Windows’ most useful upgrades are often optional utilities rather than built-in features. Microsoft’s own PowerToys, along with independent projects such as ShareX, EarTrumpet and Everything, can make window management, screenshots, audio mixing and file searches substantially more capable. The catch is fragmentation: you must discover, install, configure and maintain each tool separately.
That is a product-design problem, not proof that every add-on is universally better. Microsoft’s core Windows experience remains simpler for casual users, while optional utilities let power users adopt narrower, faster-moving features without waiting for a major Windows release.
Windows has an optional-tools problem
Microsoft’s PowerToys page uses the line “Make Windows work the way you do.” That is an accurate description of the gap between Windows’ defaults and the workflows many people expect from a modern desktop. Microsoft Learn defines PowerToys as “a set of free, open-source utilities designed to help power users and developers get more out of Windows,” but PowerToys is still a separate download rather than one coherent default layer in Windows.
The result is a patchwork. A user who wants better window layouts may install FancyZones, someone else may need a per-app mixer, and another may replace Windows Search for filename lookups. Each solves a real problem, but each has its own release cycle, settings, support model and maintenance burden.

PowerToys: Microsoft’s best features outside the default
PowerToys is the clearest example of Microsoft acknowledging that Windows can be extended. Its current catalog includes Advanced Paste, Always On Top, Awake, Color Picker, Command Palette, Crop And Lock, Environment Variables, FancyZones and Keyboard Manager, among many others. That breadth matters: one installation can address layout, launching, keyboard, clipboard and developer-oriented tasks.
The project is also unusually visible for an optional component. Microsoft’s 2026 product page reports more than 135,000 GitHub stars and more than 400 contributors, with figures attributed to GitHub in September 2026. Those numbers indicate community interest, not a guarantee that every module is stable or necessary for every PC.

PowerToys supports Windows 11 and Windows 10 version 2004 or later on x64 and Arm64 systems. You can install it through the Microsoft Store, WinGet or GitHub. After installation, enable only the modules that solve a problem you actually have; a smaller configuration is easier to understand and troubleshoot than turning on the entire catalog.
ShareX: a capture workflow, not just a screenshot button
ShareX describes itself as a free, open-source screenshot tool for Windows, but its scope goes well beyond a single capture command. It supports full-screen, region, active-window, scrolling-page and monitor capture, as well as screen recording, file sharing and automated after-capture tasks. Its official site reports more than 33 million downloads worldwide, a figure accessed in 2026.
This distinction explains why a basic built-in screenshot utility can feel inadequate. Snipping Tool is convenient for an occasional still image; ShareX is designed for repeatable capture, processing and delivery. The trade-off is a larger interface and more decisions about destinations and after-capture automation. Users who only annotate an occasional screenshot may gain little from the additional complexity.

EarTrumpet: the missing per-app mixer
EarTrumpet focuses on one Windows frustration: controlling the volume of individual applications without repeatedly digging through the full Settings experience. Its official site calls it a free, open-source volume-control app for Windows. The project is distributed through the Microsoft Store, Chocolatey and GitHub Releases, giving users several ways to obtain and update it.

Its narrow scope is an advantage. Unlike a broad utility bundle, EarTrumpet addresses one task and can be removed without changing window, clipboard or search behavior. It is most useful when you regularly move calls, games, media players or notification sounds to different levels.
Everything: a filename-search alternative
Windows Central’s September 17, 2025 comparison describes Everything as a utility that indexes file and folder names and returns results almost instantly. Treat that wording as the publication’s characterization, not as an independent benchmark. The important limitation is scope: this is a filename-oriented alternative, not evidence that every kind of Windows Search query will behave the same way.

That focus can be exactly what frustrated users need when they already know part of a filename and want a result quickly. It does not remove the need to understand where files are stored, and the cited material does not establish its distribution channels, architecture support or open-source status.
How to choose and maintain the stack
- Start with the bottleneck. Choose FancyZones for repeated multi-window layouts, Command Palette for launching and commands, Advanced Paste for transformed clipboard content, ShareX for a capture-and-delivery workflow, EarTrumpet for per-app audio, or Everything for filename lookup.
- Prefer the narrowest tool that solves the problem. A focused utility is easier to configure and remove. PowerToys is the exception when you have several unrelated needs and want one Microsoft-maintained bundle.
- Use a distribution channel you can maintain. PowerToys offers the Store, WinGet and GitHub. EarTrumpet offers the Store, Chocolatey and GitHub Releases. Keep track of which channel supplied each app so updates do not become a guessing game.
- Review defaults after Windows updates. Microsoft may eventually add an overlapping feature to Windows. At that point, compare the built-in behavior with the utility’s deeper controls before removing anything; a new default may cover the basic case but not your automation or layout rules.
- Check transparency and system impact. PowerToys, ShareX and EarTrumpet identify themselves as open source. For any utility, review its permissions, startup behavior, update history and resource use, especially when it runs continuously or indexes content.
The real cost of better Windows features
Optional tools provide faster experimentation, narrower scope and community iteration. They also distribute responsibility. Microsoft can ship a feature in an optional project without changing every Windows installation, while independent developers can target one workflow instead of the entire operating system.
For users, however, the experience is no longer a single product. Settings are split across Windows and separate apps; updates arrive on different schedules; and a future Windows release can duplicate, replace or conflict with an add-on. That maintenance cost is the practical problem behind the title.

What Microsoft should learn
PowerToys demonstrates that Microsoft knows which gaps matter: window layouts, command launching, keyboard remapping, clipboard transformation and small quality-of-life controls are all represented in its catalog. ShareX and EarTrumpet show that independent projects can go deeper in capture and audio, while Everything illustrates the demand for a faster, more focused search experience.
The strongest criticism is therefore about defaults and coherence. Windows users should not need a personal collection of utilities to obtain capabilities that feel fundamental. Until those functions become consistent parts of Windows itself, a carefully chosen set of add-ons remains the practical way to make the desktop fit the work.
