Adobe Acrobat is the easiest choice if you already edit PDFs in Adobe’s desktop application, ABBYY FineReader PDF is the strongest fit for multilingual recognition and editable Office output, and OCRmyPDF is the best free, local and scriptable option. All three can turn an image-only scan into a PDF with a searchable text layer, but they serve different workflows.

Choose based on the result you need: searchable and copyable text, a carefully reconstructed Word or Excel file, or repeatable local processing for many documents. OCR does not make every scan perfect; language, resolution, page layout and preprocessing determine how much correction remains.

What PDF OCR does—and when you need it

A scanned PDF can look like a normal document while containing nothing but page images. Adobe explains that scanning paper produces “only image data, not searchable text.” Optical character recognition (OCR) analyzes those images, identifies letter shapes and words, and adds machine-readable text. After OCR, you can search for a word, select passages, copy text, and often export the document into an editable format.

OCR is different from merely viewing a scan. A viewer can display the image, but it cannot find a name with Ctrl+F or copy a paragraph until a text layer exists. OCRmyPDF, for example, places an OCR layer beneath the original page image, preserving the scan’s appearance while enabling search and copy-paste. Acrobat and FineReader can also expose recognized text for editing or conversion.

The three products below are not interchangeable:

  • Acrobat: integrated OCR inside a broad PDF editor, useful for comments, forms, redaction, signing and everyday document work.
  • FineReader PDF: OCR-centered software with editing, layout handling, multilingual recognition and conversion to Word or Excel.
  • OCRmyPDF: an open-source command-line tool for local, repeatable searchable-PDF and PDF/A jobs.

None of the supplied vendor material establishes a universal accuracy winner. OCR results vary with the scan, language, typography, table structure and image cleanup. Treat ABBYY’s figures of “192 supported OCR languages” and “up to 99.8% OCR accuracy” as ABBYY’s 2025 claims, not as results from an independent head-to-head test.

1. Adobe Acrobat: the integrated choice

Why choose it

Acrobat is the natural choice when the rest of your PDF work already happens there. Its Recognize Text feature converts an image-only scan into selectable and searchable text without sending you to a separate OCR application. You can then continue with the same editor for annotations, forms, redaction, signing and other document tasks.

This is convenience rather than a claim that Acrobat recognizes every document better than its competitors. Its advantage is a single graphical workflow: open the scan, run recognition, inspect the result and carry on editing. For an occasional invoice, contract or meeting packet, avoiding a second application can matter more than a specialized control.

How to make a scanned PDF searchable

  1. Open the scanned PDF in the desktop version of Acrobat that includes Recognize Text.
  2. Choose the OCR or Recognize Text command. Acrobat analyzes the page image and creates a text layer.
  3. Select the language and page range when the dialog offers those choices. Use the language that matches the document; a wrong language can reduce recognition quality.
  4. Save a new copy, then test a distinctive word with the search tool and try selecting and copying a paragraph.
  5. Review headings, names, numbers and tables against the scan before relying on the text.

Adobe’s learning material describes this process as making a scan searchable and editable. The exact menus and available languages can vary by desktop, web or mobile scope and by subscription, so check the plan you actually use rather than assuming every Acrobat edition has the same controls.

Batch work and limits

Acrobat Pro, Premium or Studio can process multiple PDFs through Action Wizard, according to Adobe’s documentation. That is useful for a folder of similarly prepared scans, but it is plan-dependent. Confirm that your edition includes the desktop Action Wizard and that the workflow’s language, output and security settings fit the files. If the batch contains mixed languages or very different layouts, inspect representative results instead of trusting an unattended run.

2. ABBYY FineReader PDF: the OCR and conversion specialist

Why choose it

FineReader PDF is aimed at users for whom OCR itself is the central task. ABBYY describes a workflow that combines recognition, full-text search, PDF editing and conversion to editable Word or Excel files. That makes it a better fit than a search-only workflow when you must revise a contract, reuse a report or recover data from a spreadsheet-like scan.

Its materials also emphasize poor-quality scans and complex layouts. In practice, that means you should evaluate how your own pages behave: a clean single-column letter is easier for every OCR engine than a skewed, multi-column form with stamps, tables and marginal notes.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Languages and accuracy claims

ABBYY’s 2025 feature information lists 192 supported OCR languages and claims up to 99.8% OCR accuracy. The figures are published by ABBYY, not independently measured for this comparison. “Up to” is a best-case ceiling, not a guarantee for your scanner, font, language combination or document type. Ask whether the languages you need are included and whether mixed-language pages are handled as expected.

