Toolero is a cloud-based equipment rental and inventory system for rental businesses, construction companies, manufacturers, and service teams. It keeps equipment records with serial numbers, photos, statuses, locations, and history, then connects those records to checkouts, returns, deposits, condition tracking, reservations, maintenance, inspections, contracts, settlements, invoices, and stocktaking. The browser-based application works on phones, tablets, and computers, while QR labels and phone scanning support equipment identification. It is particularly suited to Polish-speaking teams that need structured rental controls and operational records.

Pricing is organized across four plans. Starter costs 99 PLN per month and includes inventory, rentals, a customer database, unlimited users, and QR codes. Business costs 249 PLN per month and adds a pricing engine, reservations, email notifications, and an audit log. Pro costs 469 PLN per month and adds late return fees, data export, and full reports. Enterprise includes unlimited tools, dedicated support, and custom terms. The published pricing page states that prices are in PLN and exclude VAT, and offers a 7-day trial without a credit card. Unlimited users and QR codes appear on the published Starter, Business, and Pro plans.

Operational coverage is the main reason to consider Toolero. Reservation conflict detection can convert reservations into rentals, while maintenance, repair, calibration, and inspection scheduling support equipment lifecycle management. Rental contracts, electronic signatures, settlements, and KSeF invoices extend the workflow beyond basic booking. CSV import and export, roles, permissions, notifications, and reporting add administrative control. The trade-off is ecosystem breadth: KSeF and custom integrations are listed, but the product remains web-only with limited integrations. Teams seeking a focused rental and tool-tracking system should consider Toolero; organizations requiring a broader integration ecosystem may prefer an alternative.

Toolero pros and cons

  • Where it wins
    • QR labels and phone scanning identify equipment quickly
    • Reservations, checkouts, returns, and late-fee calculation in one workflow
    • Maintenance, contracts, signatures, invoices, and stocktaking included
  • Where it doesn't
    • Web-only platform with a limited integration set
    • No free plan; published paid plans start at 99 PLN monthly
    • Advanced pricing, reporting, and export features require higher tiers
