A transactional email API is only one part of reliable SaaS email. Configure authentication for the domain users see in the From address, align SPF or DKIM with DMARC, and collect provider events that distinguish server acceptance from bounces and complaints. Those steps improve accountability and help diagnose delivery problems, but they do not guarantee inbox placement.

What to set up before sending transactional email

For verification links, password resets, receipts, and alerts, choose an API or SMTP integration, authenticate the sending identity, and route delivery and failure events into your application or operations tooling. The protocols are shared across providers, but DNS record names and setup screens are provider-specific.

Amazon Simple Email Service (SES), for example, supports sending through either its API or SMTP interface and recommends authenticating email to support deliverability. Its documentation covers SPF, DKIM, and DMARC configuration. These controls establish authentication and alignment; they are not evidence that a message will reach the inbox. How DKIM authenticates the sending domain

DKIM adds a cryptographic signature to outgoing mail. A recipient system can use public information published in DNS to check that the signature is valid and that signed message content has not been altered. DKIM authenticates the signing domain; it does not, by itself, prove that the visible From domain is aligned or that the message will land in the inbox.

  • BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.

SES documents four ways to configure DKIM:

  • Easy DKIM: SES manages the signing keys and signs messages. Its current documentation says new Easy DKIM identities default to 2048-bit keys; 1024-bit keys are also supported when needed.
  • Deterministic Easy DKIM (DEED): Regional identities can inherit DKIM configuration from an Easy DKIM parent identity where the regional setup applies.
  • Bring Your Own DKIM (BYODKIM): Supply your own DKIM keys for SES to use.
  • Manual signing: Sign messages yourself rather than relying on SES to apply the signature.

If you send through SES in multiple AWS regions, complete DKIM setup in each sending region unless you are using an applicable DEED inheritance configuration. Do not assume the key size or configuration method described for SES is required by every email provider. See Amazon SES DKIM setup documentation.

How SPF, DKIM, and DMARC alignment fit together

The visible From domain, the envelope sender used by SPF (often represented as the Return-Path or MAIL FROM domain), and the DKIM signing domain are related but distinct identities. SPF checks whether the sending host is authorized for the envelope-sender domain. DKIM checks the message signature and its signing domain. DMARC evaluates whether at least one passing mechanism—SPF or DKIM—aligns with the domain in the visible From address.

That alignment requirement is why a valid SPF record or valid DKIM signature alone does not necessarily satisfy DMARC: the authenticated domain must also align with the visible From domain under the domain’s DMARC policy. SES’s DMARC guidance recommends a gradual rollout beginning with monitoring mode, p=none. Review reports and effects on mail flow before advancing to an enforcement policy such as quarantine or reject; those policies can change how receivers handle messages that fail DMARC. When SES custom MAIL FROM is useful

SES’s custom MAIL FROM setting is optional and provider-specific. It lets you use a subdomain of the parent domain of a verified identity for the envelope sender. SES requires an SPF TXT record and an MX record for that custom MAIL FROM domain. Its documentation advises choosing a subdomain that is not also used to send or receive email.

A custom MAIL FROM domain can provide SPF alignment with the visible From domain, depending on the domains you configure. DKIM alignment is an alternative route to satisfying DMARC, so custom MAIL FROM is not a substitute for considering both mechanisms. During setup, SES offers a choice between falling back to its default MAIL FROM domain if the custom MX record fails, or rejecting the message when the custom domain is not verified. These instructions apply to SES; other providers may require different records or offer different fallback behavior. Amazon SES custom MAIL FROM documentation

What a delivery webhook proves—and what it does not

A delivery event is useful evidence, but its boundary matters. Postmark triggers its delivery webhook after the destination mail server responds OK. That means the receiving server accepted the message; it does not prove inbox placement, visibility to the recipient, or that anyone read it. Postmark puts the distinction plainly: “Delivery means the receiving server accepted your message, not that it reached the inbox.” Postmark delivery webhook documentation

Make the same distinction in product status labels and dashboards. Use wording such as “accepted by receiving server” for this event rather than “in inbox” or “read.” A provider event describes what the provider observed, not the recipient’s subsequent experience.

How to collect delivery, bounce, and complaint events

Send provider events to an application endpoint or an event-processing service so your system can act on them and preserve an operational record. Postmark associates webhooks with a message stream and supports delivery, bounce, and spam-complaint triggers. Its setup tests enabled event types and requires successful verification before delivery; a persistently failing event type can be paused until it is repaired and reverified. Postmark webhook overview

Build your consumer to record provider message identifiers, recipient-level outcomes, and the event details needed for troubleshooting. Make processing safe to repeat, since event handling should not create duplicate side effects if a notification is retried. Treat storage, retry handling, and internal state mapping as application design choices, not as a claim that a particular provider guarantees a specific delivery or retry behavior.

How to handle hard bounces, soft bounces, and complaints

Do not collapse every negative event into a single ambiguous “email failed” state. Postmark’s bounce webhook reports processed outcomes such as hard bounce, soft bounce, and undeliverable. Its documentation describes using bounce information to help users correct addresses, suppress bounced recipients from further sending, reactivate addresses where appropriate, generate application-specific statistics, and alert a team. Postmark also exposes spam-complaint webhook triggers. Postmark bounce webhook documentation · Postmark webhook overview

  • Hard bounce: Preserve the provider’s classification and apply your suppression policy so the application does not keep sending to an address that cannot be reached. Where useful, prompt the account holder to correct the address.
  • Soft bounce: Keep it distinct from a hard bounce and follow the provider’s event semantics when deciding whether to retry, monitor, or suppress.
  • Undeliverable: Record the outcome and provider details so support and operations can diagnose it without implying the recipient read or saw the message.
  • Spam complaint: Capture the complaint signal and apply a clear sending policy; make it available to staff responsible for email operations.

Preserve the original provider event and map it into a clear internal status. This gives support teams a useful history, lets dashboards report meaningful outcomes, and avoids treating server acceptance, temporary failure, permanent failure, and complaint as interchangeable states.

How to choose a transactional email provider for a SaaS app

Feature documentation can help you judge implementation fit, but it cannot establish which service will achieve better inbox placement for your particular sending domain, recipients, and message mix. Compare operational capabilities rather than inferring a deliverability ranking.

Decision area What to verify Documented example
Sending integration Whether your application can send using the interface it supports, such as an API, SMTP, or both. SES documents API and SMTP sending.
Domain authentication Which DKIM methods are available, how SPF or a custom envelope sender is configured, how DMARC alignment is achieved, and whether setup is needed by region. SES documents Easy DKIM, DEED, BYODKIM, manual signing, custom MAIL FROM, and DMARC configuration.
Event evidence Whether delivery, bounce, and complaint events are available; what each event means; how webhook endpoints are verified; and which recipient-level details are included. Postmark documents delivery, bounce, and spam-complaint webhooks.
Operations visibility Whether the service provides metrics and alerting paths that fit your monitoring workflow. SES documents a reputation dashboard and publication of metrics to CloudWatch.

Choose based on the integration and operational evidence your team needs. Authentication records and event coverage are practical requirements for a well-observed system, not a guarantee of inbox placement.
