There is no single best RMM platform for every managed service provider. The right shortlist depends on your endpoint-to-technician ratio, whether you need PSA functions in the same product, how complex your client environments are, and which monitoring, patching, automation, and integration workflows your team actually uses. Compare the options below as starting points, then test them against representative client environments and obtain current quotes.
What an RMM platform needs to do for an MSP
Remote monitoring and management (RMM) software helps service providers monitor and manage client endpoints, automate maintenance and patching, access systems remotely, and remediate issues across multiple environments. Some products combine RMM with PSA, ticketing, billing, MDM, or security functions; others are intended to work alongside separate tools.
That distinction affects both day-to-day operations and cost. A combined platform can reduce the number of systems technicians use, but it may not cover every workflow your team needs without add-ons. An RMM that integrates with a separate PSA may suit a business with established service-desk and billing processes better than replacing them.
RMM tools to consider for a 2026 shortlist
The products below appear in vendor-authored comparisons from NinjaOne, TeamViewer, and ConnectWise. Those comparisons have different scopes and criteria, and the publishers include vendors with products in the category. Treat their “best for” descriptions as hypotheses to verify, not as independent test results or a consensus ranking. No independent hands-on comparison establishes a universal winner.

Each uses its own scope and criteria.
How to compare the features that affect daily service delivery
Feature lists are less useful than seeing whether the product handles your actual operating procedures. During a trial, use the same representative client environments and workflows for each finalist.
Monitoring and alert quality
Check which endpoint, service, and network conditions can be monitored. Configure thresholds separately for different client needs, then see whether alerts can be tuned to limit noise, duplicate tickets, and unnecessary escalations.
Patch management
Verify supported operating systems, scheduling controls, status reporting, and how failed updates are handled. Ask whether reports include third-party applications as well as operating-system updates, and inspect the available remediation or rollback workflows rather than assuming those capabilities from a general patch-management claim.

Automation and scripting
Build one representative policy and run a recurring maintenance or remediation task. Compare reusable scripts, remote execution, policy configuration, and the level of customization available. Vendor descriptions of automation depth are not directly comparable, so the workflow itself is the useful test.
Remote access and multi-tenancy
Test remote access on the device types your technicians support. Confirm permissions, audit records, and whether access is native, bundled, or supplied through an integration. For multi-client operations, check how tenant separation, policy inheritance, dashboards, permissions, and branding work at the scale you expect to manage.
PSA and stack integration
Map a service request from detection through ticketing, technician work, customer communication, and billing. Establish which steps are built in and which depend on a separate PSA or another integration. Include your identity, security, documentation, and backup systems in the integration check; a bundled RMM/PSA label does not establish that every required workflow is covered.
Implementation, support, and operating burden
Ask vendors to demonstrate migration, technician onboarding, reporting, and support escalation using scenarios relevant to your team. Include the effort of maintaining policies, integrations, and reports in the evaluation. Published rankings use different methods and cannot substitute for a controlled trial in your own environment.
Rank #3

Which pricing model may fit your MSP?
The central economic difference is whether licenses scale primarily with managed devices or with technicians. The lower starting price is not necessarily the lower total cost: it depends on your endpoint-to-technician ratio, required modules, and contract terms.
Per-technician or per-user pricing
Atera and Syncro are described as technician- or user-priced in the cited material. This structure may be worth evaluating when your endpoint count could grow faster than your technician count, particularly if combining RMM and PSA workflows is valuable. Calculate the annual cost using your own staffing and endpoint forecast rather than assuming that a bundled platform is automatically cheaper.
Per-device or per-endpoint pricing
NinjaOne, N-able, Datto, and Kaseya appear with device- or endpoint-based models in the comparisons. This can make endpoint-level cost allocation easier to model, but the quote may still depend on bundles, modules, minimums, or other vendor terms.

Several other products in the comparison sources are listed as quote-based or customized, rather than with a comparable public list price. Do not infer their rates from forum anecdotes or from another vendor’s pricing model. Ask each vendor to specify minimum endpoints or seats, included modules, paid add-ons, onboarding, support, contract length, renewal rules, annual increases, overages, and cancellation terms. Compare total cost at two or three realistic MSP sizes and endpoint-to-technician ratios.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Match the shortlist to your operating model
- If a combined service workflow matters most: Evaluate Atera and Syncro for RMM/PSA consolidation, then verify ticketing, billing, and integrations in a trial. Compare total cost at your own endpoint-to-technician ratio.
- If device-level licensing fits your cost model: Compare NinjaOne, N-able, Datto, and Kaseya on their actual endpoint terms and required add-ons; the cited sources describe device- or endpoint-based models, but not identical commercial packages.
- If you manage complex, multi-client environments: Prioritize tenant controls, policy granularity, automation, reporting, and integrations. N-able is positioned for complex networks in one comparison, while TeamViewer’s comparison explicitly assesses multi-tenancy; verify both against your own requirements.
- If consolidation is the goal: Determine whether bundled PSA, remote access, MDM, or security capabilities meaningfully reduce workflow friction. Weigh that against migration effort, possible add-on charges, and reliance on one vendor.
A practical shortlist and trial process
- Write down the operating requirements. Record your current and expected managed endpoint count, technician count, endpoint mix, client separation needs, existing PSA, and required security, identity, documentation, and backup integrations.
- Choose a small set of candidates by fit. Include both licensing approaches if your cost model is uncertain, and include a combined RMM/PSA candidate if you are considering replacing or simplifying service workflows.
- Request comparable quotes. Give each vendor the same endpoint and technician scenarios. Ask for the same module list, contract period, onboarding assumptions, support level, renewal terms, and cancellation conditions.
- Run the same representative trial workflows. Test alert tuning, patch scheduling and reporting, a reusable automation task, remote access, tenant controls, and the path from alert to ticket and billing. Use client environments that reflect your actual operating needs.
- Score operational fit, not feature count. Record setup effort, technician usability, reporting gaps, integration work, support experience, and total quoted cost. Keep a requirement unmet by a product visible rather than treating it as a minor difference.
- Confirm commercial and technical details before signing. Verify current plan names, prices, region and currency, included features, minimum commitments, and the behavior of any essential integration directly with the vendor.
How to interpret vendor rankings and review scores
Vendor-authored comparisons are useful for discovering products and understanding how vendors position them, but they should not be read as a neutral head-to-head verdict. NinjaOne’s comparison displays 4.9 out of 5 on G2 and 4.7 out of 5 on Capterra, with the data described as current as of September 2026. Those are review-platform ratings displayed by NinjaOne, not controlled performance measurements; ratings and review counts can change.
ConnectWise’s June 18, 2026 article says the best RMM software combines proactive endpoint management, AI-enhanced automation, smart patch management, built-in remote access, PSA integration, and scalability without increasing technician headcount. That is ConnectWise’s vendor-authored characterization, not an independent industry standard. Use it as a useful set of topics to evaluate, not as proof that any one product meets them best.
