Choose a small-business laptop by matching it to the work employees actually do, then checking memory and storage, day-to-day usability, security, and support and compatibility. No single configuration suits every business: a travel-heavy role has different priorities from a desk-based employee handling large spreadsheets or creative files.
1. Match processor performance to the workload
Start with the applications employees use, not a processor label. Email, web browsing, office documents, and video calls have different demands from large spreadsheets, CRM databases, creative applications, or local data analysis. Dell’s small-business guide, last updated in September 2026, recommends choosing processor performance according to workload and points to higher-performance configurations for demanding multitasking and creative work.
Processor names and generations change, so compare the exact configuration available with the requirements of the business’s software. A product tier or brand name alone does not guarantee a particular level of performance. Balance headroom for the real workload against purchase cost rather than paying for capacity the employee is unlikely to use.

How much RAM do you need?
Recommendations vary by workload. Dell’s 2026 guide recommends 16 GB of RAM for everyday office work, 32 GB for frequent large spreadsheets, databases, CRM platforms, or several demanding applications, and 64 GB for creative and data-analysis work. Microsoft’s general computer-buying guide gives 8–16 GB for a multitasker. Treat these as source-specific guidance, not a universal minimum: check the software employees run and how many demanding tasks they keep open at once.

How much storage is enough?
Dell describes 512 GB as a popular choice for people keeping a mix of cloud and local files, 1 TB for larger local file libraries, and 2 TB for media libraries or large datasets. Microsoft’s general guide suggests 512 GB to 1 TB for users keeping many files locally and notes that cloud-first users may need less. Estimate the space needed for applications, local work files, offline travel access, and any large media or data collections. Also verify whether storage can be expanded in the exact configuration; do not assume every laptop allows an upgrade.
3. Check the everyday experience: screen, keyboard, battery, and ports
Screen size is a trade-off: more room can help with spreadsheets and side-by-side documents, while a smaller, lighter laptop may suit frequent travel. Check the display quality and resolution, then consider keyboard comfort, webcam, and microphone for the employee’s regular tasks.

Inspect the actual ports and confirm they fit the desk setup. Check USB-C, USB-A, and video connections as needed, and confirm that the laptop can drive the monitors employees already use. If a USB-C dock is part of the setup, verify that the laptop supports the dock’s required display outputs, charging, and peripherals; the connector’s presence alone does not establish that every dock feature will work.

Do not treat advertised battery duration as a guarantee of a workday. Runtime depends on the specific configuration, brightness, applications, wireless use, and power settings. For employees who travel or work away from outlets, look for independent real-world results for the exact configuration being considered, when available.

4. Verify security and operating-system suitability
Confirm that the operating system remains supported and that required business software and security tools work with it. For Windows devices, Microsoft Learn identifies Secure Boot, TPM 2.0, BitLocker device encryption, Microsoft Defender, and Windows Hello among baseline Windows security components. Dell also calls out TPM 2.0 and biometric sign-in as features to consider.
Check the exact laptop configuration rather than assuming every option in a product family includes the same security hardware or biometric features. Microsoft describes Secured-core PC protections as relevant to organizations with more sensitive workloads. For regulated or sensitive work, use the organization’s security and compliance requirements to decide which protections are necessary. Hardware features support a security strategy; they do not make a device secure on their own.

5. Compare support, compatibility, and lifecycle cost
Review the service terms
Compare warranty duration, the repair process, support or response levels, and accidental-damage coverage if the business needs it. Terms vary by vendor and configuration, so check what applies to the particular purchase rather than relying on a product-family description. Also consider whether the service and deployment options fit the team’s size and support needs.
Check the existing setup
Before buying, verify compatibility with the company’s docks, monitors, chargers, security tools, and required software. A laptop that fits the existing workplace can avoid additional setup changes, but confirm the functions employees rely on—especially display support and charging—against the laptop’s specifications.

Plan around supportability, not a fixed replacement date
Dell advises that many small businesses plan a refresh every three to five years. That is a planning interval from Dell, not a universal rule. Practical signals to reassess a device include slowdown, inability to run current software or operating-system updates, battery life that no longer lasts through the workday, or security features that no longer meet current requirements.
Quick Recap
A quick buying checklist
- List the employee’s core applications and identify whether the work is routine office use, demanding multitasking, or creative and data-heavy.
- Choose RAM and SSD capacity for that workload and expected local files, including offline needs.
- Weigh screen area against portability; check keyboard, camera, microphone, battery evidence, and required ports.
- Verify operating-system support, required software compatibility, and the exact security features in the configuration.
- Confirm warranty and support terms, and test compatibility with existing monitors, docks, chargers, and security tools.
