Short answer: An Indian merchant starts accepting UPI by onboarding with an acquiring bank. That bank assigns the merchant details, enables a QR or another UPI integration, and defines how settlement, refunds, support and fees work. A customer’s successful payment confirmation is not the same thing as a universal promise that money will reach your bank account within a particular number of hours.

Use the merchant agreement and tariff supplied by your acquirer as the controlling document. The National Payments Corporation of India (NPCI) defines the UPI framework and lists the available acceptance and grievance routes, but it does not set one payout time or one fee for every merchant arrangement.

How to on-board a merchant for UPI

NPCI’s merchant FAQ says a merchant partners with an acquiring bank to enable UPI. The acquirer provides the UPI infrastructure and completes the merchant setup. This is different from simply printing a personal UPI ID or buying a QR display: the merchant relationship, identifiers and settlement account must be configured by the acquiring institution.

What the acquiring bank sets up

  • A merchant identifier linked to your business relationship.
  • Your merchant category code (MCC), which classifies the goods or services you sell.
  • The UPI infrastructure and acceptance channel selected for your checkout.
  • The merchant pool account or bank account into which funds are settled.
  • Procedures for transaction-status checks, refunds, complaints and reconciliation.

Practical onboarding sequence

  1. Choose an acquiring bank or payment provider that serves your business type and location.
  2. Submit the business and bank-account information requested during its know-your-customer and merchant onboarding process.
  3. Confirm the assigned merchant identifier, MCC, settlement account and operating contacts in the agreement.
  4. Select the acceptance mode that fits your checkout (QR, intent, application-based or collect).
  5. Test a low-value payment and verify that the transaction reference, status notification and settlement report identify the correct merchant.
  6. Keep the agreement, tariff schedule and support escalation details where staff handling payments can access them.

A countertop QR stand can make a bank-configured merchant QR visible at a physical checkout. It is optional presentation equipment, not a replacement for acquiring-bank onboarding or a correctly provisioned merchant QR.

What are the available integration modes for merchant?

NPCI names four UPI integration modes. It does not rank them or publish one universal cost or conversion winner. Ask the acquirer which mode it supports, what it requires, and how it exposes status and settlement information.

Mode How the customer pays Where it generally fits Questions to ask the acquirer
QR The customer scans a merchant QR containing merchant information, including the merchant UPI ID and, where applicable, an amount. Countertop, kiosk and other physical checkouts; it can also be presented digitally. Can the QR be static or transaction-specific? How are payment notifications, duplicate payments and reconciliation shown?
Intent An online checkout hands the customer to a compatible UPI app or approval screen with payment details carried into the flow. Web or mobile checkout where the customer is paying on a device with a UPI app. Which apps and devices are supported? What happens if the customer returns without a final status?
Application-based The payment experience is integrated into an application used by the merchant or customer. Merchant apps, marketplaces or other software-led journeys. What software development, credentials, maintenance and status callbacks are required?
Collect The merchant sends a payment request to the customer’s UPI address; the customer approves it in their UPI app. Situations where the merchant has the customer’s UPI details and a push request is practical. How long does a request remain valid, how are declines shown, and how are expired or duplicated requests handled?

Compare each option on five concrete axes: the approval path, fit for physical or online checkout, configuration and maintenance work, visibility of status and receipts, and the settlement, refund, support and service fees in your own agreement. NPCI’s list of modes does not by itself establish that one option is cheaper or faster.

When will a merchant receive money after a UPI transaction?

There is no single merchant payout interval that applies to every UPI arrangement. NPCI says the merchant receives money in the merchant pool or bank account as per the agreement with the acquirer. The agreement may define the account used, settlement cycles, cut-off times, holidays, adjustments and reporting. Check those terms rather than relying on a generic “instant settlement” claim.

  • Use the, easy-to-use, and customizable POS to get started.

NPCI’s FAQ uses this wording: “Merchant will receive the money immediately after customer confirms the payment into the merchant Pool bank account/ merchant bank account as per their agreement.” The final qualification matters: your acquirer determines where and under what settlement schedule the receipt is credited.

Payment confirmation versus bank payout

A customer’s UPI app can show a successful payment while your merchant dashboard or bank account has not yet completed its settlement entry. Treat these as separate events:

  • Customer confirmation: the payer’s bank or UPI app reports that the payment request was accepted.
  • Merchant transaction status: your acquiring system records the transaction and its reference number.
  • Settlement: the acquirer credits the pool or merchant bank account under the contracted process.

NPCI’s customer FAQ describes UPI payments as available instantly and around the clock, but that customer-side statement is not a merchant-bank payout service-level agreement. A provider’s cut-off, reconciliation or risk process can affect when the credit appears in your account.

