Use Lattice 1-on-1s as recurring conversations, not just status updates: prepare a shared agenda, let the employee shape what matters, review last time’s commitments, and finish with clear owners and timelines. Lattice’s guidance recommends discussing current work and blockers alongside feedback, growth, workload, and working relationships.
Set a cadence that fits the employee
Choose a regular rhythm, then adjust it when the employee’s needs or circumstances change. Lattice describes weekly, biweekly, and monthly schedules; its monthly meeting template suggests allowing about 30–45 minutes. That is a suggested duration for the monthly format, not a universal requirement.
Frequency is a management choice, not a measure of how well a manager is doing. Lattice’s guide reports that, in its 2025 State of People Strategy Report, 78% of managers had daily or weekly check-ins with direct reports, and 97% of those managers said they felt somewhat or very connected to their reports. These are figures reported by Lattice, not independently verified here.
Prepare a shared agenda before the meeting
Give the employee a way to add topics in advance and identify what they most want to discuss. Before the meeting, both of you should review the previous notes and any commitments still open. This makes the conversation continuous and gives the employee meaningful input into its direction.

A practical agenda can include:
- Current priorities, workload, and progress
- Recent wins or work worth recognizing
- Blockers and decisions or support needed
- Feedback in either direction
- Goals, skills, and career development
- Collaboration and working relationships
- Follow-up on actions from the last meeting
Use these as prompts rather than a checklist to race through. If the employee brings an urgent concern, make room for it instead of forcing the conversation back to a fixed sequence.
Run the conversation as a two-way discussion
Start with the employee’s priorities, then work through the shared agenda. Ask what is going well, what feels difficult, and where they need help. Discuss workload and blockers concretely: clarify what is stuck, what decision or resource would help, and who can provide it.

Make time for topics that need more than a weekly status update. Wins can lead to useful recognition or feedback; goals and development can connect current work to longer-term growth; questions about collaboration can surface friction before it becomes harder to address. The balance should follow the person and the situation.
Close with documented actions
Before ending, identify each next step, name the person responsible, and agree on a timeline. Record open commitments in the meeting notes and revisit them at the next 1-on-1. If an action is still unresolved, carry it forward explicitly rather than allowing it to disappear between meetings.

For example, an action should make clear who will do what and by when: the manager might confirm a priority with another team by Friday, while the employee might share a project plan before the next meeting. The point is to leave with a shared record, not a vague intention to follow up.

If enabled, the Agent can help preserve continuity by capturing discussion points and suggested follow-ups. Treat its output as a draft to review: confirm that summaries reflect the conversation and that each action has the right owner and timeline. The meeting still needs judgment and a direct conversation between manager and employee.

Understand the controls Lattice describes
Lattice says participants can see when the Agent joins and that a host can remove it. It also says meeting content is visible only to participants with the relevant permissions and describes retention controls and transcript-deletion safeguards. Those product statements are not a complete privacy or compliance assessment. Follow your organization’s policies and confirm the controls that apply to your workspace before enabling recording or transcription.

A simple repeatable cycle
- Before: Set a recurring time, invite the employee to add agenda items, and review prior notes and open commitments.
- During: Start with the employee’s priorities, discuss current work and blockers, and make room for feedback, workload, development, or collaboration topics.
- At the close: Agree on concrete actions, owners, and timelines; record them in the shared notes.
- Next time: Check unresolved actions first, then make space for the employee’s new priorities.
