One easily overlooked financial mistake is mixing personal and business money—such as paying a household bill from a business account or depositing business receipts into a personal account. Separate accounts and clear transaction records make it easier to keep books and identify what each payment or deposit represents. The guidance cited here is from U.S. sources; tax treatment depends on your business structure.
Why mixing personal and business money causes problems
A mixed transaction can be hard to classify later: a deposit might be business income, personal funds, or a loan, while a withdrawal might be a business cost or a personal expense. That ambiguity adds bookkeeping work and makes records less useful when preparing a tax return. The IRS says separate accounts make business records easier to keep, and the Small Business Administration (SBA) also warns that commingling can complicate bookkeeping.
SBA contributor Marco Carbajo, identified by the agency as a business credit expert, put the bookkeeping concern this way: “Failing to separate your personal and business finances leads to an accounting nightmare for your bookkeeper.” That is a practical warning, not a measured estimate of how often commingling occurs.

Can a sole proprietor deduct personal expenses paid from a business account?
No. For a sole proprietor, paying a personal expense from business funds does not turn it into a business deduction. The IRS says personal, living, or family expenses are generally not deductible. Its FAQ explains: “You wouldn’t write off personal expenses as business expenses because they’re not ordinary and necessary costs of carrying on your trade or business.”

If the business earned the money, using it for a personal expense does not remove it from gross business income. Record the payment accurately rather than relabeling it as a deductible business expense. The IRS FAQ addresses sole proprietors; it is not a complete guide to the tax treatment of corporations or partnerships.
How to separate accounts and improve your records
- Use a dedicated business account for business activity. The IRS advises, “Use the business account for business purposes only.” Keep personal purchases and household bills out of it.
- Identify every deposit. Record whether money came from business sales, your personal funds, or a loan. Do not leave the source unclear in your books.
- Document payments and withdrawals. Keep receipts or another clear explanation so a later review can establish what the transaction was for.
- Reconcile the account records. Compare your recorded transactions with account statements and investigate entries you cannot identify.
- Correctly record any personal payment made with business funds. Do not claim it as a business expense merely because it came from the business account. Ask a qualified tax professional how to handle it for your structure and return if you are unsure.
IRS Publication 583 recommends recording the source of deposits and keeping supporting documentation. A check register can help as a physical recordkeeping aid, but it does not replace separate accounts, accurate records, or tax advice.

What changes if your business is a corporation or partnership?
Do not assume the sole-proprietor tax answer fully determines the consequences for another business structure. The SBA cautions that commingling can put entity protections at risk, but the legal effect depends on applicable law and the facts. If personal and business funds have been mixed in an entity, consult a qualified legal or tax professional about the records and any corrective steps.