Convert a scan to an editable Office file

  1. Import the scanned PDF into FineReader PDF.
  2. Run OCR with the document’s language selection. Include every language that appears on the page, but avoid unnecessary languages that could make ambiguous characters harder to classify.
  3. Inspect the recognized page and correct obvious errors before exporting.
  4. Choose the output format: retain a searchable PDF when visual fidelity is paramount, or export to Word or Excel when the content must be edited.
  5. Open the exported file in the target Office application and compare page breaks, tables, headers, footnotes and numbers with the original scan.

Office conversion is reconstruction, not a perfect photocopy. A text-heavy page may convert cleanly, while a form or heavily designed report can require manual layout repair. Keep the original PDF as the authoritative visual record.

Edition and platform checks

FineReader’s feature set differs between Windows and Mac and between Standard and Corporate editions. Before selecting it for a team, verify the supported operating system, licensing model, batch features and the exact export formats you need. Do not infer Corporate capabilities from a Standard installation or assume that a Windows feature appears identically on Mac.

3. OCRmyPDF: free, local and scriptable

Why choose it

OCRmyPDF is designed for users comfortable with a terminal, scripts or server jobs. It adds a text layer under the original scan, can produce searchable PDF/A, and supports multiple languages. Because processing runs locally, it suits confidential archives and organizations that do not want document images sent to an online service.

The project documents automatic page rotation, deskewing, background cleanup, optimization and multi-core jobs. Those controls are valuable for a large archive, where a repeatable recipe is preferable to clicking through each file. The trade-off is setup: you must install OCRmyPDF and its dependencies, select language data, and understand command-line errors.

A basic local workflow

  1. Install OCRmyPDF and its documented dependencies for your operating system.
  2. Install the OCR language data required by the files. Language selection is part of the command, so identify the document languages before processing a batch.
  3. Run OCR on a copy of the source PDF. A typical pattern is ocrmypdf input.pdf output.pdf; add the documented language, rotation or deskew options only when they match your files.
  4. Use the resulting PDF’s search function and copy a sample passage. Check that the output remains visually faithful to the source.
  5. For archives, select PDF/A output when required by your preservation policy and retain the original scan separately.

OCRmyPDF’s cookbook warns that some image-processing options can rasterize pages or introduce artifacts. Review output visually, especially after aggressive cleanup or optimization. A file can be searchable yet have a degraded image, clipped edge or altered color that matters for legal, historical or evidentiary work.

Where it excels—and where it does not

  • Excels: local privacy, repeatability, scripting, Linux or server workflows, multi-core processing and searchable PDF/A archives.
  • Requires more work: installation, dependency management, language configuration, command-line operation and manual correction.
  • Not a full editor: it creates the searchable layer but is not a replacement for a rich PDF application’s forms, redaction, signing or visual editing tools.

How the three differ on the decisions that matter

Searchable PDF versus editable Word or Excel

If the goal is simply to find and copy text while preserving the scan’s appearance, all three can fit, with OCRmyPDF particularly focused on that layer-preserving result. If you must rewrite paragraphs or recover tabular data, FineReader’s documented Word and Excel conversion is the clearest match. Acrobat can make recognized text editable within its PDF editor, but confirm the export features included in your plan.

Layout retention

Complex layouts challenge OCR because the software must identify reading order as well as characters. FineReader explicitly positions itself around layout handling and conversion. Acrobat is convenient for ordinary pages inside an editor. OCRmyPDF generally preserves the page image and adds text beneath it, so it avoids rebuilding the visual page but does not turn the scan into a richly editable layout.

Language requirements

Select the tool only after listing the languages in the actual files. FineReader publishes the broadest numerical language claim in the supplied material—192 languages in 2025—but that remains a vendor specification. Acrobat’s available languages depend on its product scope and plan. OCRmyPDF supports multiple languages when the corresponding language data is installed and selected.

Batch automation

Acrobat offers Action Wizard batch processing in qualifying plans. OCRmyPDF is inherently scriptable and supports multi-core jobs, making it the strongest choice for a repeatable archive pipeline. FineReader’s batch capabilities depend on edition and platform, so verify them before standardizing a team workflow.

