Use Bluebeam Revu’s drawing markups and Markups List to capture each construction deficiency, assign responsibility, track status, and generate a report. Prepare the PDFs and list fields before the walkthrough, then record one markup per issue in a Studio Session and update each item until it is resolved.
What you need before starting
Bluebeam’s Studio Sessions guide for Revu 21 lists these prerequisites: Revu 21, a Bluebeam Core, Complete, or Max plan, a valid Bluebeam ID, and reliable internet. Confirm that collaborators can access the Session and have suitable permissions before the field team begins. Bluebeam’s Studio Sessions guide covers the setup.
Prepare the drawing PDFs and punch-list fields
Organize the sheets
In Revu for Windows, combine or extract pages, rotate sheets, and remove pages that are not needed. Reduce file size if that will make sharing easier. Add page labels so sheets can be sorted and filtered in Revu’s Markups List. Page labels do not display in Bluebeam on web and mobile, so do not rely on them as a field-visible label in those clients.
If your team needs to sort items by room, floor, or another drawing area, add Spaces in Revu. Spaces also do not display in web and mobile. A markup created there inside a Space can still have that Space recognized in the Markups List when viewed in Revu. These platform distinctions are documented in Bluebeam’s punch and field issues workflow.

Choose columns and where to save them
Plan the fields the team needs before capturing issues. Bluebeam’s punch-list guidance identifies Subject for the discipline, Responsibility for the person or party who should handle an item, and Space for the drawing area. Add custom columns for project-specific details that need to be sorted, filtered, or included in reports. See Creating a Punch List with the Markups List.

Bluebeam’s custom-column sharing guidance applies to Revu 21 and Revu 20. It also states that in Revu 21, creating custom statuses requires a Core, Complete, or Max subscription. If collaborators need custom statuses in a Session, save those statuses to the PDF before uploading it.

Set up a Studio Session for the walkthrough
Upload the prepared drawings to a Studio Session and invite the team with permissions appropriate to their roles. The Session is the shared workspace for the drawing markups; the Markups List is where the team can review and manage the recorded items. Record deficiencies during the walkthrough
- Open the Studio Session and navigate to the correct drawing sheet.
- Create one clear markup for each deficiency. Avoid combining several unrelated issues into one markup; separate records are easier to assign, filter, update, and report.
- Set the item’s status and fill in the relevant fields, such as Subject, Responsibility, and Space. Add any project-specific information in the custom columns your team prepared.
- Use a consistent markup style or a prepared Tool Set symbol so the drawing is easy to scan.
- Add supporting photos in a way that matches how the team will view the drawings. Platform differences are important, as explained below.
Bluebeam’s official field workflow says: “Denote issues with markups, using one markup per issue.” Its procedures cover Windows, iPhone and iPad, and Android. The workflow documentation is the reference for device-specific steps.

Choose the right photo method

These limitations are stated in Bluebeam’s punch and field issues workflow; choose a method based on the clients the project team actually uses.
Manage assignments and progress in the Markups List
Treat the Markups List as the working record for drawing markups rather than transcribing field notes into a separate list. Sort and filter by recorded fields to isolate a discipline, area, responsible party, status, or other project data. The list only helps with information that has been entered consistently, so establish field names and conventions before the walkthrough. Bluebeam explains list management in its Markups List guide.

As the work proceeds, update each item’s status—for example, Open, In Progress, then Completed. Collaborators can continue working until the issues are resolved. Bluebeam says offline changes sync when a user reconnects, but team members should still reconnect and confirm their updates have synchronized before relying on the shared list for closeout. Notify responsible people and issue a report
Send an alert from Revu on Windows
In Revu on Windows, add the needed information to the Markups List, right-click the relevant markup, choose Alert Attendee, and select the person responsible. Bluebeam says this sends a Session notification and an email alert. This documented alert workflow is part of its punch and field issues guidance.

Generate a summary
Create a Markup Summary Report as a PDF or CSV, selecting the columns, filters, sorting, and output options appropriate for the recipient. Review the selected fields and filters before issuing the report so the exported list reflects the intended scope.
There is one important PDF-report constraint: when the source files are in a Studio Session, Append and Hyperlink to Current PDF is unavailable. If the report must be appended and hyperlinked to the drawing, download the files and run the summary from locally saved copies. Bluebeam documents this limitation in its workflow instructions.
Prepare reusable punch symbols in bulk
For recurring projects or a large symbol set, Bluebeam documents a bulk-import process: prepare a CSV in Excel with each symbol’s subject, abbreviation, and definition, then import it into a new or existing Tool Set in Revu. The abbreviation appears on the drawing, while the definition appears in the Markups List Comments field. This is a software setup workflow; it does not require a separate physical symbol kit. Follow Bluebeam’s bulk-import instructions.
