column.

R and readr
For comma-separated input, use readr::read_csv(); use readr::read_delim() when you need to specify a delimiter. Both support column specifications. Here the ID stays a field in the tibble:

Many IDs contain only digits but are labels rather than quantities. If an ID such as 0042 is read as a number, it can become 42, losing information encoded by the leading zeroes. Set the import type to text when the source representation matters; do not rely on inference to decide whether an identifier is numeric.

Set the type explicitly in pandas
pandas documents using dtype controls to specify column types. For an ID that must remain text, a typical approach is to use str or object for that column and choose missing-value handling deliberately. Consult the pandas development API reference for read_csv and verify behavior against the pandas version in your environment.

)Consider the file’s representation of missing IDs as well: NA handling can affect which text values are interpreted as missing rather than retained literally. Choose the setting to match the data, rather than assuming every blank-like value should be treated alike.

Set the type explicitly in readr
When no column specification is supplied, readr guesses column types and reports its guesses. Review that message; if the ID was guessed as numeric, provide an explicit column specification so it is read as text. See readr’s read_delim documentation for the delimited-file readers and specification options.

Check the parsed data before processing it
A successful import does not by itself prove that the file’s structure or ID values were interpreted as intended. Inspect the resulting table before filtering, exporting, or matching records. pandas’ tutorial likewise recommends checking data after reading it; see pandas’ IO tutorial.
Validation checks for pandas
- Check
df.columnsto confirm the ID is present as a column if that was the intent. - Check
df.indexto see whether pandas assigned row labels as expected. - Inspect representative ID values, especially values with leading zeroes or other meaningful formatting.
- Check the row count and compare it with what you expect from the file.
Validation checks for readr
- Review the type-guess message when you have not supplied a complete column specification.
- Inspect the ID column’s type and sample values after import.
- Check the row count and confirm that the parsed columns align with the file’s fields.
Investigate unexpected index or column shifts
Malformed rows and trailing delimiters can make parsing behavior surprising. pandas documents cases where a first field can be interpreted as an index. If the file’s row shape or parsed columns look wrong, compare the result with index_col=False, which disables automatic index interpretation in the documented case. students = pd.read_csv("students.csv", index_col=False)Use this as a diagnostic or targeted parsing choice when the file structure warrants it; then re-check the column names, row count, and ID values. Do not treat a shifted field or unexpected index as proof that the source ID itself is valid.
Use the intended ID when matching records
For later matching or combining data, use the field that is actually the record identifier, not a generated row position. Before relying on it, check that the identifier’s values and formatting are preserved and assess whether the field is unique and whether expected records are unmatched. These checks depend on the actual data and operation; the import choices above do not establish the behavior of any particular join.
