You can centralize important security controls in a business productivity suite, but no single dashboard automatically secures every account, device, and inbox. The practical approach is to protect sign-ins first, manage the devices that access business data, and verify what your existing suite actually covers under your subscription and device mix.
What “one dashboard” can—and cannot—do
A central admin console can make security easier to manage, but its reach depends on the services and licenses you use, the operating systems on your team’s devices, and whether those devices are company-owned or personal. A listed feature is not proof of identical control on every platform, and software does not remove the need to review alerts, handle lost devices, or revoke access when someone leaves.
Start with the suite your business already uses. Then confirm the controls available for each account type and device before deciding whether you need a different plan or additional management tools. Microsoft documents security and device features for its business subscriptions, while Google Workspace provides endpoint settings through its Admin console; neither description establishes universal coverage of every device and threat. How to secure a small business without an IT department
1. Make an inventory before changing settings
List business accounts, administrator accounts, employee accounts, and the devices that can reach company or customer information. Note which systems hold sensitive data and whether each device is company-owned or personal. This inventory helps expose gaps a suite-wide setting may not cover, such as an unmanaged device or an account outside the main service.

2. Require multifactor authentication
Turn on MFA wherever it is available, starting with administrator accounts and staff who handle sensitive information. CISA recommends phishing-resistant MFA where possible. In its listed methods, physical security keys rank above authenticator-app options; text-message and email codes are weaker choices. Select a method each person can use reliably, and enroll it for the accounts it is meant to protect. CISA: Require Multifactor Authentication.
A FIDO2-compatible hardware key is a physical option for stronger MFA: it plugs into or taps a compatible device. It protects supported sign-ins only after it has been enrolled, and it does not manage endpoints or provide email filtering. Check that the key and sign-in service support the required authentication flow before making it the team’s only method.

3. Review the suite’s admin and recovery settings
Check which accounts have administrator rights, how authentication is enforced, and how the business can recover access if an administrator loses a device or leaves. Keep recovery access and ownership documented so the company—not just one employee—can regain control. Recovery planning is an operational responsibility; a central console alone does not guarantee it.

Choose whether staff may use personal devices to access work data, and what controls apply if they do. Before relying on enrollment or remote wipe, test the relevant process on the operating systems your team actually uses. For personal devices, selective removal of work data may be preferable to erasing the entire device, where supported.

5. Verify inbox protections and assign alert ownership
Confirm which anti-malware, spam, and phishing protections are included in your subscription, enable or configure them as needed, and decide who will review and act on alerts. Microsoft documents baseline cloud mailbox protection against malware, spam, and phishing across Microsoft 365 business subscriptions. More advanced requirements may call for additional controls or a different licensed feature set; do not assume every security feature is included in every plan.

| What to compare | Microsoft 365 business subscriptions | Google Workspace |
|---|---|---|
| Account and email baseline | Microsoft documents security defaults with MFA enabled by default for Microsoft 365 business organizations, plus baseline mailbox protection against malware, spam, and phishing. | Google’s cited endpoint documentation describes device and access controls; it does not establish equivalent inbox-protection details for this comparison. |
| Device controls | Basic mobile device management is documented for business subscriptions. Business Premium adds Intune Plan 1. | Admin console endpoint settings include passcode requirements and selective account wipe on Android and iOS, as well as controls for access on several other operating systems. Management depth differs by platform. |
| Additional documented controls | Business Premium adds Conditional Access and Defender for Business, along with Intune Plan 1. | Endpoint settings are available through the Workspace Admin console; the cited documentation does not establish identical controls across all operating systems. |
| What to check before choosing | Verify the specific subscription’s feature entitlements and whether the team needs Business Premium capabilities. | Map the team’s operating systems and ownership model to the specific endpoint controls available. |
These are documented capabilities, not a universal ranking. Choose based on the accounts and services already in use, the team’s device mix, the controls included in the exact plan, and who can maintain the settings. Review current plan details before making a purchase because entitlements can change. Microsoft’s security overview and best-practices documentation describe the business subscription distinctions; Google’s endpoint documentation describes platform-specific endpoint controls.
Quick Recap
What to verify before relying on the setup
- Accounts: MFA is enabled for administrators and sensitive-data users, and recovery access is not dependent on one person.
- Devices: Each operating system and ownership type has an understood enrollment and lost-device process.
- Email: The protections included in the subscription are identified and configured, with a named person responsible for alerts.
- Access changes: Someone is responsible for promptly removing access when staff leave or change roles.
- Plan scope: The team has checked current entitlements rather than assuming a feature is included because the suite has an admin console.
