Start with the accounts and data that could stop your business. Turn on multi-factor authentication (MFA) for business email, administrator accounts, file storage and remote access; require unique passwords; install security updates; train staff to report phishing; and maintain encrypted backups that are isolated from everyday accounts and tested for restoration. These controls reduce the chance and impact of an attack, but they cannot guarantee prevention.

The Cybersecurity and Infrastructure Security Agency (CISA) provides no-cost small-business guidance and services, so effective first steps do not automatically require a large security suite or a dedicated security department.

What does a small business need to protect first?

  1. Business email and administrator accounts. An attacker who controls an email account may reset other passwords, impersonate an owner, redirect payments or access cloud files. Begin with accounts that can change settings, create users or reach financial, customer, health or employee data.
  2. Critical business data. Identify accounting records, customer databases, contracts, payroll, intellectual property and the configurations needed to run essential services.
  3. Internet-facing and remote-access systems. Cloud administration portals, remote-desktop services, virtual private networks, web applications and exposed devices need current software and strong authentication.
  4. The people who can approve money or disclose information. Owners, finance staff, executives and anyone handling customer requests are frequent targets for convincing impersonation messages.

CISA’s small-business materials organize core protection around phishing avoidance, strong passwords, MFA, software updates, logging, backups and encryption. The right balance depends on your industry, systems, data and contractual obligations; a two-person consultancy and a medical practice do not have identical exposure.

What are common cybersecurity threats to small businesses?

Phishing and business-email compromise

Phishing messages imitate a colleague, supplier, bank or cloud service to make someone disclose a password, open a harmful attachment or approve a fraudulent payment. Business-email compromise can continue after a mailbox is taken over: the criminal may read prior conversations and send a realistic request from the genuine account.

  • Train employees to treat unexpected urgency, payment changes, password requests and unusual links as warning signs.
  • Make reporting simple: provide a clearly identified mailbox, button or chat channel, and ask staff to report even when they clicked.
  • Use a second communication method to verify payment or bank-detail changes.
  • Review mailbox forwarding rules and sign-in alerts when an account is suspected of compromise.

Fast reporting matters more than blame. A prompt report can let an administrator revoke sessions, reset credentials and warn recipients before the incident spreads.

Stolen, weak or reused passwords

Attackers try passwords exposed in unrelated breaches against business services. A password that is long but reused is still a liability. Require a unique password for every service, and use a reputable business password manager where practical. Protect the password-manager account itself with MFA and a strong, unique master password.

Account takeover when MFA is absent or weak

MFA adds a second proof of identity, so a stolen password alone is less useful. Eric Goldstein, CISA’s Executive Assistant Director for Cybersecurity, wrote in a CISA article published May 2, 2023: “Users who enable MFA are MUCH less likely to get hacked.” That is agency guidance, not a quantified guarantee for every business or MFA method.

Unpatched or unsupported software

Software updates often fix publicly known weaknesses. Attackers scan for systems that have not received those fixes. Enable automatic updates where they will not disrupt a critical workflow, maintain an inventory of devices and applications, and remove or replace products that no longer receive security support. Test updates on essential systems when a brief outage could affect operations.

Ransomware and destructive malware

Ransomware can encrypt shared files and local devices, interrupt operations and threaten to publish stolen information. A connected backup may be encrypted or deleted during the same attack. StopRansomware guidance emphasizes prevention, preparation and recovery; backups should be isolated or offline, encrypted and tested.

Insufficient logging and response preparation

If no one knows where sign-in, endpoint or cloud-service logs are available, suspicious activity may go unnoticed. Logging is not useful unless someone reviews important alerts and knows what action to take. A basic incident plan reduces delay when an account, device or supplier is compromised.

  1. List critical accounts and services. Record business email, cloud storage, accounting, payroll, customer systems, remote access, domain administration and administrator identities. Mark who can reset passwords or change security settings.
  2. Enable MFA. Start with administrator, email, remote-access and sensitive-data accounts. Enforce it for all users where the service permits. Store recovery codes securely and define who can recover a lost factor.
  3. Strengthen passwords. Replace shared or reused credentials, use unique passwords and remove former employees’ access. A password manager can make unique credentials practical for a small team.
  4. Patch and inventory devices. Turn on updates, check that operating systems and applications are supported, and remove unused accounts and software.
  5. Secure backups. Identify the data needed to resume work, back it up on a schedule, encrypt it and keep at least one copy offline or otherwise inaccessible from normal business accounts. Disconnect an external drive when it is not being used.
  6. Test restoration. Restore representative files or a system to a separate location. Record how long it takes, who performs it and what permissions or keys are required. A backup that has never been restored is an assumption, not a recovery plan.
  7. Train and rehearse reporting. Show staff how to recognize suspicious messages and how to report them without punishment. Ask them to report mistaken clicks immediately.
  8. Write an incident contact sheet. Include the person who can disable an account or isolate a device, your IT provider, cloud and internet providers, insurer, legal adviser and communications lead. Keep a printed or offline copy in case your systems are unavailable.

Which MFA method is strongest?

MFA is not one uniform technology. CISA’s listed ordering places physical security keys at the strongest end, followed by number-matching authenticator apps; one-time codes, biometrics and text or email codes appear lower in that ordering. Any available MFA is generally better than none, but methods differ in resistance to phishing and in recovery requirements.

