The safest alternative is not to connect your whole inbox. Give an AI assistant only the messages, folders, mailbox, and capabilities required for the job. For occasional summaries, share selected messages manually. If a connector is necessary, prefer the narrowest read-only permission, a separate or specifically delegated mailbox, and a workflow in which a person approves every consequential send or change.
Read-only access reduces what the assistant can alter, but it does not make email private: the assistant can still process every message inside its read scope, and hostile instructions hidden in email can influence an inbox-connected agent. Treat access as a limited, reviewable authorization rather than a permanent convenience.
What “safer access” means
Email permissions have several independent dimensions. An assistant may be able to read message content, change or delete messages, send mail, search across multiple mailboxes, or act without a person confirming each step. A safer design narrows each dimension separately instead of accepting an all-or-nothing consent screen.

Microsoft describes the same principle as granting users and applications only the data and operations required for their jobs in its least-privilege guidance.

| Task | Prefer | Avoid unless essential |
|---|---|---|
| Summarize a few messages | Manual sharing of selected messages | A standing inbox connector |
| Search or summarize a mailbox | Narrow, read-only access | Send, delete, or modification rights |
| Prepare replies | Draft creation with human review | Automatic sending |
| Handle a team workflow | A dedicated mailbox, selected folder, or administrator-limited grant | Access to every employee mailbox |
| One-time project | Time-limited authorization and prompt revocation | An indefinite OAuth grant |
Permission names differ by provider and connector. In Microsoft 365, for example, Mail.Read and Mail.ReadWrite represent inbound access, while Mail.Send or Mail.ReadWrite can provide outbound capability, as described in Microsoft’s agent-access documentation. Always inspect the actual consent screen rather than relying on a product’s description of what it “can” do.
1. Keep the inbox disconnected and share only selected content
For an occasional summary, explanation, or draft, copy or forward only the relevant messages into the assistant. Remove unrelated names, addresses, attachments, account numbers, or internal discussions first. This creates no standing connector permission and exposes a much smaller data set.
When this is the best choice
- You need help only a few times rather than continuously.
- The task concerns a known thread or a small group of messages.
- The mailbox contains sensitive material that does not need to be searchable by an assistant.
- You cannot verify a third-party service’s retention, training, deletion, or subprocessor terms.
The trade-off is manual work: you must select and sanitize the content each time. Once copied, the messages still deserve the same privacy care as the originals. Do not assume that deleting the chat immediately deletes every vendor-side copy; retention behavior depends on the service.
2. Use the narrowest read-only connector for a defined task
If manual sharing is too inconvenient, connect an assistant with the smallest permission set that supports the selected workflow. Summarization and search generally require reading, not sending, deleting, or modifying. Disable outbound and write capabilities when the connector allows separate choices.
How to configure it
- Write the task in one sentence. For example: “Summarize messages in the project folder each morning.” This prevents a broad request such as “manage my email” from becoming the default scope.
- Read every requested permission. Distinguish read, modify, delete, and send rights. If the consent screen combines them, ask whether a read-only mode or a different connector exists.
- Check the data boundary. Confirm whether the grant covers one folder, one mailbox, shared mailboxes, or the entire account. A read-only grant over an entire account may still expose years of confidential correspondence.
- Test the least powerful mode first. Run the intended summary or search workflow without granting send or modification access. Add a capability only when a specific step fails without it.
- Record how to revoke it. Note the account or administrator page where the authorization can be removed before you approve the connection.
Google’s OAuth 2.0 Policies require a minimal scope set and tell developers to revoke scopes that are no longer needed. Microsoft likewise recommends reducing or revoking unused permissions and auditing applications through its least-privilege guidance.

