Keep credentials, regulated personal data, identifiable customer or employee records, payment details, health information, confidential contracts, trade secrets, unpublished financials and proprietary code out of general-purpose AI tools unless your business has approved the workflow and verified the provider’s safeguards. Use minimized or synthetic examples, limit access, enable multifactor authentication (MFA), and document what happens to data after it is submitted.
A useful test is simple: if disclosure could harm a customer, employee, patient, partner or your company, do not paste it into an unapproved AI chat. A statement such as “we do not train on your data” is only one part of the decision; retention, human access, subprocessors, deletion, regional storage and contractual commitments matter too.
The information to keep out of ordinary AI chats
General-purpose AI services can process prompts through provider systems, logging, shared workspaces, browser history and account controls. Treat every submission as a disclosure to a third party unless your organization has verified a different arrangement in writing.

- Passwords, passkeys, MFA codes and recovery codes
- API keys, private keys, signing certificates and session tokens
- Database connection strings, cloud credentials and deployment secrets
- Secrets copied from logs, configuration files, source repositories or incident tickets
Even a temporary prompt can expose a secret to service logs, a shared workspace or anyone who later obtains access to the account. If a secret is pasted accidentally, revoke or rotate it immediately; deleting the chat does not prove that every copy has been removed.

- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
Direct identifiers and financial information
- Social Security numbers, passport numbers and driver-license numbers
- Full dates of birth, tax identifiers and identity-verification documents
- Bank-account and routing numbers, payment-card numbers and account statements
- Credit reports and other records that reveal a person’s financial position
The Federal Trade Commission (FTC) specifically identifies Social Security numbers, credit-card and other financial information, account numbers and credit reports as sensitive categories. A small business should apply the same protection whether the information belongs to a customer, worker, contractor or owner.
Health and other sensitive personal records
- Patient or client records, diagnoses, treatment details and insurance identifiers
- Disability information, biometric data and precise location history
- Children’s data and any record that could expose a vulnerable person
Model-as-a-service providers may receive health and financial data when users submit it. The FTC has warned that businesses must honor the privacy promises they make about such information. Do not assume that removing a name makes a record safe if the remaining details can identify the person.
Employee and customer files
- HR investigations, payroll records, performance notes and disciplinary material
- Customer-support transcripts, complaints and identity-verification files
- Internal messages that combine names, contact details, allegations or employment decisions
Use a least-privilege approach: only people with a legitimate need should handle the minimum fields required for a defined task. An AI assistant is not an exception to that rule.
Confidential business information
- Contracts, non-public pricing, supplier terms and acquisition plans
- Source code, security findings, vulnerability details and unreleased designs
- Product roadmaps, trade secrets, unpublished financials and credentials embedded in logs
The FTC notes that users may reveal internal documents and competitively significant business data to model-as-a-service companies. If competitors, a former employee or an unauthorized vendor could use the material against you, keep it out of an unapproved tool.
Why a normal AI account is not a private vault
Your prompt may pass through several technical and organizational layers: the provider’s application, storage and monitoring systems, human review processes, subprocessors and integrations. A provider’s training setting addresses only one possible use. You also need to know how long prompts and files are retained, who can access them, where they are stored, whether they are exported to another service and how deletion is verified.

“This risk is particularly salient given that customers may reveal sensitive or confidential information when using a company’s models, such as internal documents and even their own users’ data.” — Federal Trade Commission, AI Companies: Uphold Your Privacy and Confidentiality Commitments (2024)
Account security and prompt privacy are separate controls. MFA helps prevent someone from entering your account, but it does not make a sensitive prompt appropriate to submit. Data minimization and provider due diligence reduce what is exposed in the first place.

Can you paste customer or employee data into an AI tool?
Only after your business has approved the specific workflow and confirmed the provider’s contractual and technical controls. “The tool is popular” or “the vendor says it does not train on prompts” is not sufficient evidence.
For a one-off task, replace names, account numbers, exact dates and unique descriptions with realistic but synthetic values. For a recurring workflow, document the data fields, access roles, retention period, deletion method and incident contacts before enabling it. If the task can be completed without personal or confidential data, that is the safer design.
A six-step approval process for small businesses
1. Inventory the data flow
- Write down the task the AI tool will perform.
- List every field, attachment and hidden metadata item that will be sent.
- Record which person or system sends it, where the provider stores it, who can access it and whether it is used for training or product improvement.
- Identify integrations, subprocessors, exports and copies created by browser extensions or connected applications.
The NIST Risk Management Framework (RMF) Small Enterprise Quick Start Guide, published in July 2024, supports this kind of documented risk-management approach. An inventory also makes it easier to respond if information is exposed.

2. Minimize before submission
- Remove names, contact details, identification numbers, secrets and unnecessary fields.
- Generalize exact dates, locations, job titles and amounts when precision is not needed.
- Strip document properties, comments, tracked changes and hidden spreadsheet tabs.
- Prefer synthetic examples that preserve the structure of the problem without representing a real person or transaction.
The FTC’s business privacy guidance emphasizes keeping only information the business needs and disposing of it securely when the need ends. Minimization is stronger than relying on a later deletion request.

