To password-protect a PDF in Windows 11, choose the method that matches where you are starting: export a Word document with an opening password, or use a PDF app such as desktop Acrobat to protect an existing PDF. Windows’ built-in file encryption is not a portable PDF opening-password feature. If this is a work or school file, your organization may require Microsoft Purview protection instead.
Choose the protection that fits your PDF
First decide whether you are creating a PDF from a document or securing a PDF that already exists. Then distinguish between requiring a password to open the file and limiting actions such as printing or editing. A workplace-managed label is a separate option that relies on organizational accounts and compatible software.
| Situation | Best-fit route | What the recipient needs |
|---|---|---|
| Creating a PDF from a Word document | Word desktop PDF export with “Encrypt the document with a password” | The password to open the PDF |
| Protecting an existing PDF | Desktop Acrobat’s password protection | A document-open password, or permissions supported by the recipient’s PDF reader |
| Protecting a work or school PDF | Microsoft Purview label and protection, if configured by the organization | Authorized work or school identity and a supported viewer |
| Encrypting a file on this Windows PC | Windows file encryption, if available in the Windows edition | Access to the encrypted file under the applicable Windows account and setup; this is not a shared PDF open-password prompt |
Create a password-protected PDF from Word
For a new PDF made from a Word document, use the desktop Office export option. Microsoft documents the password-encryption checkbox in Office desktop apps; do not assume Word for the web has the same controls.

Microsoft says this setting restricts opening the PDF to people who have the password. See Microsoft’s Office desktop PDF export instructions.

Add password protection to an existing PDF in Acrobat
In desktop Acrobat, choose whether you want a password required before viewing or want to set permissions for actions such as editing or printing. These are distinct security functions. Adobe documents the following route for its desktop app:
- Open the PDF in Acrobat.
- Select All tools > Protect a PDF.
- In the left pane, select Protect with password.
- Choose Viewing to require a password to open the file, or Editing to configure permissions.
- Enter and confirm the password, then select Apply.
- Save the PDF so the protection is applied to the saved file.
Adobe notes that permissions controls are not a guarantee against every form of copying or redistribution in every PDF reader. For password guidance and the distinction between password types, see Adobe’s password security overview and its desktop Acrobat instructions.

Use Windows file encryption only for local file protection
Windows also offers encryption for files and folders through Properties > Advanced > Encrypt contents to secure data. Microsoft states this feature is unavailable in Windows Home. More importantly, this encrypts a Windows file through the operating system; it does not add a portable password prompt that lets a PDF recipient open the document with a shared password. Follow Microsoft’s file and folder encryption instructions if local Windows encryption is what you need.

Protect an organization-managed PDF with Microsoft Purview
If your employer or school uses Microsoft Purview Information Protection, use its labels and permissions rather than treating them as a shared PDF password. Microsoft’s File Labeler supports PDF files and can apply organizational protection from File Explorer. The available access levels depend on the label and configuration; permissions may include viewer, reviewer, co-author, co-owner, or “Only me.” Protection can remain attached when a file is emailed or moved.

Microsoft also says that when an appropriately labeled Office document is saved as a PDF, the source document’s label and encryption are automatically applied to the resulting PDF. See Microsoft’s File Explorer labeling guidance and instructions for creating protected PDFs from Office files.
Check that the recipient can open the protected PDF
A password-protected PDF and an organization-protected PDF can prompt recipients differently. For a shared password, provide the password through a separate secure channel rather than in the same message as the attachment. Use a strong, unique password and keep a safe record of it.
For Purview-protected files, recipients may need to sign in with a work or school account and use a supported viewer. Microsoft Edge on Windows 11 can view supported protected PDFs when the user is signed in to Edge with work or school credentials. Some older protected PDF formats may require another supported reader. If an organization-protected file prompts unexpectedly or denies access, ask the sender or IT team to verify the label, permissions, and required viewer. Microsoft’s protected PDF guidance for Edge describes the supported workflow.

Acrobat on the web is not the same data-handling path as desktop Acrobat: Adobe says a PDF protected through its web workflow is saved as a protected copy in Adobe cloud storage. Consider that behavior before uploading a sensitive document. Adobe’s web protection instructions describe that workflow.