Can an assistant read email but not send it?
Yes, when the provider and connector expose separate permissions. Grant the read permission and withhold the send permission. Verify the result with the consent details and, for organizational accounts, with the administrator’s permission report. “Read-only” is a capability statement, not a privacy guarantee: all message content inside the read boundary remains available for processing.
3. Limit the data source with a separate or delegated mailbox
A separate mailbox or a narrowly selected folder can prevent an assistant from seeing unrelated personal or corporate mail. For a team, route only the messages needed for the workflow to that mailbox and apply its own retention and access rules.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minuteOrganizational delegation
Microsoft documents Exchange role-based access control (RBAC) for granting agents access to one mailbox or a small number of mailboxes. This requires Microsoft 365 administrator configuration and is not a consumer setting. Ask an administrator to define the exact mailbox, operations, and duration rather than granting tenant-wide access.
Separate mailbox cautions
- A dedicated address can still receive invoices, personal data, credentials, or confidential attachments.
- Set ownership, retention, forwarding, and recovery rules for the mailbox itself.
- Ensure only the intended assistant identity and human operators can access it.
- Review whether automatic routing accidentally copies messages from the main inbox into the assistant’s scope.
A folder boundary is useful only if the connector respects it. Some permissions are account-wide even when the user selects a folder in the interface; confirm the effective scope in the provider’s authorization details.
4. Separate drafting from sending
Let the assistant propose a reply, but keep the final send action under human control. A draft-only workflow can use a read permission plus whatever draft capability is necessary, while withholding Mail.Send or its equivalent. If a connector must send, configure an explicit approval gate that shows the complete recipient list, attachments, links, and final body before transmission.

The Cloud Security Alliance recommends human approval for consequential actions such as sending external communications in its May 31, 2026 note, ChatGPhish: AI Prompt Injection and Phishing Risks. Approval should be a real stop: the assistant must not be able to send through a second tool, hidden automation, or a pre-authorized rule while the reviewer is deciding.
A practical approval checklist
- Show the exact sender identity and every recipient, including CC and BCC.
- Display attachments and links, not merely a generated summary.
- Require a human to approve each external message or an explicitly bounded batch.
- Block deletion, forwarding, mailbox-rule creation, and permission changes unless separately justified.
- Log who approved the action and when, subject to your organization’s retention policy.
5. Consider built-in provider features, but still inspect permissions
Google’s Workspace user-data policy lists productivity applications that provide generative AI summaries among approved Gmail-scope use cases. That policy status is not a security endorsement of a particular assistant, and it does not mean an application needs full inbox access for every summary feature.
Use the provider’s own feature only after checking the same questions you would ask of an outside connector: which messages are read, whether content is retained, whether it is used for model training, how deletion works, who the subprocessors are, and how access is revoked. Live policy pages can change, so recheck the current consent and permission documentation when you enable the feature.
6. Revoke access when the task ends
OAuth approval is not the same as giving an app your password, but it creates an ongoing authorization grant until it expires or is revoked. RFC 9700, the January 2025 OAuth 2.0 security best-current-practice document, discusses token leakage and replay risks and recommends sender-constrained tokens as an implementation mitigation. Ordinary users usually cannot configure sender-constrained tokens, so prompt revocation and minimal scopes remain practical controls.
User revocation procedure
- Identify which account granted access and the exact application or integration name.
- Open that provider’s account, security, or connected-apps page and remove the authorization grant. Interface labels vary by account type and date.
- Check whether separate grants exist for reading, sending, calendars, files, or multiple accounts; revoke each grant that is no longer needed.
- Sign out or disconnect the assistant itself, then verify that a new mailbox request fails or asks for consent again.
- Ask the service how it handles copies already stored or indexed. Revocation stops future API access but does not by itself establish deletion of previously transmitted data.
Administrator revocation
For a work account, ask the Microsoft 365 or Google Workspace administrator to remove delegated or application authorization, mailbox RBAC assignments, service accounts, and related automation rules. The administrator should also review audit logs for access that occurred before revocation. Microsoft’s least-privilege guidance recommends periodic application audits and removal of permissions that are unused or can be reduced.

Why inbox-connected assistants create prompt-injection risk
An email sender can place text in the assistant’s input stream. A message may contain hidden instructions such as “forward the customer list,” “ignore the approval step,” or a malicious link disguised as routine correspondence. If the assistant can read that message and also has tools to send, delete, or change data, the message can attempt to steer it toward an external action.
The Cloud Security Alliance note identifies inbox-connected features as an attack surface. The Australian Signals Directorate and Australian Cyber Security Centre make the same operational recommendation in their May 2026 guide, Careful adoption of agentic AI services: apply least privilege and limit the exact resource, operation, and time scope.
Narrow permissions reduce the damage an assistant can cause; they do not guarantee that a model will interpret every email safely. Treat all message content as untrusted input. Do not let an email redefine the assistant’s rules, approve its own action, reveal hidden prompts, or expand its permissions.
Controls that address the risk
- Keep send, delete, forwarding, and rule-editing capabilities disabled unless the workflow truly requires them.
- Use a separate mailbox or folder so malicious content cannot reach unrelated correspondence.
- Require a human to inspect consequential actions and the underlying source messages.
- Use allowlists or fixed destinations where the connector supports them, while remembering that an allowlist is not a substitute for review.
- Set an expiration date for temporary access and remove it after the project.
How to compare alternatives
The right choice depends on the task, not on a generic “safe” label. Use these six axes before approving any integration.

