Change security settings in four layers, in this order: secure the router and Wi-Fi, patch and protect every computer, enforce multi-factor authentication (MFA) and least-privilege access for cloud accounts, and maintain encrypted backups that include an offline or isolated copy. The exact menu names depend on your router model, operating system, cloud provider and subscription, so use current vendor documentation for the final clicks. These controls address the most common ways a small business loses data or an attacker gains a foothold without assuming that every business has the same equipment.
Which security changes should a small business make first?
Start with controls that block unauthorized access and limit the damage if one account or device is compromised. A practical order is:
- Secure the network edge: change the router administrator password, install current firmware, select the strongest Wi-Fi encryption the equipment supports, and separate guest devices from business systems.
- Secure endpoints: turn on automatic updates, replace unsupported software and operating systems, enable malware protection and the host firewall, and inventory every device.
- Secure identities: require MFA, beginning with administrator, privileged and remote-access accounts; use unique passwords, individual accounts and least-privilege permissions.
- Secure recovery: automatically back up critical data and configurations, encrypt backup copies, keep at least one offline or isolated copy, and test that files can actually be restored.
This sequence follows recommendations from the Cybersecurity and Infrastructure Security Agency (CISA), CISA Cyber Essentials and a CISA-hosted Federal Communications Commission small-business tip sheet. CISA’s 2024 Federal Mobile Workplace Security guidance also provides router and network safeguards that are useful for small-business and remote-work environments, although that document was written for federal mobile workers rather than as a small-business mandate.
Router and Wi-Fi settings to change
Replace the default administrator password
Sign in to the router’s management interface and replace the factory administrator password with a long, unique credential. Do not reuse the Wi-Fi passphrase or a password used for email, billing or another service. Store the new credential in a protected password manager or another controlled business record so the person responsible for the network can retrieve it during an outage.

- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
The administrator password controls firmware, wireless security and network configuration. A strong Wi-Fi passphrase cannot compensate for an exposed or unchanged management password. If the router allows separate administrator usernames, assign an individual account to each administrator rather than sharing one login.
Install firmware updates and check support status
Enable automatic firmware updates when the router offers them, or assign someone to check the manufacturer’s support page on a regular schedule. Confirm that the installed model is still receiving security updates. A router that no longer receives firmware support should be replaced, even if it still provides adequate speed.
Before updating, record the current configuration and the steps needed to reconnect the business. Firmware updates can restart the device or change available options. If the vendor provides release notes, look for security fixes and any changed authentication or remote-management behavior.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsUse the strongest available Wi-Fi encryption
In the wireless-security setting, choose the strongest encryption option supported by both the router and the business devices (for example, WPA3 where it is available). Avoid open networks and obsolete encryption modes. A few older devices may not support the strongest mode; isolate those devices on a separate network or replace them rather than weakening the main business network for every user.
Use a long, unique Wi-Fi passphrase and change it when an employee or contractor who knew it no longer needs access. Keep the passphrase out of public-facing areas and do not print it on a sign that visitors can photograph.
Separate visitors, personal devices and business systems
Turn on the router’s guest network when it provides isolation from the business network. Give visitors, smart appliances and personal devices the guest credentials instead of the business Wi-Fi password. If the equipment supports more formal network segmentation, use it to separate sensitive systems such as file servers, payment equipment or administrative devices.

Check the isolation setting after enabling a guest network. Some routers create a second network but still allow access to local devices unless a specific “guest isolation” or equivalent control is enabled. Verify from a guest-connected device that it can reach the internet but cannot open the router’s management page or shared business resources.
Decide whether to hide the network name
The older CISA-hosted FCC small-business tip sheet recommends hiding the service set identifier (SSID). Treat that as an additional recommendation, not as a substitute for encryption, a strong passphrase or access control. Hidden SSIDs can make legitimate setup and troubleshooting harder, and they do not make a network invisible to a determined observer. If you hide the SSID, document the exact name and security mode for authorized staff and still apply every other wireless safeguard.
Review remote administration and exposed services
Disable internet-facing router administration unless the business has a specific, documented need and a secure way to restrict it. If remote management is required, limit it to known addresses or a secure management path, require strong authentication and monitor its use. Turn off unused port forwarding, universal plug-and-play features and other services that expose internal devices. The available controls vary by model, so consult the current router manual rather than assuming a menu label.
Computer settings every small business should change
Enable automatic operating-system and application updates
Turn on automatic updates wherever the operating system and application support them. For software that cannot update automatically, keep a calendar or central management process that records the version, update owner and deadline. Include browsers, office software, remote-access tools, firmware utilities and line-of-business applications, not just the operating system.
Schedule restarts so updates complete instead of remaining downloaded but unapplied. If an update breaks a critical workflow, document the exception, apply compensating controls and set a date to remove the exception; do not leave an unsupported version in permanent service.
Replace unsupported operating systems, applications and hardware
Maintain an inventory listing each computer, operating-system version, important applications, owner and support end date. CISA guidance calls for replacing unsupported operating systems, applications and hardware because vendors no longer provide security fixes. A device that cannot run a supported version should not remain on the business network simply because it still starts.

