Shopify Admin automation is not inherently a browser-automation problem: Shopify provides both Flow for event-driven workflows and the GraphQL Admin API for custom integrations. The hard parts are choosing the right surface, respecting plan and API limits, preventing workflow overload or loops, and maintaining automations as Shopify’s API evolves.

Shopify’s documentation explains those platform constraints, but it does not establish the specific task, failed approach, fix, or outcome implied by “how we solved it.” This guide therefore separates documented platform behavior from any case-specific experience.

Choose between Shopify Flow and a custom integration

Start by checking whether the task fits Shopify Flow’s available triggers, conditions, and actions. Flow is Shopify’s app for building event-driven workflows, and it is available on Basic, Grow, Advanced, and Plus plans. Some capabilities are plan-specific: Send HTTP Request is available on Grow, Advanced, and Plus, while tasks created by custom partner apps are available on Plus. Review Shopify’s Flow documentation for current availability and usage limits before designing around a particular action.

A custom app using the Admin API is a better fit when the workflow needs capabilities, request control, or integration behavior beyond what Flow offers. Shopify’s GraphQL Admin API supports reading and writing store data including products, orders, customers, inventory, and metafields. Flow also has a Send Admin API request action that can use many mutations, including some not exposed as built-in actions, subject to plan eligibility and API rules.

Buzzer can be set to mute to allow for a quiet operation.(Note: It does not work with square POS / Divalto / DoorDash / Lightspeed POS system)
Decision factor Shopify Flow Custom Admin API integration
Best fit Event-driven tasks that match available triggers, conditions, and actions Tasks requiring capabilities or request control beyond Flow’s available actions
Plan dependencies Some actions and limits vary by plan Design must account for applicable API limits and app requirements
Large data reads Keep selections narrow and filtered to avoid unnecessary workflow load Consider GraphQL bulk operations for large reads
Maintenance Review workflows when API fields or behavior change Maintain API version choices, request logic, and retry behavior

Shopify labels the REST Admin API legacy as of October 1, 2024, and says new apps and integrations should use GraphQL. Its REST rate-limit documentation states: “All apps and integrations should be built with the GraphQL Admin API.”

Why Flow automations can become difficult to operate

API versions change

Shopify says Flow uses GraphQL Admin API version 2026-01 to evaluate workflow conditions and variables and to take store actions. Shopify releases API versions every three months; if fields change or are deprecated, an existing workflow may need updates. The workflow can still exist while the data contract it depends on has changed. Check Shopify’s Flow reference for current API-version information.

Large selections and concurrent work consume capacity

Shopify warns that selecting a very large list can cause performance problems, and selecting the wrong list can make an automation act on the wrong records. Its optimization guidance recommends efficient queries and gives examples such as adding filters, inserting a Wait step, or adjusting a scheduled trigger. Shopify also identifies concurrent workflows that fetch data and call APIs as a possible performance issue. See Shopify’s Flow optimization guidance.

Many workflows on one trigger create fan-out

Shopify says a warning may appear when more than 10 active workflows share a trigger. Each matching event may need to be processed against those workflows, increasing resource use and potentially slowing execution. Shopify’s troubleshooting page also documents a 100-workflow creation limit, with a grandfathering exception for stores already above the limit. Because limits can change, check the current Flow troubleshooting documentation rather than treating these figures as permanent.

A workflow can trigger itself

Shopify gives the example of a Customer tags added trigger paired with an Add customer tags action: the action can cause another run of the same workflow. Review every workflow’s trigger-action path for a condition that stops repeated runs, especially when an action changes the same kind of data that triggered the workflow.

Design API work around the limit model

GraphQL and REST limits work differently, so do not use one API’s figures to estimate the other. Shopify’s current GraphQL Admin API documentation describes query-cost limits and restore rates: 100 points per second for Standard, 200 for Advanced Shopify, 1,000 for Shopify Plus, and 2,000 for Commerce Components. These are restore rates for GraphQL query cost, not request counts; the applicable limit depends on the plan and API context. Shopify explains the model in its GraphQL API limits documentation.

For large GraphQL reads, Shopify documents bulk operations as an alternative to issuing many individual requests. Keep queries focused, avoid unnecessary fields and calls, and use responsible retry behavior when throttled. Shopify’s bulk operations guide describes the option for large reads.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

REST uses a request-based limit model and is legacy for new integrations. Shopify’s current REST documentation gives standard, Advanced, and Plus request rates of 2, 4, and 20 requests per second respectively, and documents HTTP 429 responses when limits are exceeded. Those figures apply to REST and should not be mistaken for GraphQL query-cost limits. Shopify recommends limiting, caching, and retrying calls responsibly; see its REST Admin API rate-limit guidance.

A practical selection and implementation sequence

  1. Describe the event and desired result. Identify what starts the automation, what records it should affect, and what action should occur. This makes it easier to determine whether Flow’s triggers and actions cover the task.
  2. Check plan eligibility. Confirm the store’s plan supports every required Flow capability, including HTTP requests or partner-app tasks where relevant.
  3. Estimate workload and data size. Avoid broad list selections and unnecessary API calls. For large reads in a custom integration, evaluate GraphQL bulk operations.
  4. Limit fan-out and concurrency. Keep workflows focused, filter returned data, and review how many active workflows share a trigger.
  5. Check for loops. Ensure an action cannot immediately reproduce its own trigger without a terminating condition.
  6. Plan for throttling and change. Use responsible retries, monitor workflow behavior, and review API-dependent fields as Shopify releases versions.

What the platform documentation can—and cannot—show

Shopify’s documentation establishes supported automation paths and describes meaningful constraints: plan-specific Flow features, version changes, workload and concurrency concerns, trigger fan-out, self-triggering loops, and distinct API throttle models. It does not establish what a particular team attempted, which failure it encountered, what change resolved it, or whether that change improved performance. Those claims require the team’s own implementation details and evidence; they should not be inferred from the platform documentation.
