Professional financial management and well-governed AI can help a small business make better-informed decisions, but neither guarantees growth. Reliable records, useful forecasts and disciplined follow-through make it easier to see cash needs, understand costs and evaluate options. Demand, pricing, operations and access to funding still matter, and current survey findings do not prove that financial-management practices or AI caused businesses to grow.
What the evidence says about financial management, AI and growth
Intuit QuickBooks’ July 2026 Small Business Insights survey reports that 50% of respondents said their business was growing, 79% wanted growth and 86% reported profitability. In the same survey, 49% said poor financial or resource management was holding them back. These are self-reported findings, not audited results or evidence that any one practice produced growth.
The survey covers approximately 5,000 small to midsize businesses in the US, Canada, UK and Australia. It defines small businesses as having 0–100 employees in the US, Canada and UK, and 0–50 in Australia. Respondents were owners and decision-makers; the sample was anonymous, remunerated and included a Dynata panel. Its results are useful context, not a forecast of what an individual business will achieve. Read the survey’s methodology and findings.

Start with records you can rely on
When asked what system they use to record and manage financial transactions, 53% of survey respondents said they use spreadsheets for financial management, while 31% said they use pen and paper for recording or managing transactions and data. Respondents rated accounting systems as the most useful category of digital tool. These figures describe varied practices, not a finding that every business must use a particular product.
Separate bookkeeping from financial planning
- Bookkeeping records transactions consistently and keeps supporting details organized.
- Accounting and tax work can help interpret records, meet reporting obligations and address questions that require professional judgment.
- Financial planning uses records to consider cash needs, costs, pricing, investments and possible scenarios.
Two-thirds of respondents reported having support from a qualified accountant. That reflects common practice in the survey, not a universal requirement. The right mix depends on transaction volume, complexity, regulatory obligations and the decisions the owner needs to make.
Make the records useful across the business
Financial visibility depends on consistent, timely inputs. Reconcile bank activity, categorize transactions consistently, track invoices and bills, and make sure the people responsible for bookkeeping know how to record unusual transactions. If several tools hold separate versions of the same information, decide which system is authoritative and how changes flow between them.
Integration deserves attention before adopting another app: 36% of survey respondents said lack of integration between digital tools was a challenge. The survey also found that 64% agreed the leading benefit of their most useful digital tools was greater efficiency; saving time and reducing errors were other reported benefits. Those are reported perceptions, so compare a tool’s expected benefit with setup, training and subscription costs in your own workflow. See the survey’s digital-tools findings.

Use forecasts to make cash decisions earlier
A cash-flow forecast estimates when money may come in and go out. It is different from a profit figure: a business can be profitable on paper and still face a cash shortfall if customer payments arrive after payroll, tax or supplier bills are due. In the July 2026 QuickBooks survey, 44% reported cash-flow problems, and 59% said they waited more than 30 days for invoices to be paid.
A practical forecast starts with expected receipts and payments, not an AI label. Review the timing and assumptions behind customer payments, payroll, taxes, rent, debt service, inventory and planned purchases. Update it when invoices slip, costs change or a new commitment is made. A forecast is most useful when it shows a decision point early enough to act—for example, when to follow up on receivables, defer a discretionary purchase or arrange financing.
What to look for in forecasting software
- Inputs: Which accounting records, bank accounts and planned transactions can it use?
- Horizon and scenarios: Can it show the period you need and let you test delayed receipts, higher costs or planned investments?
- Assumptions: Can you inspect, edit or override forecast dates and values?
- Connections: Does it work with your accounting, invoicing, payroll and payment systems without creating duplicate work?
- Controls and cost: Who can access financial data, how is sensitive information handled, and is the time saved worth implementation and ongoing expense?
Examples of documented forecasting features
Forecasting features vary by product. Intuit’s support documentation says Intuit Enterprise Suite’s AI-assisted forecast uses 18 months to two years of historical financial data to produce a 13-week forecast. Users can switch between AI-assisted forecasting and planned transactions, change forecast periods and data sources, and adjust planned events or transaction dates. These are features described for that product—not a standard capability or accuracy guarantee for AI forecasting. See Intuit’s forecast setup and customization guidance.

Apply AI to a defined task, not to an unclear problem
In the July 2026 QuickBooks survey, 80% of respondents said they used AI regularly. Among respondents using AI, 75% said it boosted productivity; 18% of businesses using AI said it was core to operations, and 41% said they used it for marketing. These are self-reported adoption and perceived impact—not measured returns, proof of revenue growth or evidence that the tools caused the reported outcomes. Read the survey’s AI findings.
AI is best treated as assistance with a bounded workflow: organizing information, drafting a summary or helping explore scenarios. It should not be treated as the source of truth for books, a replacement for accounting judgment, or a reason to act on unverified assumptions.
A cautious workflow for AI-assisted cash planning
- Choose the problem first. Identify a repetitive or data-heavy task, such as preparing a weekly cash snapshot, rather than adopting AI simply because it is available.
- Check data permissions before use. Confirm that the tool and your organization’s policies allow the information you intend to provide. Do not paste sensitive financial records into a tool unless its handling is appropriate and authorized.
- Ask for a draft, not a decision. A bounded request might ask for a cash-flow snapshot and a 12-week projected calendar based on approved cash-flow, income, balance-sheet and receivables/payables data.
- Verify the output against the source records. Check dates, amounts, missing transactions and assumptions. Correct errors before anyone relies on the result.
- Have an accountable person review it. A business owner or qualified finance professional should evaluate the result in context before changing spending, financing or payment decisions.
- Measure whether the workflow is worthwhile. Compare time saved and errors avoided with setup, review, integration and ongoing costs.
Bank of America’s May 2026 guidance advises businesses to identify the workflow problem, review and validate AI output, and protect sensitive data. It states: “You should never input confidential customer financial information, employee Social Security numbers, proprietary business formulas or other confidential data into AI tools.” This is that source’s guidance; applicable legal, contractual and company requirements depend on the business and tool. Do these 3 things before closing this tab:
1Scan for outdated or missing drivers - takes under a minute2Repair Windows errors before they cause bigger problems3Fix the driver behind crashes, sound loss and screen glitchesConnect financial visibility to growth decisions
Better records and forecasts support growth when they inform a concrete choice. Before expanding, hiring, buying equipment or increasing marketing spend, use current cost and cash information to ask what the decision requires, when it will affect cash, and what results would justify continuing. The survey’s most common operational challenge was project costing and price estimates, cited by 19% of respondents. Cost visibility can help owners test whether quoted work, products or projects are likely to cover their costs, but it cannot establish what customers will buy.

Growth also depends on demand, pricing, execution and funding. A forecast can reveal a cash constraint; it cannot by itself solve weak demand, unreliable delivery or an unsustainable price. The survey reported that 64% planned to invest in business growth or efficiency gains over the following three months. That is a stated intention among respondents, not evidence that the planned investment occurred or succeeded.
Choose support according to the decision you need to make
Use software when the core need is repeatable recordkeeping, connected transaction data or a forecast that staff can maintain. Consider an accountant or bookkeeper when records, tax work or reporting require expertise. More complex planning—such as evaluating several financing or expansion scenarios—may call for higher-level financial support. These roles can complement one another; no tool or service removes the need to check inputs and own decisions.
When evaluating an option, match its scale to your transaction complexity and check data connections, forecast horizon, editable assumptions, integrations, access controls and total cost. Prefer a clear workflow and inspectable output over an “AI-powered” label. If the tool cannot show where its numbers came from or how to correct them, it is a poor fit for decisions that depend on cash accuracy.