Inventory remote and home-office equipment as well as devices in the office. Include laptops that connect only occasionally, because an unpatched roaming computer can bring malware back to the business network.
Enable malware protection and the system firewall
Use the operating system’s supported malware protection or an established security product, keep its detection components current and confirm that real-time protection is enabled. Turn on the host firewall for every network profile. When an application requests an inbound exception, verify the business need, restrict the rule to the required network and remove it when the need ends.
Do not install multiple products that fight over real-time scanning or firewall control unless their vendors explicitly support that configuration. Record who receives malware alerts and how the business will isolate a device that shows suspicious behavior.
Use individual accounts and lock down local access
Give each employee a separate account; do not use one shared administrator login. Standard users should work without administrative rights, while administrator access is granted only for a specific task and removed afterward. Configure automatic screen locking and require a password or other supported sign-in method after the lock. These settings reduce the damage from a stolen session and make activity attributable to a person.
Cloud and other account settings
Require MFA, starting with high-impact accounts
Enable MFA everywhere the provider offers it. Start with global administrators, billing and security administrators, remote-access users, email administrators and any account that can reset other passwords. Then extend MFA to every employee and contractor. CISA specifically prioritizes privileged, administrative and remote-access users when an organization is rolling the control out.
Choose an MFA method supported by the provider and practical for the account’s risk. A hardware security key can be appropriate for an administrator if the service accepts the relevant standard; an authenticator application or another supported method may be the available choice. Register more than one recovery method under controlled business ownership, and store recovery codes securely. Do not let a departing employee remain the sole holder of an account’s second factor.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
Use unique passwords and controlled recovery
Every cloud, email, finance and remote-access account should have a unique password. A password manager can generate and store those credentials, but the business must protect the manager’s master account with MFA and a documented recovery process. Never send passwords through ordinary email or place them in an unprotected spreadsheet.

Remove personal addresses or phone numbers that the business cannot control, and update recovery details when staff or providers change.
Apply least privilege and individual accountability
Grant each user only the permissions required for the job. Separate read, edit, export, billing and administrator roles where the service allows it. Avoid giving every employee a full administrator license simply because it is convenient. Use individual accounts so logs show who changed a setting or downloaded data.
Review third-party and service-provider access as carefully as employee access. CISA recommends least privilege for providers, reviewing those relationships and monitoring their activity. Use time-limited or task-specific access where available, require the provider’s own MFA, and remove the connection when the work ends.
Remove stale accounts promptly
When an employee, contractor or provider no longer needs access, disable the account, revoke active sessions and tokens, remove group membership and transfer ownership of business data. Include shared mailboxes, API keys, automation accounts and integrations in the offboarding checklist. Run a periodic access review to catch accounts that were never reported as closed.

Backups that are protected and recoverable
Back up data and system configurations automatically
Identify the data the business cannot recreate: customer records, accounting files, contracts, source code, credentials stored for operations and device or cloud configurations. Configure automatic, recurring backups rather than relying on someone to remember a manual copy. Include critical cloud data; synchronization is not the same as a historical backup when an attacker or mistake deletes files everywhere.

