To remove a custom domain from Microsoft 365, first move every user sign-in, email address, group, mailbox, and other dependent reference to a domain you are keeping. Confirm the retiring domain is not the tenant’s default, plan any DNS and mail-routing changes, and then use Settings > Domains in the Microsoft 365 admin center to remove it. Removing the domain before clearing its dependencies can break access or mail flow, or cause the removal to fail.
Before you remove the domain
Make sure the domain is genuinely no longer needed for sign-in, email, Teams, applications, or other services. Changing or removing a domain can affect mail, online storage, and sign-in credentials. Removal does not automatically change DNS records at your registrar or external DNS host.
Check that it is a removable custom domain
The domain you want to remove must not be the tenant’s default domain. Microsoft also does not allow removal of the tenant’s initial domain or an .onmicrosoft.com domain through this process. If the domain is marked as the primary domain or has associated subdomains, those states may also need to be addressed before removal.
Protect administrator access
Move administrator sign-ins off the retiring domain where necessary. If you are the only Global Administrator using that domain, make sure another Global Administrator exists with a sign-in on a different domain before changing your username. After changing your own sign-in, sign out and back in with the new username, and confirm you can still administer the tenant.

Inventory the dependencies
Microsoft lists users, shared and resource mailboxes, contacts, Microsoft 365 groups, distribution lists, Teams, and administrator sign-ins among the references that may need to be cleared. Other blockers can include aliases, mail-enabled groups, application identifier URIs that contain the domain, and references managed from an on-premises or federated source of authority.
Move users and groups to a domain you are keeping
Change user sign-in names
- In the Microsoft 365 admin center, go to Users > Active users.
- Select the users whose sign-in names use the retiring domain, choose Change domains, and assign a domain that will remain in the tenant.
- Include administrator accounts that use the retiring domain. If you change your own sign-in, sign out and sign back in using the replacement username.
Changing a sign-in name is not a substitute for checking email addresses and aliases: a user can still have an address on the retiring domain after the sign-in name has changed.

Update groups and distribution lists
Change the email addresses for Microsoft 365 groups, Teams-connected groups, and distribution lists that use the retiring domain. Check mail-enabled groups as well. Some group changes may need to be made in the Exchange admin center, particularly when the group is managed by Exchange.

Plan DNS and mail routing
Identify where the domain’s nameservers are hosted. The registrar that holds the domain registration and the provider that hosts its DNS can be different organizations. Removing a domain from Microsoft 365 does not make changes at either provider.
If Microsoft hosts the nameservers
Follow Microsoft’s custom-domain instructions for a move away from Microsoft-hosted nameservers. Make the required DNS changes at Microsoft and at the new nameserver provider, and set the MX record to the email provider that should receive mail after the change.

If another provider hosts the nameservers
Manage the records with that DNS provider. Before removal, confirm that MX points to the intended mail service and that any website or other services using the domain still have the records they need. Do not change nameservers or mail records without knowing which services depend on them.
Recommended Free Tools
Remove the domain in the admin center
- Sign in to the Microsoft 365 admin center with an administrator account.
- Open Settings > Domains.
- Select the domain you intend to retire and choose Remove domain.
- Follow the displayed checks and prompts. If Microsoft reports remaining references, resolve those dependencies before trying again.
For a tenant with hundreds or thousands of users, Microsoft recommends querying users and updating them with PowerShell rather than relying on a manual user-by-user pass. Its guidance references Microsoft Graph PowerShell’s Update-MgUser and Update-MgDomain. Those cmdlets are not a universal inventory or cleanup script for every kind of tenant object, so separately check groups, mailboxes, contacts, aliases, application references, and other dependencies.

If Microsoft 365 will not remove the domain
Use the exact error message to identify what is blocking removal. A generic retry will not clear a dependency that remains in the tenant.
Default, initial, or subdomain error
Confirm that the selected domain is not the default or initial tenant domain and check whether an associated subdomain is involved. These domains cannot be treated like an ordinary removable custom domain.
User, group, mailbox, or alias error
Check user sign-in names and email addresses, shared or resource mailboxes, contacts, aliases, distribution lists, Microsoft 365 groups, Teams-connected groups, and mail-enabled groups. If a group is Exchange-managed, make the necessary change in the Exchange admin center.
Quick wins for a faster PC:
Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Application or hybrid-environment error
Look for application identifier URIs that contain the custom domain and confirm whether the domain is still set as primary. In hybrid or federated environments, a cloud-side change may not be enough if the authoritative reference is managed elsewhere; resolve it at its source of authority.
Removal is still processing
Microsoft says removal may take as little as five minutes when there are few references, or several hours up to a day when there are many. Microsoft Entra also describes domain deletion as asynchronous and potentially taking up to 24 hours. These are operational estimates, not a guaranteed completion time. Check the domain status before repeating the removal attempt.
