How you create an Excel report from QuickBooks depends on which product you use. QuickBooks Online exports a selected report as a workbook you save and work with outside QuickBooks. QuickBooks Desktop for Windows can create a new Excel worksheet or update an existing one, and its Excel QuickBooks tab provides a command to refresh the report.
QuickBooks Online: Export one report to Excel
In QuickBooks Online, exporting a report gives you a downloaded file; the documented workflow does not provide the Desktop Excel refresh command. Intuit’s QuickBooks Online instructions describe these steps:
- Open Reports, then choose Standard reports.
- Search for and select the report you want.
- Export it to Excel using the control for your report view:
- In classic view, select Export > Export to Excel.
- In the new enhanced experience, select Export/Print > Export to Excel.
- Save the downloaded workbook somewhere easy to locate, then open it in Excel.
Report controls can vary between classic and enhanced views. If the workbook appears incomplete when it opens, the file may be in Excel Protected View. Select Enable Editing to view the full report.

QuickBooks Online also has a custom report builder for data or layouts that are not available in basic reports. Build the report in QuickBooks first, then export it using the appropriate view’s controls.

QuickBooks Online: Export reports and lists in bulk
If you need a broader set of data rather than one selected report, QuickBooks Online can export reports and lists as Excel files inside a ZIP file. Go to Settings > Export data and follow the export options. Intuit’s bulk export instructions distinguish information in reports from non-posting transactions such as estimates and purchase orders. Do not assume this reports-and-lists export includes every transaction type; use the separate path applicable to the data you need.
QuickBooks Desktop for Windows: Create or update an Excel worksheet
QuickBooks Desktop for Windows documents both exporting a report and updating it through Excel. Open the report from Reports > Reports Center, then select the Excel menu and choose one of these options:

- Create New Worksheet to make a new workbook worksheet from the report.
- Update Existing Worksheet to send the report to a worksheet you already have.

If the report does not fit the column layout, select Advanced and clear Space between columns, as Intuit recommends. CSV is another export option when you need a plain-text, comma-separated file rather than an Excel workbook.

QuickBooks Desktop: Refresh the report from Excel
After transactions are added or changed in QuickBooks, open the workbook in Excel, select its QuickBooks tab, then choose Update Report. This is a deliberate refresh command, not evidence that the workbook continuously syncs as QuickBooks data changes. Intuit says the company file must be open for the first update. Its UK help page says later updates can work while QuickBooks is closed, but that detail may depend on version or region; confirm it for your installation before relying on it.

These workflows are not interchangeable: use the export controls documented for your QuickBooks product, and review the resulting workbook before relying on it.

Fix QuickBooks Desktop Excel export problems
If the Excel option is unavailable or the export fails, Intuit recommends updating QuickBooks and checking the Office requirements for your specific QuickBooks version.