Privacy and deployment

OCRmyPDF’s local model is straightforward for sensitive files: the documents can stay on a controlled workstation or server. Acrobat and FineReader are desktop applications, but their exact cloud-connected features, account requirements and mobile or web behavior depend on the product edition. Review organizational security rules before uploading or syncing confidential scans.

Licensing and total effort

OCRmyPDF is free and open source, but staff time for installation, upgrades and troubleshooting is part of its real cost. Acrobat and FineReader require a paid plan or license whose price and included features vary by edition. Compare the full workflow cost: manual correction, Office conversion, batch volume, support needs and the value of an integrated editor.

Improve OCR results before you blame the software

Recognition quality is usually limited by the input. Before processing a large collection, prepare a representative sample and check:

Canon Canoscan Lide 300 Scanner (PDF, AUTOSCAN, Copy, Send)
  • Scanner type: Document
  • Connectivity technology: USB
  • With Auto Scan Mode, the scanner automatically detects what you're scanning
  • Digitize documents and images
  • Resolution and focus: blurry or low-resolution characters cannot be recovered reliably.
  • Skew: rotate crooked pages; OCRmyPDF documents automatic rotation and deskewing options.
  • Contrast and background: stains, shadows and colored paper can obscure characters; cleanup may help, but inspect for lost marks.
  • Language: choose the correct language set, including mixed-language content where supported.
  • Structure: tables, columns, footnotes, handwriting, stamps and unusual fonts need closer review than plain paragraphs.
  • Source preservation: keep the original scan and create an OCR derivative, particularly for records that may be audited.

Test names, dates, decimal points, totals, page numbers and legal clauses—not only an easy heading. One wrong digit can matter more than dozens of correctly recognized words.

A practical selection decision tree

  1. Already live in Acrobat? Start with Acrobat’s Recognize Text workflow. It minimizes tool switching and adds OCR to the editor you already use.
  2. Need Word or Excel, many languages or difficult layouts? Evaluate FineReader PDF, checking your platform, edition and the languages in your files.
  3. Need local, free, repeatable PDF/A processing? Choose OCRmyPDF if command-line operation and dependency maintenance are acceptable.
  4. Need both searchable archives and occasional visual editing? A local OCRmyPDF pipeline can create the text-layer PDFs, while a PDF editor can handle forms, redaction, signing or corrections afterward.
  5. Uncertain about quality? Process a small sample in the shortlisted tool, compare critical fields with the scan, and decide from the correction workload rather than a headline accuracy percentage.

Troubleshooting common OCR failures

Search finds nothing after recognition

Confirm that OCR completed and that you saved the processed copy rather than reopening the original image-only file. Search for a clearly printed heading, then try selecting text with the cursor. If neither works, rerun recognition with the correct language and page range.

Text is selectable but nonsensical

Check scan quality, language selection, skew and contrast. Mixed-language pages and unusual fonts can confuse recognition. Use preprocessing cautiously and compare critical words, names and numbers against the image.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The page looks different after processing

Some cleanup or optimization operations can rasterize pages or introduce artifacts. OCRmyPDF specifically warns about this possibility. Disable the offending image-processing option, retain a clean original, and inspect every page type in the batch.

Word or Excel output has broken tables

Conversion must infer rows, columns, reading order and merged cells from pixels. Try a cleaner source or a different layout setting, then repair the exported table manually. Keep the searchable PDF as the visual reference and do not treat the Office file as a pixel-perfect copy.

A batch job produces inconsistent pages

Mixed source conditions are often the cause. Separate documents by language, scan quality or layout, apply a profile to each group, and review samples from every group. For Acrobat, confirm that Action Wizard is available in the qualifying plan; for OCRmyPDF, check language data, command options and the log for page-specific warnings.

Bottom-line recommendations

Pick Adobe Acrobat when integrated desktop PDF editing is your priority and OCR is one step in a broader document workflow. Pick ABBYY FineReader PDF when recognition quality, multilingual files, layout retention and editable Word or Excel output justify a specialized OCR suite. Pick OCRmyPDF when you need free, local, scriptable processing and searchable PDF/A archives, and you are comfortable maintaining a command-line tool.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Whichever you choose, validate a representative sample and preserve the original scan. The software can add a searchable layer or reconstruct editable content, but only review against the image can catch the errors that matter to your records.