What a pending transaction means

NPCI describes a case in which the customer’s account is debited but the beneficiary is not yet credited as a delay at the beneficiary bank. The funds are expected after that bank completes its daily settlements. Do not mark an order as finally paid solely because the customer shows a debit; verify the merchant-side status and retain the transaction reference.

Settlement checks for your daily close

  • Match the order number, UPI transaction reference and amount.
  • Check the acquirer’s transaction status before releasing high-value goods or services.
  • Compare the day’s accepted transactions with the settlement report and bank credit.
  • Escalate missing or mismatched entries through the acquiring bank, not through an unrelated consumer support channel.

Where does a merchant register a complaint about a UPI transaction?

NPCI directs merchants to their acquiring bank to raise a grievance or check UPI transaction status. Start with the support route named in your merchant agreement or dashboard. Provide the transaction reference, date and time, amount, merchant identifier, customer-facing status and a description of the problem.

Use the right escalation for the symptom

Symptom First action Information to retain
Customer says “success,” but merchant status is pending Ask the acquirer to check the transaction status; do not create a duplicate charge request. Original reference, amount, timestamps and screenshots or notification IDs.
Customer was debited, but no merchant credit appears Open a status grievance with the acquiring bank and wait for its reconciliation outcome. Customer’s bank reference if available, your merchant reference and order record.
Merchant account shows an unexpected reversal or adjustment Request the acquirer’s settlement explanation and ledger entry. Settlement report date, adjustment amount and related transaction references.
QR or integration is not accepting payments Contact the acquirer’s technical or merchant-support team; confirm that the QR and merchant identifier are active. Terminal or application details, error text, mode used and time of failure.

Keep the provider’s acknowledgement and case number until the ledger and customer outcome are reconciled. This is practical recordkeeping advice; the exact documents and retention period come from your own accounting, contractual and regulatory obligations.

If a customer returns goods or rejects a service, how does the merchant refund the money?

NPCI’s merchant FAQ says: “Merchant will ask the bank to refund the charged amount as per the defined process.” In practice, initiate the refund through the acquiring bank’s merchant dashboard, API or support workflow specified in your agreement. NPCI does not state one refund deadline for all acquirers, so do not promise a universal number of hours or days.

Refund procedure

  1. Confirm the return, cancellation or service rejection under your own sales policy.
  2. Locate the original UPI transaction using the merchant and UPI reference numbers.
  3. Submit the refund for the permitted amount through the acquirer’s defined process. Avoid sending a fresh manual transfer unless the acquirer specifically instructs you to do so.
  4. Save the refund request ID, acknowledgement and amount.
  5. Tell the customer that the refund has been initiated and that posting time follows the participating banks’ process; provide the reference for follow-up.
  6. Reconcile the refund against the original sale and the eventual settlement or adjustment entry.

If the original payment is still pending, ask the acquirer whether it should be allowed to resolve, reversed or refunded. Creating a second payment or refund without a status check can leave both the merchant and customer with duplicate entries.

Pay by Points transactions

NPCI’s Pay by Points FAQ is specific to that feature. It says the merchant receives the full transaction amount through the standard UPI settlement process, while the issuer and NPCI handle the split between points and credit internally. A refund for such a payment goes back to the original payment method, with points credited back to the customer’s rewards account. Do not generalise this feature-specific handling to every UPI payment.

Do merchants or customers pay a UPI charge?

Charges depend on the product, instrument, merchant category and your acquiring contract. NPCI’s FAQ says customers pay no charge for UPI transactions involving linked prepaid payment instruments (PPIs). That customer-side statement does not prove that every merchant arrangement has no acquiring, rental, gateway, software or service fee.

What to verify in the merchant tariff

  • Any merchant discount rate (MDR), service fee or per-transaction charge.
  • Fixed monthly, terminal, QR, software or support fees.
  • Refund, chargeback, reversal or failed-transaction charges.
  • Taxes, minimum commitments, settlement adjustments and invoice timing.
  • Different rates for payment instruments, merchant categories or channels.

Ask the acquirer for the current written tariff and the clause that applies to your MCC and integration mode. Fees can change when a contract, circular or product configuration changes.

RuPay credit cards linked to UPI: a limited rule

NPCI’s 2022 operating circular for RuPay credit cards linked to UPI describes use of the existing UPI settlement process and includes nil MDR for a defined small offline merchant category on transactions up to ₹2,000. That is an instrument-, merchant-category- and transaction-specific rule from that circular, not a universal fee schedule for all UPI merchant payments. Confirm whether your business and transaction meet the circular’s stated conditions and whether later amendments apply.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Material about unbundling MDR for card categories addresses card-acquiring transparency; it is not a complete, current tariff for UPI acceptance. Verify current applicability with the acquirer instead of treating a card rule as a UPI guarantee.
