To switch accounting systems safely, choose a clear cutover date, preserve and reconcile the old ledger, confirm exactly what will transfer, then validate the new ledger against saved reports before relying on it. A successful import only shows that data moved; it does not prove that balances, tax treatment, history, or integrations are correct.
Decide what the new system must contain
Start by documenting the source and target systems, the business’s country, accounting basis and tax regime, the conversion date, the history required in the live ledger, and the integrations that need to keep working. Assign one person to own the migration and its exceptions. Decide which older records need to be searchable in the new system and which can remain in an organized, read-only archive.
Before choosing a manual process or conversion provider, get a written scope for the exact source and destination versions. Confirm the date range and record types included, exclusions, security and deletion practices, fees, and who will resolve errors. Do not assume that features documented for one provider route apply to another route or region.

- History and detail: Does the route transfer opening balances, open items, summary history, or transaction-level history? Check how much history is available and whether archived records will be sufficient for audit and lookup.
- Mapping: Confirm how it handles the chart of accounts, departments or tracking categories, currencies, fixed assets, tax codes and filings, payroll, attachments, and recurring templates.
- Reconciliation: Ask what source cleanup is expected, whether imported bank transactions will be reconciled, and which reports or exception lists will be provided.
- Cutover and controls: Check support for a mid-period switch, tax-period reporting, permissions, secure transfer, error handling, and continued access to legacy records.
- Total effort: Account for provider fees, staff time, professional help, retraining, and any temporary parallel operation.
Set the cutover date and clean up the old ledger
Choose the first day the business will record transactions in the new system. In Xero’s guidance, this is the conversion date; opening balances should reflect the old system’s closing balances on the preceding day. Use a trial balance from that prior day to establish those balances. See Xero’s conversion guidance.
#1 Best Overall
Bring the old ledger up to date before exporting. Reconcile accounts, match payments and credits to invoices where possible, review suspense accounts and misclassified accounts, and record bank balances at cutover. Pay particular attention to unmatched payments, open transactions, and the timing of tax under a cash-basis method. Cleaning these up first makes later differences easier to explain. Intuit’s advice on its documented conversion route covers these source-cleanup concerns: Intuit’s Xero-to-QuickBooks conversion guide.
Back up the source and save comparison reports
Make a full backup in the old software if available, and export the records and reports you may need for tax, audit, historical questions, and reconciliation. For the Xero-to-QuickBooks route it documents, Intuit names sales-tax reports, account transactions, and a trial balance as useful exports. Its comparison set includes the trial balance, balance sheet, income statement, receivables and payables aging, and open invoices where needed to explain aging differences. Payroll records may need separate handling.
Rank #2
Keep an independent copy in a separate, secure location rather than relying on the old system or the migration provider as the only archive. Xero recommends separate backups of files, the chart of accounts, and transaction history; it does not prescribe a particular storage device. See Xero’s guide to switching accounting software.
Configure the new system and confirm the transfer scope
Set the conversion date and opening balances using the old ledger’s closing trial balance from the preceding day. Before starting, confirm whether the migration will bring across account lists, contacts, open invoices and bills, outstanding balances, fixed assets, payroll, and transaction history—or whether any of these require separate work.
Rank #3
For example, Intuit’s UK guide describes a particular Dataswitcher route into QuickBooks Online that includes the chart of accounts, customers and suppliers, outstanding balances, items, opening balances, and up to two years of historical transactions. That scope is not a promise for other routes. The same guide flags possible limitations involving VAT filing history, foreign-currency conversion to home currency, tracking categories, merged journals, retained earnings, unmatched payments, and corrupt source data. Verify that the guide applies to your country, software versions, and current route before relying on it.
For the specific Xero-to-QuickBooks route described by Intuit, the destination QuickBooks company file must be empty of existing financial data, and currency, tax, and tracking settings must be configured as instructed. Do not apply that prerequisite to unrelated migrations. The guide estimates two to four working days for most conversions after data upload; this is a route-specific estimate, not a general migration timeline, and should be confirmed with the provider.

Compare the new and old records at the conversion date. Intuit instructs users on its Xero route to check the Profit and Loss, Balance Sheet, Trial Balance, and aged receivables and payables reports. Also compare bank balances, open invoices and bills, tax balances, and currency effects. Imported bank transactions may appear unreconciled, so check their status rather than assuming the import completed the reconciliation.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Investigate differences in account mapping, tax treatment, journal consolidation, unmatched payments, and accounting-period calculations.
- Check for suspense or rounding differences and identify their cause.
- Record each approved adjustment and retain the reconciliation schedule with the migration records.
Do not post an unexplained plug entry just to make reports agree. A difference that cannot be traced should be resolved before the new ledger becomes the basis for reporting.
Test connected workflows and retire the old process deliberately
Reconnect and test the integrations the business actually uses, such as bank feeds, payroll, tax, inventory, and payment services. Verify permissions and user access, then have each person test the tasks they perform. Xero recommends testing integrations, access, and team workflows as part of a software switch.
A parallel period—entering or checking transactions in both systems for a defined time—can help when the data, reporting, or integrations carry meaningful risk. It adds work and is not necessary for every straightforward migration with clean data and a solid backup. If you cut over directly, document the decision, assign an escalation contact, and keep the old ledger or a usable export archive available for historical questions and audit support.