Set retention long enough to recover from a delayed discovery. Keep records of what is backed up, the schedule, retention period and person responsible for responding to failures.
Encrypt copies and isolate at least one location
Protect backups with encryption in transit and at rest when the platform supports it. CISA recommends an air-gapped backup location, and Cyber Essentials recommends offline copies. An offline or isolated copy cannot be altered through the same compromised account or network used to attack production systems.
An encrypted external drive can be one component of this plan, but a drive connected permanently to a computer is not offline protection. Rotate removable media safely, limit who can access it and store it where theft, fire and water damage are considered. Cloud backup can provide geographic separation, but verify the provider’s retention, encryption and account-recovery controls.

Record how long recovery takes and fix failures immediately. A dashboard showing successful backup jobs does not prove that the business can open the restored data.

Today: close the largest access gaps
- List router, administrator, email, cloud and remote-access accounts.
- Change default router and other privileged passwords.
- Enable MFA on administrator and remote-access accounts.
- Turn on the host firewall and malware protection on active computers.
- Confirm that at least one current backup exists and is not permanently connected to the production network.
This week: remove unsupported and unmanaged systems
- Inventory computers, operating systems, applications, routers and cloud integrations.
- Enable automatic updates and install pending security updates.
- Replace or isolate unsupported systems.
- Configure a guest network or other segmentation for visitors and personal devices.
- Review cloud administrators, service-provider access, recovery contacts and stale accounts.
Every month or quarter: verify that controls still work
- Check router and endpoint update status.
- Review privileged-account and provider-access logs.
- Confirm that terminated users cannot sign in and that old tokens are revoked.
- Run a restore test and record the result.
- Recheck that guest devices cannot reach business systems.
Choosing between implementation options
When equipment or services offer several ways to implement a control, compare them on compatibility, security capability, support status, operational effort and recovery needs. The following framework avoids assuming that one product or subscription fits every business.
| Decision | Option | Best fit | Trade-off to verify |
|---|---|---|---|
| Network separation | Router guest network | Small offices needing quick separation of visitors and personal devices | Confirm that guest isolation blocks local access; features vary by model |
| Network separation | More formal segmentation | Businesses with sensitive systems or managed networking expertise | Requires compatible equipment, documentation and ongoing administration |
| MFA method | Security key | High-impact accounts when the provider accepts the key standard | Requires enrollment, spare-key control and a recovery process |
| MFA method | Authenticator application or another provider-supported method | Accounts where users already have compatible managed devices | Plan for device loss, replacement and controlled recovery |
| Offline backup | Encrypted removable media | A business that can rotate and secure physical copies | Manual handling, theft protection and restore testing remain necessary |
| Backup service | Managed or cloud-based backup | Businesses needing automated schedules and off-site storage | Check retention, encryption, account recovery and provider access controls |
What to ask vendor documentation or an IT provider
Because labels differ, search the current documentation for these exact capabilities rather than copying instructions for another model or edition:
- How to change the router administrator password and disable internet-facing management.
- How firmware updates are delivered, how long the model is supported and how to export a configuration backup.
- Which Wi-Fi encryption modes are supported and how guest-client isolation works.
- How the operating system enables automatic updates, firewall protection, malware alerts and automatic locking.
- Which MFA methods, recovery codes, session revocation and administrator roles the cloud service supports.
- How to audit provider access, API tokens, delegated administration and sign-in activity.
- How backup encryption, retention, offline or isolated copies and full restoration are configured and tested.
If your team cannot determine whether a setting is enabled or cannot test recovery, engage a qualified service provider and require written documentation of the configuration, account ownership and offboarding process.

Common failure modes and fixes
- “The Wi-Fi is hidden, so it is secure.” Hiding the SSID does not replace encryption or access control. Use the strongest supported encryption, a unique passphrase and guest isolation.
- “Backups are running, but ransomware changed them too.” Keep an encrypted offline or isolated copy and restrict the account that can delete or alter backups.
- “Everyone uses the administrator account.” Create individual accounts, use standard permissions for routine work and reserve administrator rights for specific tasks.
- “MFA is enabled, but the former employee still receives prompts.” Disable the account, revoke sessions and tokens, remove delegated access and replace recovery methods during offboarding.
- “Automatic updates are enabled, yet a device is unsupported.” Updates cannot create fixes that the vendor no longer publishes. Replace or isolate unsupported hardware and software.
- “A guest network exists, but visitors can open internal devices.” Check the router’s client-isolation setting and test from an actual guest-connected device.