Method What the user does Security and deployment considerations
Physical security key Insert or tap a hardware key and confirm the sign-in CISA’s strongest listed option and highly resistant to phishing; verify that each account, browser and device supports the key, and keep a protected spare or documented recovery method
Number-matching authenticator app Approve the number shown on the sign-in screen in an authenticator app CISA’s next listed option; more resistant to accidental approvals than a simple push, but phones, enrollment and recovery must be managed
Other authenticator or one-time code Enter a time-based or delivered code Useful improvement over no MFA, but codes can be phished or intercepted; protect the enrollment and recovery process
Text or email code Enter a code sent by SMS or email Listed by CISA among the weakest methods; use when stronger choices are unavailable and upgrade when the service supports it

A hardware MFA key is a physical security key used to sign in. It can suit owners, administrators and staff with access to sensitive data, but no key works with every account or connector. Check the service’s compatibility documentation before purchasing, and plan for lost-key recovery without disabling MFA for everyone.

How should a small business handle backups and ransomware?

Choose what must be recoverable

Start with records that determine whether you can bill customers, pay staff, deliver work and meet legal obligations. Include databases, shared files, website content, device configurations, encryption keys and the documentation needed to rebuild systems.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Keep a copy attackers cannot reach

Maintain an offline copy or another copy inaccessible from ordinary user and administrator accounts. Encrypt backups in transit and at rest, restrict who can delete them, and separate backup administration from everyday accounts. Do not leave a portable backup drive attached continuously.

Test the complete restoration path

Schedule restoration exercises. Verify that files open, permissions are correct, applications can use the restored data and the business knows how to operate during the outage. Document dependencies such as license keys, DNS settings and administrator credentials.

Prepare decisions before an incident

Decide who can disconnect a device, disable an account, contact customers and notify insurers or authorities. Preserve evidence when possible, but do not delay containment while trying to diagnose every detail. Government StopRansomware resources provide prevention and response guidance for ransomware events.

How much does cybersecurity cost for a small business?

There is no representative current small-business security budget or current average incident cost established by the cited sources. A sensible budget depends on your existing devices and cloud services, the sensitivity and volume of data, regulatory or contractual requirements, recovery objectives and whether you need outside expertise.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Separate these spending categories when planning:

  • Prevention: identity and access controls, MFA-capable services, endpoint protection, patch management and staff training.
  • Data protection: backup storage, encryption, offline media and restoration testing.
  • Monitoring and help: managed IT or cybersecurity services, alert review and log retention.
  • Incident response: emergency technical support, legal advice, communications and possible notification costs.
  • Resilience: alternate equipment, downtime procedures and recovery exercises.
  • Risk transfer: cyber-insurance premiums and the controls required by an insurer.

Begin by using no-cost guidance and the controls you already own. MFA, updates, staff reporting procedures and tested backups may produce substantial risk reduction before any new subscription is purchased. A managed provider can be appropriate when nobody internally can administer identities, patching, backups and incident response reliably; it is not a universal requirement.

How should you interpret small-business cyber-loss statistics?

Keep the scope, date and measurement attached to every number.

Figure What it means What it does not mean
$2.4 billion CISA’s May 2, 2023 article says total cybercrime costs to small businesses reached this amount in 2021 It is not the loss of a typical business, a current-year total or a recommended annual security budget
Three times more likely The same CISA article says small businesses were three times more likely to be targeted than larger companies It is an attributed comparison, not a guaranteed probability for an individual company
44 percent and approximately $9,000 CISA’s older tip card attributes these figures to the National Small Business Association’s 2013 Small Business Technology Survey: respondents reporting a cyberattack and the average cost per attack They are dated historical figures, not current estimates of attack frequency or loss

Older survey numbers can illustrate why preparation matters, but they should not be used to set a present-day budget or predict your own loss. The $2.4 billion figure is an aggregate historical cost, not an average incident amount.

What should be in a basic incident-response plan?

Keep the plan short enough to use under pressure and specific enough that a substitute can follow it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Trigger: define events that require escalation, such as a suspected account takeover, ransomware note, lost administrator device or fraudulent payment.
  • First actions: identify who can disable accounts, revoke sessions, isolate devices, preserve logs and protect backups.
  • Roles: name an incident lead, technical responder, business decision-maker and communications owner.
  • Contacts: list internal leaders, IT or managed providers, cloud vendors, insurer, legal counsel and relevant authorities.
  • Communication rules: specify who contacts customers, employees, suppliers and regulators, and through which trusted channel.
  • Recovery: document restoration priorities, backup locations, alternate devices and criteria for returning systems to service.
  • After-action review: record what happened, which controls failed and which changes have an owner and deadline.

Print the plan or store it in a location attackers cannot alter. Rehearse it at least once so contact details, permissions and recovery steps are proven rather than assumed.

When should a small business get outside help?

Consider a managed IT or cybersecurity provider when the business lacks time or expertise to administer MFA, patching, endpoint security, backups, logging and incident response. Ask prospective providers who owns administrator accounts, how backups are isolated and tested, how alerts are handled outside business hours, how access is removed when the contract ends and what happens during a provider outage.

Secure cloud email and file-storage services may reduce the burden of running equivalent systems on premises, but migration does not remove the need for MFA, least-privilege access, logging, backups and recovery tests. Outsourcing a function transfers work; it does not transfer your responsibility to understand the data and access that the provider handles.

What are the most common mistakes to avoid?

  • Buying a security product while leaving administrator and email accounts without MFA.
  • Using one shared administrator password or reusing a password across services.
  • Assuming a synchronized cloud folder is an independent backup.
  • Keeping every backup connected with permissions that allow ordinary accounts to delete it.
  • Ignoring reports because an employee is embarrassed about clicking a link.
  • Installing updates only after an incident or continuing to run unsupported software.
  • Writing an incident plan that contains no named decision-makers, recovery order or offline contact list.
  • Treating a historical aggregate such as CISA’s $2.4 billion figure as a personal loss forecast or spending target.
