Digital decluttering is a practical review of what you keep and what keeps reaching you: files, photos, apps, messages, email, and notifications. The aim is to make useful information easier to find and cut avoidable accumulation and interruptions—not to pursue an empty device or treat decluttering as a mental-health cure.

What digital decluttering means

Digital decluttering brings personal information management and everyday habits together. It covers what you capture and retain, how you organize and retrieve it, how you manage attention and reminders, and how you deal with duplicate versions or scattered material. That can mean sorting a photo library, removing an unused app, unsubscribing from email, or changing notification settings—not just deleting files. Microsoft Research’s personal-information-management framework helps explain why finding and maintaining information matters as much as reducing its volume.

The idea has gained visibility as phones and computers collect more personal material and interrupt us with new inputs. Cleveland Clinic’s reader-facing guidance puts it simply: “If your phone is filled with apps, photos, texts and emails, it may be time to do some digital decluttering.” Its practical recommendations include making folders and renaming files, not only removing them.

Why the rise is about habits as well as storage

Deleting a batch of old files can reduce a backlog, but it will not stop the same material from accumulating again. Email subscriptions, notifications, downloads, photo habits, and inconsistent naming all affect how much digital material builds up and how hard it is to manage. A sustainable approach therefore considers both stored content and the inputs that replenish it.

Reported survey figures offer a glimpse of how people manage digital material, but they should not be treated as a complete picture of everyone’s habits. Kaspersky’s 2026 figures say 72% of smartphone users regularly manage or delete photos and videos, compared with 49% of PC users; for organizing files and email with folders or naming conventions, the figures are 46% of smartphone users and 57% of PC users. The surfaced account does not establish the survey’s full methodology or geography, so these are reported figures rather than universal benchmarks. Kaspersky’s report is the source for those comparisons.

A safe way to declutter one area at a time

Work through one domain at a time. The goal is a system you can keep using, not a perfect taxonomy or a one-time purge.

  1. Choose the area creating the most friction. Pick one place, such as your downloads folder, desktop, inbox, photo library, unused apps, or notifications. A focused pass is easier to assess and less likely to lead to rushed deletions.
  2. Remove items that are clearly disposable. Start with unwanted mailing lists, apps you no longer use, duplicate or unwanted photos, and old downloads you recognize. If a file’s value or retention needs are unclear, leave it in place until you can decide safely.
  3. Make the material you keep easy to retrieve. Use a small number of understandable folders and file names that describe what a document is. Cleveland Clinic’s guidance also recommends folders and renaming files. Avoid building a complicated filing scheme you are unlikely to maintain.
  4. Check protection before removing local originals. If you want to move selected files off a device, an external drive is one possible storage option. TechRadar has suggested it as an alternative to ongoing cloud-storage costs, but it is not a universal backup plan. Before deleting an original, confirm that the file is backed up, that the backup contains the version you need, and that you can access or restore it.
  5. Reduce the incoming stream. Unsubscribe from unwanted email and review notification settings for apps that interrupt without adding value. This addresses some causes of renewed clutter instead of only clearing what has already arrived.
  6. Repeat lightly. Revisit one domain on a recurring basis, with a short review that fits your routine. A modest maintenance habit is more realistic than expecting one cleanup to keep everything organized indefinitely.

KonMari’s digital-decluttering guide also discusses unwanted photos, email, and mailing lists. Its examples can help identify places to review, but the right scope depends on what you need to retain and retrieve.

Choose deletion, archiving, folders, or backup by purpose

These methods solve different problems. Deletion is for material you no longer need; archiving keeps material out of the way while preserving future access; folders and naming help you find retained files; a separate backup can protect selected material against loss. They are not interchangeable, and none is useful if it creates more effort or risk than it removes.

Delete Clearly unwanted apps, duplicate photos, old downloads, or unwanted messages No; use only when you do not need the item Low for a one-off cleanup; incoming clutter may return Do not delete when the item’s value or retention needs are uncertain
Archive Material you want to keep but do not need in your active workspace Yes, if you can remember where and how to search for it Some effort to keep archives understandable An archive can become another hard-to-search pile
Folders and consistent names Files and messages you expect to locate again Yes, when the structure and labels are clear Requires consistent use and occasional maintenance A complex taxonomy can become difficult to maintain
Separate backup Selected files you want protected or stored apart from a device Only if the backup remains accessible and can be restored Depends on how you keep and verify the backup Confirm the right files and versions are present before deleting originals

Digital clutter is not the same as digital hoarding

A crowded phone or a large downloads folder does not, by itself, establish a disorder. Research on digital hoarding describes a spectrum that includes emotional and practical dimensions, such as difficulty discarding and distress. One questionnaire example asks, “I find it extremely difficult to delete old or unused files”; that is an example item, not a diagnostic test. The ACM research provides context for studying digital hoarding, but ordinary accumulation should not be labeled a disorder on that basis.

What digital decluttering can—and cannot—promise

A workable system can make retained material easier to find and reduce avoidable incoming noise. Those are practical aims, not a guarantee of a particular amount of storage recovered, lower anxiety, higher productivity, or savings on cloud costs. Such outcomes depend on a person’s habits, devices, services, and choices; the sources cited here do not establish a universal causal effect.

That distinction matters because broad claims about digital clutter and mental health can exceed the evidence presented with them. Cleveland Clinic’s surfaced result includes a comparison between digital and physical clutter, but the underlying studies are not identified in that excerpt. Without evidence supporting the comparison, it is more accurate to approach digital decluttering as organization and habit design than as a proven treatment.
