AI and automation can help catch missing fields, inconsistent identifiers, duplicate payees, mismatched totals and looming deadlines before you submit 1099, W-2 or ACA forms. Use them as a preflight and reconciliation layer—not as a substitute for a person who confirms what a payment means, who is eligible for coverage reporting, or whether a return is legally correct.
The forms go to different agencies and use different filing systems: many 1099 information returns go to the IRS, W-2 wage reports go to the Social Security Administration (SSA), and ACA Forms 1094-B, 1095-B, 1094-C and 1095-C go through the IRS’s ACA Information Returns (AIR) system. A reliable workflow keeps those routes, deadlines and correction records separate.
What AI can—and cannot—catch
Automation is useful when a check can be defined and compared against a record: a required field is blank, a payee appears twice, an amount differs from the ledger, or a filing date is approaching. AI can help sort exceptions and identify patterns, but a flagged result still needs review against authoritative records.

- Good candidates for automated checks: missing or malformed fields, duplicate records, inconsistent names or employer identification numbers (EINs), totals that do not reconcile, and records that changed after a draft was prepared.
- Require human judgment: whether a worker is an employee or contractor, whether a payment is reportable on a particular form, how to resolve a classification dispute, and whether an employee or dependent meets ACA reporting criteria.
- Not established by a software check: that a source record is true, that a name-and-TIN comparison proves legal identity, or that a return is compliant simply because it passed validation.
The IRS describes matching employment-tax return figures against W-2 and W-3 totals, illustrating why cross-system reconciliation matters. That matching does not make an automated comparison a certification of the underlying data. IRS: Combined annual wage reporting missing Form W-2 inquiries

Build a preflight workflow that ends with approval
- Set the scope by tax year and form. Identify the payment or coverage year, the form family, the recipient-furnishing date, the agency filing date and the required filing channel. Do not use one generic “1099 deadline” for every information return.
- Import source records with provenance. Keep links to the payroll run, general ledger entry, approved W-9 intake record or benefits record behind each prepared form. Record when and from which system each source was imported.
- Run deterministic checks first. Validate required fields and formats, find duplicates, compare identity fields with approved records, and recompute form totals from source transactions. Use AI to organize ambiguous exceptions, not to silently change values or make legal classifications.
- Reconcile to the appropriate control totals. Compare W-2 wages and withholding with payroll and employment-tax reports; compare 1099 box amounts with ledger totals by payee; compare ACA statement counts and totals with the transmittal. Investigate differences rather than auto-balancing them.
- Route exceptions to an accountable reviewer. Show the source, proposed correction, reason for the flag and relevant form-year rule. Require approval for edits, classifications and submissions, and retain who approved each decision.
- Transmit through the right agency channel and track the response. Save submissions, acknowledgements, rejections and correction history together. A “sent” status is not the same as an accepted filing.
What to check on each filing
1099 information returns
Compare each payee’s name and taxpayer identification number (TIN) with the approved intake record, detect duplicate payee profiles, and reconcile payment-ledger totals to the relevant form and box. Flag amounts near a reporting threshold and transactions whose category is unclear for human classification. Name-and-TIN checks can reveal discrepancies; they do not resolve whether a payment is reportable or prove identity.
The IRS’s general instructions discuss incorrect or missing TINs, incorrect information, late or incomplete returns, and correction procedures. The required correction depends on the error and filing method, and some cases require more than one corrected return. Consult the instructions for the specific form rather than applying one universal correction recipe. IRS Publication 1099 (2026), General Instructions for Certain Information Returns

W-2 and payroll reports
Check employee legal names and Social Security numbers against approved payroll records, confirm that the employer EIN is consistent, and flag missing fields, malformed money entries, inappropriate checkboxes, duplicate employee records and unexpected changes from payroll runs. Reconcile W-2 figures to payroll and quarterly employment-tax reports, then compare the W-2 totals with the W-3 transmittal. IRS instructions identify incorrect EINs and employee SSNs among common W-2 errors. IRS General Instructions for Forms W-2 and W-3 (2026)
ACA coverage reporting
For Forms 1094-B, 1095-B, 1094-C and 1095-C, check month-by-month coverage data for missing entries, verify EIN consistency and employee-to-dependent relationships, validate required form codes, and reconcile 1094 transmittal information with the related 1095 statements. A benefits administrator must resolve questions about offers of coverage, affordability, eligibility and employment status from the records and current rules. Employer ACA reporting on Forms 1094/1095 is a different workflow from an individual’s Marketplace Form 1095-A.

