Can I use AI for this assignment, and can I ask without being treated as dishonest? A sound course policy answers both questions at once. It states exactly what assistance is permitted, what must remain the student’s own work, how to acknowledge use, and where to ask before proceeding. Psychological safety does not mean consequence-free conduct; it means students can seek clarification and disclose permitted support without guessing at hidden rules. Academic integrity is then protected by transparent boundaries, meaningful evidence of learning, and consistent human decisions.

Why these two goals belong together

Generative AI has made a previously private decision visible in almost every discipline: a student may wonder whether asking a chatbot to explain a concept, improve prose, suggest code, or draft an answer crosses the assignment’s rules. If the course gives no usable answer, students face two risks. They may avoid a helpful, permitted aid, or they may use a prohibited aid and conceal it because they fear being judged before anyone explains the boundary.

Psychological safety in this context is a learning condition, not a promise of immunity. Students should be able to ask, “Should I tell my teacher?” and receive a predictable answer. Staff should be able to explain a decision, correct a misunderstanding, and record a disclosure without treating every question as evidence of misconduct. Integrity remains the requirement that submitted work honestly represents the student’s learning and follows the assessment instructions.

Institutional rules differ by country, institution, program, course, and assignment. The University of British Columbia (UBC) states: “At this time, whether the use of AI tools in courses and assessments is or is not allowed is a course or program-level decision.” Its guidance tells instructors to state expectations in the syllabus, advises students to obtain permission before using AI for assessed work, and directs them to seek clarification when the rule is absent or unclear. UBC also identifies a syllabus requirement effective 1 September 2026; that date is a UBC policy detail, not a universal deadline.

Start with the assignment, not a blanket AI label

A course-wide sentence such as “AI is allowed” or “AI is banned” rarely answers the question a student actually has. A useful policy describes the task, the permitted purpose, and the evidence the student must produce.

Assignment-level question What a clear answer covers
Is AI allowed? State whether the tool may be used for this assessment, and identify any stage at which the rule changes.
What may it do? Name permitted functions such as brainstorming, translation, accessibility support, explaining a concept, debugging, or language editing.
What must remain the student’s work? Specify the reasoning, calculations, interpretation, code decisions, experimental record, or final wording that must demonstrate the student’s own learning.
What must be acknowledged? Give the required format, location, and minimum information for a declaration, including the tool and the way it was used.
What evidence may be requested? Explain whether drafts, prompts, revision notes, source checks, version history, or a brief explanation of decisions are part of the assessment.
Who answers questions? Provide a named instructor, teaching team, or approved support route and a response time where feasible.

Sheffield’s guidance recommends clear, consistent expectations and presents an “Acknowledge, Describe, Evidence” approach for declarations. In practice, a student can identify the tool, describe the assistance (for example, “suggested alternative explanations of photosynthesis”), and retain evidence that allows the instructor to understand the process. The course’s own rules and the institution’s current policy take precedence over this model.

Three kinds of AI use students need to distinguish

Permitted support

Permitted support is use the assignment expressly allows and that stays within its limits. A student might ask for a plain-language explanation before writing an original answer, use an approved accessibility feature, or request grammar suggestions while retaining responsibility for the argument and sources. Permission can be narrow: allowing translation does not automatically allow a tool to generate the analysis that follows.

Undisclosed or out-of-bounds assistance

A use can be technically helpful yet still violate the assessment if the student omits the required declaration or uses the tool for a task the instructions reserve for the student. Copying generated paragraphs into a submission when only brainstorming was permitted changes the authorship and learning evidence. The relevant question is not whether the output sounds plausible; it is whether the use complied with the stated limits and acknowledgement rule.

Work that no longer demonstrates the intended learning

An assessment fails its purpose when the submitted product can be produced without the student demonstrating the outcome being measured. If the outcome is to construct and defend an argument, an unedited generated essay may conceal whether the student can select evidence, reason from it, and respond to objections. If the outcome is programming logic, a pasted solution may conceal whether the student can design, test, and explain the code. A declaration does not repair work that does not meet the task; it gives the instructor information needed to evaluate the process fairly.

A student’s safe route from uncertainty to disclosure

Students should not have to infer permission from rumors, a detector, or a classmate’s experience. Use this sequence whenever the instructions are unclear.

  1. Read the assignment and syllabus together. Look for a section on generative AI, permitted tools, collaboration, citations, or process evidence. Check any program or institutional rule referenced there.
  2. Describe the exact proposed use. “Can I ask a tool for three possible thesis statements?” is answerable; “Can I use AI?” is too broad. Include the stage of work and whether any output would appear in the submission.
  3. Ask before using it on assessed work. Use the course’s stated contact route and keep the reply. If no route exists, ask the instructor or program office rather than assuming silence means permission.
  4. Stay inside the answer. Permission for one function does not extend to a different function, a different assessment, or a different tool.
  5. Keep process evidence when required or prudent. Save drafts, notes, source checks, or a brief record of what the tool suggested and what you changed. Do not submit confidential data to obtain that help.
  6. Make the declaration easy to find. Follow the required wording and location. If the course uses an “Acknowledge, Describe, Evidence” format, identify the tool, explain its role, and provide the requested supporting record.

