To maximize your team’s productivity, make the work easier to prioritize and finish: clarify the most important goals, protect time for focused work, make meetings purposeful, and keep shared information easy to find. Start with the obstacle your team actually faces, try a small change, and check whether it helps. The available surveys identify common problems, but they do not establish one universally effective fix.

Start with the team’s main productivity bottleneck

Productivity problems can look alike—missed deadlines, busy calendars, or unfinished work—but have different causes. Before adding a tool or process, identify where work is getting stuck: unclear priorities, interruptions, meetings, hard-to-find information, inconsistent tracking, or a mismatch between a tool and the task.

Company surveys offer useful signals, not a universal diagnosis. Microsoft’s 2023 Work Trend Index found that 68% of surveyed people said they lacked enough uninterrupted focus time during the workday; respondents also named inefficient meetings and unclear goals among leading productivity disruptors. Atlassian’s 2024 State of Teams found that 55% of surveyed knowledge workers had difficulty tracking down information and 56% said teams at their company planned and tracked work in different ways. These figures describe those surveys, not every workplace. (Microsoft, 2023; Atlassian, 2024)

  • If people cannot say what matters most, address goals and priorities.
  • If complex work is repeatedly interrupted, address focus time and interruptions.
  • If meetings consume time without decisions or clear actions, redesign them.
  • If people recreate work or ask repeatedly for the same details, improve shared information.
  • If the team’s plans are scattered or inconsistent, agree on a simple tracking practice.

Make goals and priorities explicit

Give the team a short, visible account of what matters now, what can wait, and how to raise a conflict. A priority is useful only when people can apply it to daily choices; a long list of equally urgent tasks does not help them decide what to do next.

Turn broad goals into workable commitments

  • State the outcome in plain language and name an owner.
  • Define the next meaningful checkpoint or decision, rather than trying to specify every task in advance.
  • Identify dependencies and who can resolve a blocker.
  • When new work arrives, explain what it displaces or ask the relevant decision-maker to choose.

Make priorities visible in the place the team already uses to coordinate work. Revisit them when scope, deadlines, or available capacity change; otherwise, an old plan can continue to compete with the real one.

The need for clear guidance is reflected in Microsoft’s 2022 hybrid-work report: 81% of surveyed employees said manager help prioritizing workload was important, while 31% said managers had given clear guidance in one-on-ones. This gap is a survey finding, not proof that a particular check-in format will improve output. (Microsoft, 2022)

Protect time for focused work

Reserve blocks of time for work that requires sustained attention, and make the team’s expectations for availability explicit. A calendar block alone will not prevent interruptions if colleagues still expect instant replies or if urgent requests have no agreed route.

Make focus time practical

  • Ask people which work benefits from uninterrupted time, rather than imposing identical schedules on everyone.
  • Agree on reasonable response expectations for non-urgent messages.
  • Use an agreed channel or escalation path for genuinely time-sensitive issues.
  • Batch routine updates where it suits the work, so every question does not trigger a new interruption.
  • Coordinate blocks around dependencies; otherwise, protected time for one person may stall a teammate who needs a decision.

Assess the practice by asking whether people can complete the work that needs concentration and whether delays or missed handoffs have increased. Adjust the schedule and communication norms if the block creates coordination problems.

Make meetings purposeful and follow through

Microsoft’s 2023 Work Trend Index identified inefficient meetings as the leading reported productivity disruptor in its survey. Respondents also described difficulty brainstorming virtually, catching up after joining late, and clarifying next steps. Those findings point to meeting friction; they do not mean every meeting should be eliminated. (Microsoft, 2023)

Before the meeting

  • Write down the purpose: decide, solve, plan, or share information.
  • Invite people whose input or decision is needed. Send background material early enough to review.
  • If the purpose is only to distribute information, consider an asynchronous update instead.