3. Read the provider’s terms and privacy documentation
Confirm each item in this checklist for the exact plan and region your business will use:
- Whether prompts, files and outputs are used for training, evaluation or product improvement
- Default and maximum retention periods, including backups
- Human review, abuse monitoring and all subprocessors
- Deletion, export and account-closure procedures, with timelines
- Geographic storage and transfer locations
- Breach-notification duties and the provider’s security commitments
- Contract language covering confidentiality, permitted use and your ownership of inputs and outputs
FTC enforcement has addressed secret or undisclosed uses of consumer data. Your internal privacy promises must match what the provider actually does, not just its marketing summary.
4. Control access and administration
- Use a dedicated business workspace rather than personal accounts.
- Assign the fewest seats and permissions needed for the task.
- Require administrator approval for file uploads, integrations and new models.
- Review access and audit logs periodically, and remove departed workers promptly.
- Keep an incident procedure that identifies who disables access, rotates exposed secrets and notifies affected parties.
NIST and FTC guidance both emphasize governance, documented controls and access limited to people who need the information.
5. Protect every account with MFA
Use a password manager to create a strong, unique password for each AI account. Enable MFA wherever it is available. CISA ranks a physical security key as the strongest listed phishing-resistant option; a security key such as a YubiKey is an example. If a key is not practical, use the strongest available phishing-resistant or authenticator-based method rather than relying on SMS alone.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
6. Test and review the workflow
Run a dry test with synthetic data. Verify what appears in chat history, administrator logs, exports, connected applications and browser downloads. Recheck the provider’s terms when the plan, model, region or integration changes. Retire the workflow if the provider cannot answer a material retention, access or deletion question.
How to redact confidential information effectively
Redaction is useful only when the remaining text cannot reasonably identify a person or reveal a secret. Replace values consistently so the AI can still follow relationships without seeing the originals.
| Original | Safer substitute | Why it helps |
|---|---|---|
| “Maria Lopez, SSN 123-45-6789, diagnosed on 3 March 2026” | “Customer A, identifier removed, diagnosed in Q1” | Removes direct identifiers and unnecessary precision. |
| “Production API key: sk_live_…” | “API_KEY_REDACTED” |
Prevents a usable credential from leaving the system. |
| “Supplier will charge us $84,217 under the attached contract” | “Supplier contract with a six-figure annual fee” | Preserves the business question while hiding a negotiable term. |
| Full support transcript with email, phone and order number | “Customer A reported a delayed shipment; order value is approximately $100” | Keeps the pattern needed for drafting a response. |
After substitution, search the final prompt for email patterns, long numeric strings, key prefixes, file paths, internal hostnames and copied metadata. Have a second person review high-risk material before submission.

Evaluate the specific product, plan and configuration rather than a brand-level reputation. Record the result in your vendor or tool register.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems| Evaluation area | Questions to answer | Evidence to retain |
|---|---|---|
| Training and retention | Are inputs excluded from training by default? How long are prompts, files and backups retained? | Current terms, administrator settings and written vendor answers |
| Human access and subprocessors | Can staff review content? Which subprocessors receive it and for what purpose? | Privacy notice, subprocessor list and contractual clauses |
| Deletion and export | Can administrators delete or export data, and when does deletion take effect? | Documented procedure and completion records |
| Location and transfers | Where is data stored and processed, and can the region be selected? | Service documentation and contract |
| Access controls | Are SSO, MFA, role-based permissions, audit logs and administrator controls available? | Configuration screenshots or exported settings |
| Security and obligations | What encryption, breach notification and regulatory commitments apply to your use case? | Security documentation and signed agreement |
An enterprise or business plan may offer stronger administrative controls, but the label alone proves nothing. Verify each control in the contract and configuration you will actually use.

What a small-business AI policy should say
A practical policy can fit on a few pages if it is specific. Include these sections:
Permitted uses
Allow public information, fully synthetic examples and internal material that has been explicitly classified as safe for the approved tool. Name the approved workspace and the business owner responsible for it.
Prohibited inputs
List credentials, regulated personal data, identifiable customer and employee records, payment information, health information, confidential contracts, trade secrets, unpublished financials, security findings and proprietary code. State that employees must not paste secrets copied from logs or repositories.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Approval and minimization
Require workers to remove identifiers, exact dates, hidden metadata and unnecessary fields. Require written approval for any workflow involving personal, confidential or regulated information, even when the provider advertises no training.
Account and incident controls
Require MFA, unique passwords, least-privilege access, administrator review and prompt reporting of accidental disclosures. The incident process should cover disabling access, rotating credentials, preserving relevant logs, assessing notification duties and documenting corrective action.
Review cycle
Assign an owner to review provider terms, subprocessors, retention settings and user access whenever the service changes and at a defined recurring interval. Remove tools that cannot provide clear answers.
Common mistakes and what to do instead
- “I deleted the chat, so the data is gone.” Deletion may not cover backups, exports, logs or a human review queue. Confirm the provider’s documented deletion process.
- “The model does not train on prompts.” Training is only one use. Check retention, access, subprocessors, location and contractual confidentiality.
- “I replaced the name, so it is anonymous.” A rare job title, date, location or narrative can re-identify someone. Generalize or remove combinations that are unique.
- “MFA makes it safe.” MFA protects account access; it does not authorize sending sensitive content. Apply both account security and data minimization.
- “It is only an internal tool.” Internal status does not establish retention or access boundaries. Inventory the actual data path and obtain written assurances.
What to do after an accidental disclosure
- Stop further sharing and preserve the prompt, timestamp, account and workspace details.
- Revoke or rotate any exposed password, token, key or connection string immediately.
- Remove access to the affected workspace and notify the designated incident owner.
- Ask the provider for deletion, retention and access details in writing; record the response.
- Assess whose information was involved and whether contractual, legal or regulatory notifications apply.
- Update the policy, training and technical controls so the same path cannot be used accidentally.
FTC guidance captures the value of prevention plainly: “If it’s not in your system, it can’t be stolen by hackers.” For AI use, the equivalent discipline is to keep unnecessary sensitive information out of the prompt altogether.
