Use a software KVM when you want one keyboard and mouse to control multiple computers while each computer keeps its own monitor connection. Choose a hardware KVM when one monitor must switch between computers, when you need USB peripherals to follow the active computer, or when you must reach a machine before its operating system loads. A software tool can be the cheaper and more flexible option, but it depends on compatible operating systems, a working network path and installed software on every computer.

The right choice depends on what you need to switch: keyboard and mouse only, or video and other USB devices as well. The guide below shows how each approach works, what to check before buying or installing anything, and when a hybrid setup makes sense.

Software KVM vs. hardware KVM at a glance

Desk requirement Better starting point Checks before you commit
One keyboard and mouse for two or more computers, with a display connected to each Software input sharing Supported operating systems, local-network access, security settings, clipboard and file-transfer behavior, and permission to install software
One physical monitor shared by multiple computers Hardware KVM switch Computer video outputs, monitor inputs, display count, resolution, refresh rate, USB ports and switching method
Control a computer before its operating system starts Hardware KVM switch Confirm that the specific switch supports the required pre-boot access
Work-managed or restricted computers Whichever your policy permits; often hardware is simpler Software-installation rights, network rules, USB-device policy and approval from your administrator
Laptop connected through USB-C Either approach Video support on the laptop, dock or adapter, and display or switch; a USB-C connector alone does not guarantee video output

Software KVM tools generally transmit keyboard and mouse actions over a network connection. Hardware KVMs electrically or electronically switch connected video and USB signals. They are not interchangeable categories: the first primarily changes which computer receives input, while the second can change which computer owns the monitor and attached peripherals.

What a software KVM actually does

A software KVM-style application runs on each participating computer. It sends keyboard and mouse events from one machine to another across a local network, usually letting you move the pointer across an edge of the screen or use a hotkey. Because the application is responsible for the hand-off, the operating system must be running and the software must be connected on both sides.

What is shared

  • Keyboard and mouse control are the core functions.
  • Some applications add a shared clipboard or file transfer. Those features can move data between computers, so enable them only when your policy and threat model allow it.
  • The monitor signal normally stays where it is. For example, Synergy’s FAQ says users must change the monitor’s input themselves when moving between computers.

Why people choose software

  • No dedicated switch is required, so you can keep each computer connected directly to its own display.
  • It is convenient for a desktop and laptop sitting side by side: move the pointer between screens instead of reaching for a physical button.
  • Features can be updated in software, and a supported application may work with computers that have different video connectors.
  • Microsoft’s Mouse Without Borders documentation lists control of up to four computers, plus clipboard sharing and file transfer.

Where software reaches its limits

  • Every computer needs a compatible application, and requirements differ by operating system and release. Check the current documentation for the tool you intend to use.
  • The computers must be able to communicate. A firewall, separated wireless networks, VPN, sleep state or corporate network rule can prevent pairing or interrupt control.
  • A software client cannot provide normal desktop control before that computer’s operating system and client have started.
  • It does not automatically select a monitor input. You still need a monitor with multiple inputs, a monitor button, or a separate display switch.

What a hardware KVM switch does

A hardware KVM (keyboard, video, mouse) switch sits between the computers and the shared display and peripherals. Each computer connects to an input on the switch; the switch’s output connects to the monitor. Pressing a button, using a wired remote or sending a supported hotkey selects the active computer.

When hardware is the clear choice

  • You want one physical monitor to show different computers without manually changing the monitor menu.
  • You need the keyboard and mouse to work at a login screen, firmware screen or other pre-boot stage. The exact capability depends on the switch and the computer’s interfaces.
  • You want to switch additional USB devices such as a webcam, storage device or audio interface, provided the chosen KVM has the correct ports and supports that device type.
  • Installing network software is prohibited or impractical.

Trade-offs

  • The switch must match every signal in the chain: connector type, number of displays, resolution, refresh rate and USB standard.
  • A higher-bandwidth monitor setup can require a more capable and more expensive switch and cables.
  • Some switches emulate a keyboard, mouse or display to keep computers from rearranging windows when you change inputs; behavior varies by model.
  • A hardware KVM removes the network application from the switching path, but that does not prove that every model provides the same data isolation. For sensitive environments, read the actual manufacturer security documentation and follow organizational requirements.

Decide by asking five practical questions

1. What must change when you switch?

If only keyboard and mouse need to move, software is usually the simplest route. If the monitor, USB devices or audio must follow the active computer, start with a hardware KVM specification that lists those signals explicitly.

2. Do both computers have a usable network path?

Software input sharing needs reachability between the machines. Confirm that they can communicate on the same permitted network and that firewalls allow the application. Do not assume that two computers connected to the internet can discover each other; local network isolation and VPN policies can block them.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Must you operate a computer before login?

Use hardware for firmware, boot-loader or early-login access, and verify that the particular KVM supports it. A software client cannot receive input while its operating system and client are not running.

4. How many displays and what performance target?

Write down the number of monitors, each monitor’s inputs, target resolution and refresh rate. A dual-monitor, high-refresh setup needs a KVM designed for two displays and the required bandwidth; a single office monitor has very different requirements.

5. Are you allowed to install and run the software?

On an employer-managed computer, check policy before installing an input-sharing client or enabling clipboard and file transfer. If software or network connections are restricted, a permitted physical KVM may be more practical.

Set up a software KVM with Microsoft Mouse Without Borders

Mouse Without Borders is a Windows-oriented example distributed through Microsoft PowerToys. Microsoft documents support for up to four computers, keyboard and mouse sharing, clipboard sharing and file transfer. Other software projects: check compatibility before mixing tools

Commercial and open-source projects use different protocols, encryption models and platform support. Do not assume that a configuration file or client from one project can be paired with another. The Input Leap project describes itself as software that mimics KVM behavior by sharing a keyboard and mouse, and its README states that it is not compatible with Synergy. Check the project’s current supported platforms and release activity before installation.

