The most reliable Gemini setup combines deliberate source selection, a fact-checking pass, restrained personalization, and explicit activity controls. For sensitive one-off questions, use Temporary Chat; for repeatable work, add only authoritative files and review the Sources panel before trusting an answer.
Start with the right mode for the task
Gemini has no single “accuracy” switch. The quality and privacy of a response depend on the context you provide, the account controls you enable, and how you verify the result. A useful setup separates three kinds of work:
- Evidence-based work: Ground the prompt in specific Drive files, Docs, Sheets ranges, Slides, or PDFs, then inspect the cited sources.
- Open-ended questions: Ask Gemini to explain or brainstorm, but treat the response as a draft until you verify important facts.
- One-off sensitive questions: Use Temporary Chat so the conversation is not saved for personalization.
Account eligibility matters. Some controls are available on personal accounts, while work, school, and supervised accounts can have different administrator or age-based restrictions. If a control is missing, check which account is active and whether your organization manages Gemini settings.

Select only the files that should inform the answer
In Gemini for Workspace, attach or select the Drive files, Google Docs, Sheets ranges, Slides, or PDFs that contain the evidence you want Gemini to use. Narrow selection is usually better than adding an entire folder. Include the policy, contract, spreadsheet range, or project document that directly supports the question, and tell Gemini what each source is for when the distinction could be confusing.

Grounding reduces the chance that Gemini fills gaps from general model knowledge, but it does not turn the answer into a guaranteed extraction. Google warns that source selection is limited by context capacity. Gemini can miss a source, cite a source it did not use, or even invent a source. For consequential work, compare the answer with the original document rather than relying on a citation label alone.
Inspect the Sources list after generation
- Submit the question with the relevant files or ranges selected.
- Open the response’s Sources list.
- Check that each listed item actually contains the claim Gemini made.
- Look for important selected material that is absent from the list; its absence can indicate that Gemini did not use it.
- Verify names, dates, totals, conditions, and quoted language in the source itself.
When a source is missing, rewrite the prompt to identify the exact file or range and ask Gemini to quote the supporting passage. If the answer still conflicts with the source, use the source as the authority and correct the draft manually.
Run Double-check response before accepting factual claims
Gemini’s Double-check response uses Google Search to look for content similar to, or different from, statements in the answer. It is a useful triage step for factual writing, but it is not proof that a statement is true.

Double-check can miss a claim, surface a low-quality page, or find a result that is outdated or about a different jurisdiction. For health, legal, financial, safety, employment, or identity-related information, consult the primary authority or a qualified professional as well. Google’s Gemini Apps Help states that Gemini may provide inaccurate or inappropriate responses about people and advises users to double-check responses. It also notes that Gemini responses do not represent Google’s views and should not be attributed to Google.

Make answers consistent with Instructions for Gemini
Where to find the setting
On supported personal accounts, open Gemini’s Settings & help, choose Personal Intelligence, then select Instructions for Gemini. Add durable preferences that describe how you want responses written, such as:
- “Give a two-sentence summary before detailed steps.”
- “Use bullets for lists longer than five items.”
- “State assumptions and identify information that needs verification.”
- “Use metric units and ISO dates.”
Keep instructions short, positive, and testable. A formatting preference is more dependable than a vague request such as “always be perfect.” Review the result on several prompts; one instruction can interact with another and produce an unwanted format.
Do not treat instructions as a deletion mechanism
Instructions can improve consistency, but they are not a guaranteed way to make Gemini forget a subject. Google says that instructions to forget or avoid topics do not always work perfectly. If a conversation contains material you no longer want retained, delete the related chats from Gemini Apps Activity instead of relying on an instruction.

Activity controls determine whether conversations are retained in your history, how long they remain available, whether they are automatically deleted, and whether the data can be used to improve Google AI. Open the Gemini Apps Activity or Keep Activity controls from your Gemini or Google Account privacy settings, then review the current choices rather than assuming the defaults fit your needs.