A good-faith question is information about intent and understanding, not a finding of misconduct. Instructors should still explain that asking does not grant permission retroactively for prohibited use, and they should apply the same rule to comparable cases.

How instructors can make disclosure psychologically safe

Use a neutral invitation

Tell students explicitly that asking whether a use is allowed is responsible behavior. A syllabus can say: “If you are unsure, describe the exact use before you submit. We will clarify the rule; do not guess.” This separates the act of seeking guidance from the later question of whether a submission complied.

Explain what a declaration is for

Frame disclosure as evidence about process and authorship, not as a confession. Students need to know who will read it, how it will inform feedback or assessment, and what happens if the declared use is outside the permitted boundary. Do not promise that disclosure eliminates consequences for prohibited assistance. Instead, make the boundary, review steps, and appeal or support route predictable.

Apply procedures consistently

Use the same questions for similar cases: What did the instructions permit? What did the student ask the tool to do? What entered the submitted work? What acknowledgement was required? Consistency reduces the reputational fear that can make students hide use, while preserving accountability when the rule was breached.

Recognize the limits of current evidence

A mixed-methods study of 409 undergraduates at one Singaporean university examined cognitive, social, and emotional factors in willingness to disclose generative-AI use. A 2026 preprint summary likewise reports that supportive teacher practice and clear guidance may support psychological safety, while ambiguity and reputational concerns may discourage disclosure. These are recent, context-specific findings, not a universal effect size or proof that one script will produce the same response in every course.

UT Austin’s responsible-adoption guidance captures the broader principle: “To use AI responsibly, students and educators must always be in the loop, understand how these technologies work, their ethical assumptions and implications and the influence they will have on their learning, careers and society.” Human conversation is therefore part of the control system, not an optional courtesy.

Choose a course approach deliberately

Some courses permit broad uses, some restrict them, and many set different rules for different assessments. Compare the options against the learning outcome rather than treating one model as inherently more ethical.

Approach Where it can fit Safeguards the course must provide
Permissive with declared limits Tasks where students can use AI as a support while still demonstrating judgment, verification, and disciplinary reasoning. Function-by-function boundaries, acknowledgement instructions, source checking, and evidence of the student’s decisions.
Restricted Assessments intended to capture unaided recall, live performance, or a foundational skill that later work depends on. A clear explanation of the learning purpose, an accessible alternative for approved support needs, and a question route before submission.
Assignment-specific Programs in which one task benefits from ideation or accessibility support while another measures independent production. Separate instructions for each assessment, consistent wording across sections, and a way to record which rule applied.

For each option, ask six questions: Does it align with the learning outcomes? Are the boundaries and disclosure instructions understandable? Can students access the same opportunity fairly? Can they demonstrate authorship and learning? Is there a reliable support route? Are access, accessibility, privacy, and data-protection risks controlled? This is a planning framework derived from institutional principles, not a validated scoring instrument.

Design assessments so learning remains visible

State the human judgment being assessed

Rewrite prompts to name the decisions students must make: select and justify sources, interpret a dataset, defend a design trade-off, critique an explanation, or connect theory to a local case. When the outcome is explicit, students can see which parts a tool may support and which parts cannot be delegated.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Collect process evidence proportionately

A staged submission, annotated bibliography, design log, version history, reflection, or short oral explanation can show how a student moved from question to conclusion. Require only evidence that serves the outcome; excessive surveillance can increase anxiety without improving validity. Tell students in advance what will be reviewed and how it contributes to the grade.

Use authentic and interactive tasks

Ask students to apply concepts to a specific case, explain a choice to a peer, critique a flawed output, or revise work after feedback. These formats can accommodate permitted AI support while making the student’s interpretation and judgment visible. They also give instructors a basis for a conversation when a submission and the student’s explanation do not align.

Keep final decisions human

The Australian regulator TEQSA’s resource collection groups work around detection of AI-generated text, assessment design, and curriculum integration, signaling that detection is only one part of an integrity response. Liverpool’s July 2026 guidance lists educational uses such as generating multiple explanations of a concept, refining rubrics, and drafting teaching materials for review. It identifies copying unreviewed AI content into briefs or rubrics and using AI to generate grades or final assessment decisions as unacceptable. An educator may use a tool to explore possibilities, but a qualified human must verify content, apply the rubric, and make the final assessment judgment.

Why detection cannot replace policy and review

A detector result, like an unusual writing style or a mismatch between drafts, may prompt a question. It does not tell an instructor what the assignment permitted, what assistance occurred, whether the output contains errors, or whether a student can explain the submitted work. TEQSA’s collection treats detection alongside assessment design and curriculum integration; it does not establish a universal performance rate for any detector.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use a proportionate review process instead:

  • Check the assignment rule and the student’s declaration, if one was required.
  • Invite the student to explain the relevant section, sources, decisions, and any tool use.
  • Compare that explanation with drafts or other process evidence when the assessment required it.
  • Document the reasoning and give the student the institution’s stated opportunity to respond or appeal.

