If deleted files keep reappearing in Windows 11, first check whether they’re in a OneDrive or synced SharePoint folder. Those files are connected to cloud storage, so a change on the PC can sync to the cloud—and activity from another device or shared user may also affect what you see. Check the file’s location, then check both the Windows Recycle Bin and the relevant cloud recycle bin before choosing how to remove or restore it.

1. Find out whether the file is local or synced

In File Explorer, locate the file and inspect its full path. If the path is inside a OneDrive folder or a synced SharePoint library, treat it as a cloud-synced file rather than a purely local one. OneDrive and SharePoint files can appear in File Explorer, and changes to synced files are synchronized with the cloud. Microsoft explains how OneDrive sync works in Windows.

This distinction matters because Windows and cloud storage have separate recycle bins. A file may be absent from the Windows Recycle Bin yet still be recoverable through OneDrive or SharePoint, particularly if it was online-only. Microsoft notes that online-only OneDrive files do not appear in the computer’s Recycle Bin.

2. Check the right recycle bins

Windows Recycle Bin

Open the Recycle Bin on your PC and look for the file if it was stored locally or downloaded to the computer. If you find it and want it back, use the Recycle Bin’s restore option.

OneDrive or SharePoint recycle bin

For a file in a synced cloud location, check the recycle bin for the applicable OneDrive or SharePoint account online as well. If it is in a shared library, make sure you are checking the account and library where the file was stored. Microsoft’s OneDrive restore guidance describes account-specific recovery.

Microsoft’s current guidance says deleted items remain in the OneDrive recycle bin for up to 30 days for personal accounts and 93 days for work or school accounts, unless an administrator changes the latter setting. These are retention periods, not guarantees that every deleted item will be available throughout the full period. Check Microsoft’s OneDrive restore instructions for details.

3. Delete or move the file based on what you want

Remove it from both the PC and OneDrive

Delete the file from inside the OneDrive folder in File Explorer. That action removes it from OneDrive and the synced PC; allow sync to complete, then check OneDrive online to verify the cloud copy is gone. Microsoft describes the effects of deleting files or folders in OneDrive.

Keep a local copy but remove it from OneDrive

Move the file outside the OneDrive folder. Deleting it from inside that folder is not the right choice if you want to keep a copy on the PC while removing it from OneDrive; moving it outside separates the local copy from OneDrive sync. Microsoft’s deletion guidance explains this distinction.

4. If the file returns, check sync activity before deleting it again

Microsoft’s support guidance explains sync and recovery behavior, but it does not establish one universal cause for recurring files. If the file is in OneDrive or SharePoint, check its status in OneDrive and confirm whether the cloud copy still exists. If the file is in a shared location, another synced device or collaborator may be changing it; that is a possibility to investigate, not a confirmed explanation for every case.

  • Confirm the file’s full path and whether it is in OneDrive or a synced SharePoint library.
  • Check OneDrive’s sync status and the cloud copy online.
  • Consider whether another device or person with access to the shared location could be changing the file.

5. Restore an accidentally deleted file

Use OneDrive Version History for an earlier cloud version

If the file still exists but its contents changed, OneDrive Version History may let you restore an earlier version. This is different from restoring a deleted item from a recycle bin. Work or school administrators may disable Version History. Microsoft explains how to restore a previous OneDrive file version.

Use Windows File Recovery only for local storage

If a local file is no longer in the Recycle Bin and you have no backup, Microsoft’s Windows File Recovery utility may attempt to recover it from local storage. It does not recover cloud storage or network shares. Avoid using the affected drive as much as possible while deciding what to do, because new data may reuse the space the deleted file occupied. Microsoft advises: “If you want to increase your chances of recovering a file, minimize or avoid using your computer.” Read Microsoft’s Windows File Recovery guidance.

6. Protect future files with a backup

File History can save copies to an external drive or network location, giving you a separate recovery source if a local file is lost. Set it up and confirm backups are running. A backup protects copies of your files; it does not stop OneDrive or SharePoint sync from changing or removing a synced item. Microsoft’s File History instructions cover setup and restore.