Review and delete existing activity
- Open Gemini Apps Activity.
- Review individual conversations and the date range shown.
- Delete a single item when only one chat is sensitive, or use the available range controls for a broader cleanup.
- Confirm that the item is removed from the activity view.
Deleting activity addresses stored history; it does not make an answer already copied into an email, document, screenshot, or another service disappear. Remove those copies separately.
Choose an auto-delete period
Google Safety Center guidance currently describes an 18-month default auto-delete period. That policy can change, and your account may show a different choice. Treat 18 months as a default setting to verify, not a permanent promise. If your work requires shorter retention, select the shortest available period and schedule periodic manual reviews.
Decide whether activity can improve Google AI
The activity controls also include a choice about using data to improve Google AI. Read the current account wording, because eligibility and policy can vary. Turning off that use does not automatically erase old conversations; review and delete existing activity separately.

Use Temporary Chat for isolated sensitive questions
Temporary Chat is the clearest option for a one-off conversation that you do not want Gemini to remember or use to personalize your experience. Google introduced the personalization and Temporary Chat controls on August 13, 2025. Select Temporary Chat before entering the sensitive question, and confirm that the temporary mode indicator is active.

Temporary Chat is best for isolated tasks such as asking how to interpret a private letter, exploring a personal situation, or drafting text that should not influence future responses. It is less convenient for ongoing projects because the conversation is not intended to become a reusable personal context. Save only the final, sanitized result if you need a record.
Balance personalization against privacy
Personalization can make Gemini more relevant by using past chats and, where enabled, connected apps or other account context. The trade-off is additional data context: information from earlier conversations or connected services can influence a new answer.

Enable a connected app only when its added context solves a real problem. For a single task, Temporary Chat or disabled personalization is usually the cleaner boundary. For recurring work, keep personalization on only after deciding which kinds of information are acceptable to carry forward.

- Classify the prompt. Decide whether it is evidence-based, open-ended, or sensitive and temporary.
- Choose the account. Confirm whether you are using a personal, work, school, or supervised account and note any administrator restrictions.
- Set the privacy boundary first. Use Temporary Chat for a one-off sensitive question; otherwise review personalization and connected-app choices.
- Provide deliberate context. In Workspace, select only the files, ranges, Slides, or PDFs needed for the answer.
- State the output requirements. Ask for assumptions, dates, units, citations to selected files, and a clear separation between facts and suggestions.
- Inspect the result. Read the Sources list, open the underlying material, and check that the cited evidence supports the wording.
- Run Double-check response. Investigate green, orange, and unhighlighted passages according to what each status means.
- Verify high-impact claims independently. Use primary sources or professional advice for decisions involving health, law, money, safety, employment, or personal identity.
- Clean up deliberately. Delete chats that should not remain in Gemini Apps Activity and review auto-delete and AI-improvement settings periodically.
Common failure modes and fixes
“Gemini cited a file, but the answer is wrong”
Open the cited passage and compare it with the exact claim. The source may be unrelated, the relevant passage may have been overlooked, or the answer may combine information from several files. Ask Gemini to quote the supporting text and identify conflicts, then edit against the original document.

“Double-check is green, so I assumed it was true”
Green means that Search found likely similar content, not that the claim passed an expert review. Open the result, check its date and authority, and look for the same claim in a primary source.
“I told Gemini to forget a topic, but it still appeared”
Instructions are not a perfect forgetting mechanism. Delete the related conversations from Gemini Apps Activity and remove copies stored elsewhere.
“I cannot find Instructions for Gemini or Temporary Chat”
Check that you are signed into the intended account and that the feature is supported for that account. Work, school, supervised, and regionally managed accounts can expose different controls. An administrator or policy restriction may prevent changes.
“Personalized answers include context I did not expect”
Review connected apps, past-chat personalization, and recent activity. Disable the context source that is not needed, then use Temporary Chat for the isolated task and delete the relevant activity if appropriate.
A settings checklist to revisit
- Sources are deliberately selected for document-based work.
- The Sources list has been checked against the original files.
- Double-check response has been used for factual claims, with green and orange highlights treated as signals rather than proof.
- Instructions describe preferred format and verification behavior, not a promise to forget.
- Gemini Apps Activity has a retention and deletion plan.
- The current auto-delete setting has been reviewed; Google Safety Center’s current guidance lists 18 months as the default.
- The choice about using activity to improve Google AI matches your privacy preference.
- Temporary Chat is used for one-off sensitive questions.
- Personalization and connected apps are enabled only when their convenience justifies the additional context.
The safest expectation is that Gemini is a capable assistant, not an authority. Better settings narrow what it can use, make your preferred output repeatable, and give you clear points at which to verify or delete information.
