To add a Quick step to a SharePoint list or library, open it and select … > Integrate > Quick steps > Create a quick step. You can also choose Add a new column > Quick steps. Quick steps are configured commands, not ordinary columns that store data.

What a Quick step does

Quick steps are custom commands or predefined actions for a list or library in Microsoft Lists, SharePoint, or Teams. For example, a step can run a flow on a selected item or draft an email using people listed in a specified column. The Add a new column > Quick steps menu is an entry point to configure the feature; it does not add a conventional data field.

These steps are configured for the list or library, then run against an item or file where the action supports it. Microsoft’s instructions are in Create a quick step for your list or library.

Create a Quick step

  1. Open the list or library where you want the command.

  2. Select the ellipsis (…) near the top of the page, then choose Integrate > Quick steps > Create a quick step. Alternatively, select Add a new column > Quick steps.

  3. Choose the action or outcome you want the step to perform.

  4. Complete the fields shown for that action. If the action is Execute a flow, provide the flow ID and confirm that the flow meets the trigger requirements below.

  5. Enter a name for the Quick step and select Create.

Once created, manage the step from the Manage quick steps page, where you can enable, disable, update, or delete it.

Run the step and find it later

To use a Quick step on an item or file, select that item or file. Microsoft says the completed step appears at the top of the Automate menu in the command bar and overflow menu when an item or file is selected. Depending on the type of step, its name may also appear in the Integrate menu for a selected item or file, or for the list as a whole.

Check permissions and flow compatibility

Creating and managing

You need Edit permission on the list or library to create or manage Quick steps. If you do not have it, ask an owner to grant access; Microsoft describes sharing the library with Can edit as one way to do this.

Running actions

The permission required to run a Quick step depends on its action. Microsoft specifies Read access for drafting an email, starting a Teams chat, and executing a flow; Edit access is required to set a value or send an approval request.

Executing a flow

A Quick step can execute only a manual flow with a selected-item or selected-file trigger. Have the flow ID ready during setup, and make sure each intended user has permission to run the flow. A user without that permission receives an error when trying to run it. Microsoft gives the trigger limitation in its Quick steps instructions.

If the controls look different or creation fails

The Quick steps workflow is distinct from adding a normal list column. In the modern interface, ordinary columns are typically added with + Add column beside the last column heading. Classic SharePoint experiences and earlier SharePoint Server versions have different instructions and controls; Microsoft documents those separately in Create a column in a list or library.