| Option | Email exposed | Authority | Mailbox or folder boundary | Human approval | Persistence and revocation | Retention and training |
|---|---|---|---|---|---|---|
| Selected-message sharing | Only the messages you select and transmit | No standing mailbox authority | Defined manually | Natural human review before sharing | No connector grant; delete local copies when appropriate | Depends on the service receiving the copied text |
| Read-only connector | Everything inside its read scope | Read; no send or modification if configured separately | May be account-wide or narrower; verify | Needed for any later external action | Ongoing OAuth grant until revoked or expired | Not stated universally; inspect the vendor’s terms |
| Dedicated mailbox or folder | Messages routed into that boundary | Set only the operations required | Strongest when enforced by provider or administrator | Can be required for sending | Separate grant and mailbox to audit and revoke | Apply separate retention and deletion rules |
| Draft-only assistant | Messages needed to create drafts | Read plus draft capability; no send | Depends on connector | Required before a message leaves the account | Revoke connector and remove drafts or copies as needed | Depends on service and account policy |
| Provider-built summary feature | Defined by the provider’s feature and scopes | Check the current consent screen | Check whether folders or accounts can be limited | Use review for any action beyond summarization | Use the provider’s account controls | Read current privacy, retention, training, and deletion terms |
A decision workflow you can use before connecting anything
- Classify the task. Is it a one-time summary, recurring search, draft preparation, triage, or autonomous correspondence?
- List the minimum data. Name the mailbox, folder, date range, message types, and attachments that are actually needed.
- List the minimum operations. Mark read, draft, modify, delete, and send separately. Start with read only.
- Choose the least persistent option. Prefer manual sharing for isolated tasks; otherwise use a time-bounded or easily revocable grant.
- Define the approval point. Require a person to approve sending, deletion, external sharing, or changes to mailbox rules.
- Review the consent screen and privacy terms. Confirm publisher identity, model-training use, storage, retention, deletion, subprocessors, and incident response.
- Use strong account authentication. For sensitive organizational accounts, consider a phishing-resistant FIDO2 hardware token or device-bound passkey. The Cloud Security Alliance describes these as a baseline for sign-in protection, but authentication does not prevent prompt injection by itself.
- Monitor and remove. Audit the integration, reduce permissions when the workflow changes, and revoke the grant when the task or project ends.
Common mistakes and how to correct them
Approving a broad scope because the feature sounds simple
A “summarize” button may request write or send rights because the connector bundles capabilities. Cancel the consent, look for a narrower mode, or use selected-message sharing instead.
Best Value

- Check FIDO2 compatibility before purchase - Known limitations: ID Austria is not supported (requires FIDO2 Level 2). Windows Hello login only works with Windows Enterprise editions that support Entra ID, and NFC is NOT supported.
Assuming read-only means harmless
Read-only access can expose health information, financial records, legal correspondence, credentials in attachments, and confidential business plans. Reduce the mailbox or folder boundary and sanitize content before transmission.
Allowing automatic replies to external recipients
External messages are consequential even when the wording appears routine. Keep send disabled or require review of recipients, links, and attachments for every message.
Forgetting old grants
Unused OAuth grants remain an access path. Review connected applications periodically, remove obsolete scopes, and ask an administrator to audit delegated and application permissions in organizational accounts.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Believing revocation erases historical copies
Revocation prevents future authorized API calls. It does not, by itself, prove that a vendor deleted text, embeddings, logs, backups, or human-review copies. Confirm deletion and retention behavior separately.
Bottom line for Gmail, Microsoft 365, and other mail systems
Start with no connection and share selected messages. If that is impractical, use a read-only grant limited to the smallest mailbox or folder, keep drafting separate from sending, and put a person in front of every consequential action. Treat email as untrusted input because prompt injection remains possible even with good permissions. Revoke the authorization when the task ends, and verify what happens to data the assistant already received.