During the meeting

  • Keep the discussion tied to the stated outcome.
  • For virtual brainstorming, give participants a way to contribute ideas before or during the call, including people who need time to think before speaking.
  • Provide a concise recap or shared notes so a late arrival can catch up without restarting the discussion.

After the meeting

  • Record decisions, owners, and next steps in the shared place where the work is tracked.
  • For unresolved questions, name who will decide and by when.
  • Cancel or shorten recurring meetings when their purpose no longer warrants the time.

Review recurring meetings for whether they help people reach decisions or coordinate work. Attendance and calendar time alone do not show whether a meeting was useful.

Make shared information easy to find

Teams lose time when project context, decisions, and current instructions are split across messages, documents, and individual memory. Atlassian’s 2024 report found that 55% of surveyed knowledge workers said finding information was difficult. Treat that as a reason to inspect your own handoffs and information flow, not as a guarantee that adopting any particular platform will solve the problem. (Atlassian, 2024)

Set a lightweight source-of-truth practice

  • Choose an obvious home for current project status, decisions, and key reference material.
  • Use consistent names and links so teammates can locate the latest version.
  • Record decisions where future contributors will look for them, including the rationale when it affects later choices.
  • Assign responsibility for keeping critical information current.
  • Remove or clearly mark outdated guidance so it does not compete with the current plan.

The goal is accessible, maintained information—not documentation for its own sake. Keep records proportional to the value of the work and the likelihood someone will need the context later.

Use consistent planning and tracking without adding bureaucracy

Atlassian reported that 56% of surveyed knowledge workers said teams at their company planned and tracked work in different ways. Inconsistent practices can make dependencies and status harder to understand, especially across teams. A shared approach should help people coordinate rather than require duplicate updates. (Atlassian, 2024)

Agree on the minimum information others need to act: the work item, its owner, current status, next step, and any blocker or dependency. Define what each status means and where updates belong. Avoid creating multiple tracking systems that ask people to maintain the same facts in different places.

Atlassian’s report argues that high-performing teams make time to improve their processes, practices, and tools. A practical implication is to periodically ask the team what coordination step causes avoidable effort, then change that step and see whether work flows more clearly.

Adopt AI selectively and responsibly

AI may help with particular tasks, such as drafting, summarizing, or finding patterns, but the evidence here does not establish a productivity gain for every team. Microsoft and LinkedIn’s 2024 Work Trend Index surveyed 31,000 people in 31 countries and reported that 75% of surveyed knowledge workers were using AI at work. Among people using AI at work globally, 39% said they had received company AI training. These are survey findings, not a measure of whether a specific tool is suitable for your team. (Microsoft WorkLab, May 6, 2024; Microsoft and LinkedIn, May 8, 2024)

In that 2024 report, AI users self-reported that AI helped them save time (90%) and focus on important work (85%). Those responses are perceived benefits, not independently established causal results. Evaluate a specific use case against the work it is meant to improve, and follow your organization’s rules for privacy, security, and review. (Microsoft and LinkedIn, 2024)

  • Choose a bounded, repeatable task with a clear human reviewer.
  • Check whether the result is accurate, useful, and safe to share before relying on it.
  • Provide role-appropriate training and guidance rather than assuming familiarity.
  • Stop or revise the use case if review effort, errors, or policy risks outweigh the time saved.

Evaluate changes against the problem you intended to solve

No source cited here ranks these interventions by universal effectiveness. Use your team’s starting conditions to judge whether a change is worth keeping: if you changed meeting practices, look for clearer decisions and follow-through; if you protected focus time, check whether priority work is progressing without damaging handoffs; if you improved shared information, ask whether people can find the current answer without repeated requests.

Try one meaningful change at a time when possible, agree on what improvement would look like, and review it with the people doing the work. Keep it, adapt it, or drop it based on what the team observes. The surveys cited above come from companies studying workplace trends; their findings are useful context, not independent comparative trials showing that one method will cause better productivity in every organization.
