Before you take over a Shopify store, verify who can legally change its ownership, where money and domains are controlled, which third parties must be involved, and whether the customer journey still works. Shopify’s formal ownership-transfer checklist is essential, but it does not by itself transfer every payment account, app subscription, contract, or business responsibility.
1. Confirm who controls the store and its access
Start by identifying the current store owner and, if the business uses an organization, the organization owner. Shopify states that “A store can have only one owner,” and only the store owner can change or transfer store ownership. An organization owner has broad access but cannot transfer a store unless they are also its store owner. See Shopify’s ownership-transfer guidance.
Inventory every user, role, collaborator, sales channel, and app connection. Review who can manage payments, billing, customer information, apps, domains, and custom pixels. Shopify’s store-permissions reference and roles reference describe the available access controls. Remove access that should not continue after closing, and agree on when any temporary transition access will end.
2. Trace billing, payouts, and business identity
Compare the store’s contact and notification details with the buyer’s intended business information. Review Shopify bills and app charges, then list every active payment method and confirm the destination account for its payouts. Shopify specifically calls out updating the bank account and tax details for Shopify Payments, and changing or transferring associated third-party payment-provider accounts.

Clarify unpaid charges before closing: Shopify says a new owner may be responsible for bills below the seller’s billing threshold at the time of transfer. Preserve relevant invoices, payout history, and transaction records so both parties can reconcile what happened before and after the handover. 3. Establish domain and DNS control
Confirm who controls the registrar account, whether its contact details are current, who will pay renewals, and which custom DNS records support email or verification. Connecting a domain to a Shopify store and transferring ownership of its registrar account are separate actions; a registrar transfer is optional in some situations, while the parties should explicitly record which domains and accounts are included in the deal. Shopify’s transfer checklist says a custom domain purchased for the store must also be transferred to the new owner.

Use Shopify’s domain-ownership guidance alongside its migration guidance to distinguish store connection from registrar ownership. Do not assume that access to the Shopify admin grants control of the domain registrar or its DNS.

4. Map apps, integrations, and outside obligations
Create an inventory of installed apps, sales channels, and integrations. For each, record its operational purpose, billing owner, data access, dependencies, and whether a vendor must transfer or reauthorize an account. A store transfer alone does not establish that app subscriptions, data, or linked accounts have moved to the buyer. Shopify provides permission controls, but its cited guidance does not define a universal app-risk score.

Also list the people and organizations the business depends on: staff, fulfillment providers, payment processors, and other contractors or suppliers. Review existing contracts and identify any consent, notice, renewal, or assignment steps that the parties must handle separately. Shopify’s transfer checklist recommends reviewing contracts and obligations; the specific terms depend on those agreements.
5. Record the operating baseline
Before changing settings, document how the store currently operates. Shopify’s transfer preparation says the store should be up to date and inventory accurate. Check the actual stock against the business’s records and note the current theme and customizations, fulfillment routine, shipping and tax settings, customer notifications, and returns and refunds process.

These are practical inspection areas, not Shopify-certified quality measures. Shopify’s migration guidance can help frame the technical handover, but the buyer should compare the store’s live configuration with the seller’s documented operating procedures.

6. Test the customer journey, not just admin access
A successful login or ownership change does not show that checkout, fulfillment, and post-purchase communications work. Place test orders using the payment methods, shipping zones, and tax scenarios that matter to the business. Include discounts, gift cards, refunds, and partial fulfillment where relevant. Review the emails each test generates and check analytics pixels through the order journey.

Shopify’s migration checklist also recommends domain and DNS checks and rollback preparation. Record exactly which configuration and date each test covered: a successful test demonstrates that setup at that time, not future performance.
7. Agree on records, transition, and special transfer conditions
Decide which business information the seller must retain and export relevant bills, payout history, and transactions. Put the handover timeline, training, continuing third-party relationships, brand assets, staff arrangements, and post-transfer access in writing. Shopify says onboarding can take days to months depending on a business’s size and complexity, so the transition plan should reflect the operation rather than assume an instant change.
Some arrangements need additional action or may prevent a transfer under Shopify’s current guidance: stores using Shopify Capital or Shopify Credit cannot be transferred; an active Shopify Balance must be emptied and Shopify Support contacted; and changes to Shopify Payments business information may require Support. Reconfirm eligibility and steps in the admin before closing, because account circumstances and Shopify’s process can change. See Shopify’s ownership-transfer guidance.