Do not treat a detector score as a verdict, and do not conceal the basis for a consequential decision. Transparency protects both the student’s rights and the credibility of the integrity process.

Accuracy, bias, and critical evaluation of AI output

Generative systems can produce inaccurate explanations, biased framing, and false or nonexistent references. A policy that permits use should therefore require verification appropriate to the discipline. Students should check every citation against the original publication, test code and calculations, compare claims with authoritative sources, and disclose substantial assistance. Instructors should model this checking rather than implying that fluent wording equals reliable knowledge.

One useful exercise is to have students critique a deliberately imperfect output: identify unsupported claims, missing perspectives, or a fabricated reference, then replace it with verified evidence. That activity turns a risk into an opportunity to assess source literacy and judgment without allowing unreviewed output to stand as scholarship.

Access, accessibility, privacy, and data protection

Account for assistive use and cost

Sheffield notes that AI may function as assistive technology and may help students who are neurodivergent, anxious, or managing invisible barriers. The same guidance asks institutions to consider access costs and accessibility limitations. A prohibition or required tool can therefore create unequal conditions if some students cannot afford, access, or safely use it.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

State an approved route and an equivalent alternative where needed. Do not require disclosure of a disability in an AI declaration; route accommodation questions through the institution’s established accessibility service. Ensure that a student who cannot use a particular platform can still demonstrate the learning outcome.

Protect personal and confidential information

Liverpool advises against uploading student work, personal data, or confidential information to public AI services without completing a Data Protection Impact Assessment and/or seeking guidance from its Data Protection Officer. That is an institution-specific rule; readers must follow their own privacy and data-protection requirements. As a baseline, remove identifying details, avoid unpublished research or client information, and use an institution-approved service when one is required.

UT Austin’s framework adds privacy, safety, accessibility, intellectual-property rights, and transparent data sharing to responsible adoption. Explain what a tool retains or shares when that information is known, and give students a non-AI path when consent or confidentiality makes use inappropriate.

A practical implementation checklist for course teams

  • Map every assessment to its learning outcomes and identify where human judgment must be visible.
  • Write a short, assignment-specific AI statement using permission, boundaries, acknowledgement, process evidence, and contact details.
  • Publish the statement where students make the decision: the prompt, rubric, lab brief, or submission page, not only in a distant policy document.
  • Provide an example declaration and an example of an unacceptable use, without suggesting that the example covers every case.
  • Train teaching staff to answer the same scenario consistently and to distinguish a question from a finding.
  • Offer an accessible, privacy-preserving alternative and identify who handles accommodation or data questions.
  • Design at least one opportunity to observe explanation, revision, critique, or application when that evidence is relevant to the outcome.
  • Define how a concern is reviewed, documented, communicated, and appealed under the current institutional procedure.
  • Review the wording each term as institutional policy, approved tools, and data-protection requirements change.

Sheffield summarizes the balance this way: “We provide institutional expectations while respecting disciplinary expertise.” Institutions can set the floor for safety, privacy, and integrity; instructors still need the disciplinary judgment to decide what a particular assessment is meant to reveal.

Questions students and instructors should resolve openly

“To disclose or not to disclose?”

If the course requires acknowledgement, disclose the use in the specified format. If the rule is unclear, ask before submission and describe the proposed use precisely. Do not assume that a tool’s free availability makes its use permitted for assessed work.

“Should I tell my teacher if I only used AI to understand the topic?”

Follow the assignment’s definition. Some courses permit private study support without a declaration; others require disclosure of any use connected to the work. When the instructions do not say, ask. A clear answer is safer than relying on a general institutional slogan.

“Does a declaration mean I will be penalized?”

A declaration is not automatically a penalty or an exemption. The instructor must compare the use with the assignment’s boundary and apply the published procedure. Psychological safety means the process is explainable and consistent, not that prohibited conduct has no consequences.

“Can an instructor use AI to grade?”

Liverpool’s July 2026 guidance identifies using AI to generate grades or final assessment decisions as unacceptable. Tools may assist with draft materials or rubric refinement under review, but responsibility for the grade and the final decision remains with the human assessor under the applicable institutional rules.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“What if an AI answer contains a convincing citation?”

Verify it in the original source before relying on it. False references are a known risk of generative output. If the assignment permits AI, the student remains responsible for accuracy, attribution, and compliance with the citation rules.

Keep the balance visible in every decision

A course protects integrity best when students know what they are expected to learn, what assistance is allowed, how to acknowledge it, and how questions will be handled. It protects psychological safety when those answers are available before submission, applied consistently, and separated from assumptions about character. Build the policy at assignment level, preserve human judgment in assessment, design for access and privacy, and use detection or other signals only as prompts for a fair review. Always check the current rules of your own institution, program, and jurisdiction before publishing or applying the guidance.
