The most useful small-business apps are the ones that remove a specific bottleneck—such as re-entering invoice details, losing track of customer follow-ups, or coordinating work across a team. Start with the process that needs fixing, then choose software that fits your business model, existing systems, staff, and local requirements. There is no single best software stack for every small business.

What software does a small business actually need?

There is no universal checklist. A solo consultant, a shop with inventory, and a service business with employees have different workflows. Australian government guidance identifies practical uses such as invoicing, team communication, cloud storage, ordering, payments, and product tracking. Treat these as options to match to real tasks—not as a list of purchases every business must make.

Software category What it can help manage When it may be useful
Accounting and invoicing Income and expenses, account reconciliation, invoices, accounts receivable, and accounts payable When you need reliable financial records, clearer cash availability, or less manual invoicing
Payroll and HR Payroll and employee-related administration When you employ staff; payroll and employment rules depend on where the business operates
Customer and sales management (CRM) Customer interactions and sales activity When customer details or follow-ups are difficult to coordinate; a CRM does not guarantee increased sales
Payments and commerce Orders, payments, and—in some businesses—product tracking When you sell products or services and need transactions to connect with the rest of the workflow
Inventory and operations Stock, projects, coordination, or operational reporting When inventory, multi-step work, or reporting creates a recurring management burden
Email, documents, cloud storage, and team communication Shared files, communication, and collaboration When people need to work with the same documents or coordinate across locations
Cybersecurity and backup Access protection, device and data security, and recovery copies For any business storing or handling important business information

Which workflows should you digitise first?

Start with bookkeeping and invoicing

Financial management is a foundational workflow, not just a way to prepare reports. The U.S. Small Business Administration (SBA) describes the need to track revenue and expenses, choose between cash and accrual accounting, manage receivables and payables, monitor cash availability, reconcile accounts, and handle payroll. Accounting software may automate invoicing, but you still need a process that produces accurate records and suits your business and local rules.

Add tools for customers, orders, or stock when they solve a real coordination problem

A CRM can organise customer interactions and sales activity. Payment and commerce tools may connect orders with payments and product tracking, while inventory, project-management, enterprise resource planning (ERP), and analytics tools may help businesses with stock, complex coordination, or reporting. These are software categories, not required steps on a growth ladder. Choose them only when the work justifies the added setup and administration.

Use shared tools deliberately

Cloud storage, email, and team communication can make shared work easier. Decide who administers each service, who needs access, and what each person should be allowed to do. The SBA advises reviewing cloud access and limiting privileges rather than leaving permissions broad by default.

How do you choose software without creating more work?

  1. Name the friction. Identify a recurring task that causes delay, repeated data entry, missed follow-up, or avoidable errors. Define what a better outcome would look like.
  2. Map the people and systems involved. List who needs to use the tool and note the accounting, payment, customer, and file systems already in place. A new app that creates a separate copy of information may add work instead of removing it.
  3. Compare fit, controls, and ownership costs. Check whether the tool covers the task, integrates with existing systems, supports appropriate permissions, and lets you export or back up your data. Also assess local tax, payroll, privacy, and records requirements; implementation, training, and support; and total cost for the expected team size. Consider whether it can scale without forcing unnecessary complexity.
  4. Try one workflow before committing. Test with real data only when it is appropriately protected. Confirm that staff can complete the task, that the records are usable, and that information can be recovered or exported. Australian government guidance recommends checking a tool’s fit before paying annually, even though an annual plan may cost less.
  5. Set up security as part of deployment. Require multifactor authentication (MFA) where available, turn on automatic updates, create separate user accounts, restrict administrator privileges, and establish a backup routine. Review access when employees or vendors leave.

Software prices, feature sets, integrations, and legal requirements vary, and the official guidance available here does not establish a current vendor price comparison or an all-purpose winner. Compare tools against your own workflow and verify local compliance requirements before adopting them.

How should a small business protect its software and data?

Buying a security product alone does not secure a business. Protection depends on how tools, accounts, devices, networks, and staff practices work together. The SBA recommends software updates, MFA, restricted privileges, separate employee accounts, secure payment processing, and regular review of cloud access. The Federal Trade Commission (FTC) also advises encrypting sensitive data and devices, securing wireless networks, and using secure remote connections.

  • Use MFA for accounts that hold sensitive information, and give each worker an individual account rather than sharing logins.
  • Keep software updated, preferably with automatic updates enabled where appropriate.
  • Give users only the access their roles require; review administrator and cloud-storage permissions periodically.
  • Use secure payment processing and protect sensitive data and devices with encryption.
  • Secure wireless networks and use secure connections for remote access.
  • Plan how the business will restore important files if data is lost or systems become unavailable.

Make backups recoverable

The FTC’s small-business cybersecurity guidance says, “Update software and back up files regularly.” It identifies cloud storage and an external hard drive as possible backup destinations. These are options, not guarantees: choose a routine that covers critical files and check that you can retrieve what you need. An external drive may provide a local backup copy; cloud storage is another possible destination.

Use a framework if you need a starting point

NIST’s 2024 Cybersecurity Framework 2.0 Small Business Quick-Start Guide is designed as a starting point for small, under-resourced entities. The FTC describes the CSF 2.0 as free, voluntary, and flexible for organisations of different sizes, sectors, and maturity levels.

What changes when a business goes digital?

Digitisation can make some processes more adaptable and support innovation, but it also brings work: staff may need new skills, data must be managed responsibly, and security needs ongoing attention. The OECD identifies skills, data management, and security as challenges alongside the potential benefits. Include training and administration in the cost of adopting a tool; software is not self-managing simply because it is online.

A 2023 online survey commissioned by Intuit QuickBooks and conducted in April 2023 included 5,175 small businesses: 2,805 respondents in the U.S., 1,210 in Canada, and 1,160 in the UK. Its questionnaire covered categories such as accounting and finance, CRM, cloud services, document storage, e-commerce, HR and payroll, inventory, payments, project management, and video conferencing. Because it was vendor-commissioned and the figure describes the survey sample, it should not be read as a current adoption rate or proof that any category is essential.

How should you decide what to add next?

Keep a short list of unresolved operational problems and choose the next tool only when it addresses one clearly. For each candidate, ask whether it fits the workflow, works with systems you already rely on, provides suitable access controls, supports export and backup, and is manageable for the people who will use it. Revisit the decision if the business, team, or process changes. The right stack is the smallest set of dependable tools that gives your business the control and capacity it needs.