Deadlines and filing channels are form-specific
| Filing | Route | Deadline or rule established for the cited year | Preflight implication |
|---|---|---|---|
| Many 1099 information returns | IRS IRIS for many eligible forms; some forms have other listed routes | IRS guidance generally requires electronic filing when a filer has 10 or more covered information returns, aggregated across applicable return types. IRS says FIRE is scheduled to retire beginning with tax year 2026/filing season 2027, with IRIS the sole IRS intake system for information returns then. | Count covered forms in aggregate and confirm the accepted channel for the form and tax year. IRS e-file guidance says transmitter control code processing can take up to 45 days; allow for that operational lead time, which is not a form deadline. |
| Form 1099-NEC for 2026 payments | IRS and recipient | The IRS 2026 guide lists January 31 for filing and furnishing and a $2,000 threshold for the specified nonemployee-compensation and certain attorney-payment items. Weekend or legal-holiday adjustments may apply. | Use this as a year- and payment-specific example, not a threshold or date for every 1099. Check the current instructions and calendar. |
| W-2 series for 2026 wages | SSA wage-reporting channels, including Business Services Online | IRS 2026 W-2/W-3 instructions show February 1, 2027, as the filing due date for the 2026 W-2 series and W-3. | Build the calendar around the applicable SSA filing route and employee statement delivery, and leave time to review payroll reconciliations. |
| ACA Forms 1094/1095 | IRS AIR | Due dates depend on the form and filing year. The IRS guide distinguishes recipient dates from IRS filing dates and identifies March 31 as the electronic filing date for entries marked with an asterisk. | Check the current-year ACA instructions, applicable filing method and AIR schema; do not assume a single fixed date for all ACA returns. |
The e-file threshold and system transition are described in the IRS’s e-file information returns guidance and Topic no. 801. Dates can shift when a due date falls on a weekend or legal holiday; IRS guidance also states that IRIS filings are timely when submitted by 11:59 p.m. on the applicable due date. For the year-specific figures above, consult the IRS Guide to Information Returns and the relevant form instructions.

How to correct a filing error after submission
W-2 errors
If you discover a filed W-2 error, correct it promptly using Form W-2c and, generally, Form W-3c. Provide corrected employee statements as required and keep the original and corrected records linked. Depending on the item corrected, an amended employment-tax return may also be necessary. Follow the current W-2/W-3 instructions and SSA procedures for the specific correction. IRS W-2/W-3 instructions
1099 errors
Preserve the original submission and acknowledgement, identify the error type, then use the paper or electronic correction procedure that applies to that return. TIN and name corrections can have separate instructions. Furnish corrected recipient statements where required and verify the corrected submission’s acceptance. IRS Publication 1099

Rejected or inconsistent submissions
Do not treat a rejection as resolved merely because the correction was resubmitted. Match the rejection to its source record, determine whether the issue is a data-format problem or a substantive discrepancy, correct only what is supported by the records, and retain the new acknowledgement. For ACA submissions, use the relevant AIR schema and business rules; for other returns, use the correction instructions for that form and filing channel.
The IRS identifies potential penalties for late, incomplete or incorrect information returns, including missing or incorrect TINs. Reasonable-cause, de-minimis and other safe-harbor provisions are fact-specific; they are not blanket waivers. See the current general instructions for the applicable rules.
Choose a workflow by controls, not by an AI claim
When assessing payroll, 1099 preparation or information-return filing software, check whether it supports the forms and agency routes you actually use, including initial filings and corrections. Evaluate whether it can:
