Manage a remote workforce securely by setting clear access rules, requiring strong sign-in protection, checking devices before they connect, limiting permissions, and making it easy to report suspicious activity. Security needs to cover the whole arrangement: remote-access services, communications, work and personal devices, and the information employees store or use on them.
What should a remote-work security policy cover?
Write the rules before granting access, and tailor them to your organization’s risks, sector, locations, and technology. NIST SP 800-46 Rev. 2, published in July 2016, covers enterprise telework, remote access, bring-your-own-device (BYOD) arrangements, and policy development. It is an older technical reference; check NIST for a later final revision before relying on its implementation details.
Make the policy specific enough that workers, managers, IT staff, and contractors can act on it. It should state:

- Which devices may connect, what minimum safeguards they must have, and how the organization checks for them.
- Which systems, information, and access methods are approved for remote work.
- When employees must use the organization’s VPN, if one is required by policy.
- How employees should secure home Wi-Fi, lock devices, install updates, and report suspicious activity.
- How contractors and other third parties are assessed, what they may access, and when that access ends.
Set the incident-reporting route as well as the rule: name the team or contact channel employees should use, and tell them to report suspicious messages, unexpected sign-in prompts, lost devices, or possible exposure of company information promptly.

How do you protect remote accounts and business systems?
Require multi-factor authentication (MFA) for remote access and important services such as email and file storage. Prioritize administrators and employees who handle sensitive information. Where supported, choose phishing-resistant MFA. A physical security key is one possible category of authenticator, but confirm that it works with your identity provider and the services employees need; it is not a universal requirement.
Authentication confirms who is signing in; authorization determines what that person can do. Keep both under control:

- Give employees and vendors only the permissions their work requires.
- Separate privileged accounts from everyday accounts where your systems support it, and protect privileged access especially carefully.
- Review permissions when a person changes roles or a vendor’s task changes, and remove access when it is no longer needed.
- Check access to individual systems and information rather than treating a valid login as permission to reach everything.
How should you secure devices and third-party access?
Define minimum device requirements and verify them before allowing remote access. The safeguards should match the information and systems a device can reach. Keep operating systems and security tools updated, and have a process for handling devices that no longer meet requirements.
Apply the same discipline to vendors and service providers: assess the devices and access involved, limit access to the work they are doing, and remove it when the work ends. The FTC warns that remote-access computers without appropriate endpoint security and excessive permissions create risks. Its 2017 remote-access guidance puts the principle plainly: “Your network is only as secure as the least safe device that connects to it.”

Should remote employees use company devices or BYOD?
There is no universal answer. Organization-issued devices can make it easier for an employer to set and verify safeguards; BYOD may require different controls and raises privacy and legal questions. Choose based on the information involved and the organization’s ability to protect access without exceeding its obligations to workers.

Is a VPN the right remote-access method?
A VPN may be required by an organization’s policy, but the available guidance does not establish one best remote-access architecture for every organization. Assess the actual access method against the threats, systems, and information involved. Compare options using the same criteria:

- Whether identity and MFA requirements are supported.
- How access can be scoped to the systems and data each person needs.
- Whether device safeguards can be checked before access is granted.
- How the organization will monitor activity and respond to incidents.
- The effect on workers, implementation cost, and applicable privacy or legal obligations.
Whatever method is chosen, secure the remote-access service, communications, connected devices, and data as parts of one system rather than treating a VPN as a complete security measure.

- Use the organization’s VPN when policy requires it.
- Lock devices with a strong PIN or another supported sign-in method when they are unattended.
- Install operating-system and security-tool updates promptly.
- Use approved access methods and handle company information only as policy permits.
- Report suspicious messages or activity, unexpected sign-in prompts, and lost or possibly compromised devices through the designated route.
Include examples of social engineering attempts related to telework so employees know that suspicious requests can arrive through ordinary work communications, not only through technical alerts.
Which legal and privacy questions need local review?
General security guidance does not settle the legal duties that apply to employee monitoring, data retention, employee privacy, or BYOD. Those obligations can depend on jurisdiction, sector, and organizational circumstances. Have qualified advisers review the policy before adopting monitoring or personal-device controls, and explain to employees what the organization collects, why, and how it is handled.