For any software option, verify four items on its current documentation: supported operating systems, whether a server component and client component are both required, network ports or discovery method, and what security controls protect the connection. Requirements can change between releases.

Choose and install a hardware KVM without losing display performance

Gather your equipment details first

  • Computer count and model, including every available video output.
  • Monitor count, input types, resolution and target refresh rate.
  • Keyboard and mouse connector type, plus any other USB devices that must switch.
  • Whether audio, storage, webcam or touch input also needs to follow the active computer.
  • Whether a laptop reaches the display through a dock or USB-C adapter.

Match the signal path

Choose a KVM whose input and output connectors match the computers and monitor, or plan verified cables and adapters. Confirm that its published resolution and refresh-rate limits cover your target mode for every computer, not merely the maximum of one port. For two monitors, select a dual-display KVM rather than assuming a single-display unit can be expanded.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Connect and test in a controlled order

  1. Turn off or disconnect the computers if the KVM’s instructions require it.
  2. Connect each computer’s video output to a matching KVM input.
  3. Connect the KVM’s video output to the monitor. For multi-monitor setups, connect every display output in the documented order.
  4. Attach the KVM’s USB host cables to the computers and plug the keyboard and mouse into the KVM’s designated console ports.
  5. Connect optional audio, storage or other peripherals only if the KVM explicitly supports them.
  6. Apply power, select one computer and confirm that the monitor reports the expected input and resolution.
  7. Switch to the next computer and test video, keyboard, mouse and each additional peripheral separately. Test a reboot to verify login and pre-boot behavior.

USB-C, docks and adapters: the most common compatibility trap

A USB-C-shaped connector does not by itself promise display output. Microsoft’s USB-C troubleshooting guidance explains that Alternate Mode depends on support from the computer’s hardware and software and from the connected device or dongle.

Trace the complete path: laptop port, dock or adapter, cable, KVM input and monitor output. Check video support at each link and confirm that the dock can sustain the resolution and refresh rate you want. A dock may provide charging and USB data while lacking DisplayPort Alternate Mode, or it may support one display but not two at the required refresh rate. If a laptop shows no signal through a KVM, bypass the KVM with a direct connection first; that isolates the laptop, adapter and cable before you troubleshoot the switch.

Security and management considerations

Software input sharing creates a network relationship between computers. Clipboard and file-transfer features can move information across that relationship, so use a trusted network, protect the application’s key or credentials and enable only the functions you need. Follow workplace rules for managed computers, especially where sensitive data or regulated systems are involved.

Mouse Without Borders’ service-account warning is a concrete example of why account context matters. A tool running with elevated or service privileges can have more control than the same tool running in a normal user session. Review permissions during installation and after updates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A physical KVM avoids relying on a network application for the switching action, but security properties differ by design. If isolation, USB filtering or tamper resistance matters, verify those properties in the exact model’s documentation instead of assuming that every hardware KVM is equivalent.

Troubleshoot by symptom

The software client cannot connect

  • Confirm both computers are awake and the client is running.
  • Check that the computer names and security key were entered exactly.
  • Test whether the machines can communicate on the permitted local network.
  • Review host-firewall, VPN and network-isolation rules.
  • Temporarily disable optional clipboard or file-transfer features to determine whether a feature-specific policy is blocking the connection.

The pointer moves, but the monitor does not change

That is normal for input-sharing software. Change the monitor input manually or add a hardware video switch; software pointer movement does not carry the display signal.

A hardware KVM shows “no signal”

  • Connect the computer directly to the monitor to verify its output.
  • Check that the KVM supports the selected resolution and refresh rate on that input.
  • Replace or reseat cables and adapters, then test one computer and one monitor at a time.
  • For USB-C, verify Alternate Mode support on the laptop and every dock or dongle in the chain.
  • Check whether the KVM needs external power or a specific startup order.

Keyboard or mouse works only after the operating system loads

Look for the KVM’s documented pre-boot support and emulation behavior. Some devices require their own power or a particular USB port for firmware and login screens; others cannot provide pre-boot control at all.

Windows rearranges windows or changes resolution after switching

This usually indicates that the computer is losing its display or USB identity during the switch. Check whether the KVM provides display emulation or EDID retention, and confirm that the monitor and graphics driver support the selected mode.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

When a hybrid setup is best

You do not have to choose one method for every task. A common hybrid arrangement leaves each computer connected to its own monitor, uses software to share keyboard and mouse, and adds a hardware video switch only if a single display is required. Another arrangement uses a hardware KVM for a primary monitor and keyboard while a software client controls a third computer whose display remains on a separate screen.

Design the signal paths deliberately: decide which computer must be reachable before boot, which devices can carry clipboard or file data, and which displays need instant switching. Then verify each path independently rather than assuming that a software client will control a hardware switch or that two different software projects can interoperate.

A concise buying and setup checklist

  • List computers, monitors, video outputs and target resolution/refresh rate.
  • Mark whether you need keyboard and mouse only, or video, audio, storage, webcam and other USB switching.
  • For software, verify operating-system support, network reachability, installation rights and security controls.
  • For hardware, verify every connector, display count, bandwidth rating, USB capability, power requirement and switching method.
  • For USB-C, confirm video support on the laptop, dock or adapter and the display or KVM; do not infer it from the connector shape.
  • Test one complete path before adding optional devices or higher-performance display modes.
