Protecting a website from a data breach means reducing the amount of valuable data it holds, limiting who and what can reach it, fixing exposed software, and being able to recover when prevention fails. No checklist can make a site breach-proof. The right controls depend on the information you collect, your website technology, your administrators, and the hosting and service providers involved.

Start with the data, systems, and people that need protection

Before changing settings, map what the website collects and where that information goes. Include customer and employee data, payment or inquiry forms, databases, administrator accounts, hosting and cloud services, plugins and other dependencies, and outside vendors with access. The FTC’s small-business cybersecurity guidance recommends protecting data and limiting access to sensitive assets.

  • Collect only the information the site needs to provide its service.
  • Remove data that is no longer needed, consistent with business and legal requirements.
  • Limit access to people and services that need it for their work, and remove access when it is no longer required.
  • Keep an inventory of the systems and vendors that store, process, or can access site data.

The FTC’s Safeguards Rule guidance describes an information security program for covered financial institutions, not a universal legal requirement for every website. Its emphasis on keeping a security program current as operations and risks change is still useful context for organizations building their own safeguards.

Secure accounts that can change the site or access its data

Require multifactor authentication (MFA) on administrator accounts, hosting control panels, business email, and other accounts that can alter the website or reach sensitive information. Where supported, choose phishing-resistant authentication, such as a compatible FIDO security key or public key infrastructure method. A key only protects supported sign-in flows; it does not patch software or remove the need for account recovery planning.

CISA recommends hardware-based tokens such as FIDO for the greatest resistance to exploitation. It also says: “While better than having no additional security layer, Short Message Service (SMS) should be an organization’s last resort for implementing multifactor authentication.” See CISA’s MFA guidance for its recommendations. Check that each important service supports your chosen method and that you have a safe way to recover access if a key is lost.

Patch exposed software and remove what you do not use

Keep the website platform, plugins, server software, operating systems, and other internet-facing components updated. Prioritize security fixes for known exploited vulnerabilities, then remove unused components and exposed services when appropriate. CISA’s ransomware guide recommends regular updates and timely patching of internet-facing systems.

Make updates a tracked responsibility rather than an occasional task: know who owns each component, how updates are applied, and how you will identify a change that disrupts the site. If a provider manages part of the stack, confirm what it patches and what remains your responsibility.

Keep backups you can restore

Choose a backup schedule based on how much recent data the organization can afford to lose and how quickly the service must return. Keep encrypted copies offline or otherwise isolated from ordinary administrator access, and regularly test that they can be restored. A backup that an attacker can alter along with production data—or that cannot be restored—may not help you recover.

CISA’s ransomware guidance recommends offline, encrypted backups and regular testing of their availability and integrity. NIST SP 1339, published in June 2026, discusses backup creation, testing, and review during recovery exercises for operational technology environments; it is OT-specific, so treat it as supporting practice rather than a website standard: NIST SP 1339.

Check what your host and other vendors actually do

Managed cloud or hosting services may reduce some maintenance duties, but they do not eliminate your security responsibilities. FTC small-business materials cover web-host selection and vendor security, and CISA notes that reputable managed cloud providers can reduce some—but not all—maintenance responsibilities.

When assessing a host or security provider, compare the responsibilities and capabilities that affect your exposure:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Which software and infrastructure the provider patches, and which remain your responsibility.
  • Whether administrative access supports MFA and can be limited by role.
  • Which logs and security alerts are available, and how long they are retained.
  • Whether backups are encrypted and isolated, and whether restores are tested.
  • What incident-response assistance and customer-notification processes the contract describes.
  • What data the provider can access and how that access can be revoked.

Ask how the provider handles security updates, incidents, logging, backups, and restoration before relying on it to protect your site. The FTC small-business guidance discusses vendor security and host selection.

Prepare for a suspected breach before one happens

Write down who leads the response, who can isolate affected systems, how logs and other evidence will be preserved, which technical and legal experts to contact, how recovery will be handled, and who decides what to communicate to customers and other audiences. The FTC recommends a response team and a plan for communications and notification. Its data breach response guide offers general business guidance. NIST SP 800-61 Rev. 2 describes incident response from preparation through handling and lessons learned; it was published on August 6, 2012, and its page was updated May 4, 2021: NIST SP 800-61 Rev. 2.

What to do if you suspect a breach

Use your incident plan and get qualified technical and legal help. A suspected breach calls for prompt containment and careful fact-finding, not unsupported assurances to customers. The FTC’s response guide recommends moving quickly to secure systems and fix vulnerabilities, mobilizing a response team, preserving evidence, reviewing logs and access, investigating what information was affected, and considering appropriate notification.

  1. Secure affected systems. Follow your response plan to contain the incident and address the vulnerability without destroying evidence.
  2. Preserve evidence and review access. Retain relevant logs and records, and establish which accounts and systems were involved.
  3. Determine what information was affected. Record what is confirmed and what is still under investigation.
  4. Plan communications and notification. Consult qualified counsel about duties that apply to the incident and jurisdiction; there is no single notification deadline established here for every case.
  5. Communicate carefully. Give affected people useful information, avoid misleading claims, and keep a record of what is known and when further updates will be provided.

If personal information was improperly posted on the website, the FTC advises removing it and considering search-engine caches and copies on other sites.
