Use Command-Space to open Spotlight, then narrow the search by result group, app, item type, or storage location. You can also preview files, reveal their locations, run actions, and adjust which results Spotlight shows. These are built-in macOS features; exact options can vary by macOS version, language, region, and settings.
1. Open Spotlight with a keyboard shortcut
Press Command-Space to open Spotlight, or press it again to close the search. If that shortcut has been reassigned on your Mac, use the Spotlight control in the menu bar instead. Apple documents both methods in its Spotlight keyboard shortcuts guide.
2. Jump to a result group
When Spotlight is open, use a number shortcut to focus on a category:

3. Search within an app on Mac
Type an app’s name, such as Mail, Notes, or Preview, then press Tab and enter your search. Spotlight restricts results to that app, which can be useful when you know where an email, note, or other item belongs. Apple documents this method in its Spotlight search narrowing guide.
4. Search only for a kind of item
Use a slash followed by an item type, such as /PDF, or include a kind: keyword in your query. For example, kind:images New York City searches for images related to that phrase.

Apple lists kind keywords for apps, contacts, folders, email, events, reminders, images, movies, music, audio, PDFs, settings, bookmarks, fonts, and presentations. The exact results depend on what Spotlight can find on your Mac. See Apple’s guide to narrowing search results.

To constrain a search by location, type iCloud Drive in Spotlight, press Tab, then enter a filename or search term. This is different from excluding a folder or disk in settings: a location filter narrows the current search, while an exclusion changes which locations Spotlight searches. Apple describes the iCloud Drive method in its search narrowing instructions.

6. Preview a result without opening it
Select a result and press Space to view it in Quick Look. Press Return when you want to open the selected result. Apple lists both shortcuts in its Spotlight keyboard shortcuts guide.
7. Find where a file is stored
Select a file result and hold Command to show its path. To show a result in an app or in Finder, use Command-R or Command-click the result. These options help when the filename is familiar but its folder is not. See Apple’s shortcut guide.

8. Run actions from Spotlight
Spotlight can find and run actions as well as locate files. Apple’s examples include sending a message, changing the case of copied text, and removing an image background. Use Command-3 to narrow results to Actions, then choose an action. The available actions depend on macOS and the apps and features configured on your Mac. 9. Assign a quick key to a frequent action
For an action you use often, add or edit a quick key from that action’s Spotlight result, then use the assigned key to invoke it. Apple notes that suggested quick keys can be assigned after you run an action once. The exact controls depend on the action and your macOS version; see Apple’s guide to Spotlight actions and shortcuts.

10. Adjust Spotlight results and search privacy
Choose which result categories appear
Open System Settings > Spotlight to turn result categories on or off. This changes which kinds of results Spotlight presents; it is not the same as excluding a location from search. Apple’s result category guide explains the controls.
Exclude folders or disks from search
To prevent Spotlight searches in a specific folder or disk, open System Settings > Spotlight and use Search Privacy to add the location. Excluding locations can prevent update notifications for some apps; excluding the entire internal disk prevents update notifications. Apple documents the trade-off in its guide to preventing searches in folders or disks.
Review the search-improvement control
Spotlight settings also include Help Apple Improve Search, which governs storing search queries to help improve results. Apple describes this control in its Spotlight settings guide.

Which Spotlight filter should you use?
| What you want to narrow | How to do it |
|---|---|
| Result category | Use Command-1 for Applications, Command-2 for Files, Command-3 for Actions, or Command-4 for Clipboard where available. |

The first four methods narrow the results you see; Search Privacy excludes a location from Spotlight searches and can affect some app update notifications.
