Personal Knowbase review
A portable Windows knowledge base for structured personal archives.

Personal Knowbase is a Windows desktop application for organizing freeform notes, research material, email archives, project information, and other text-based records. It suits individuals who want a structured personal archive without relying on a hosted workspace. User-defined keywords provide indexing and filtering, while bookmarks and hypertext links connect related entries. Notes can include file and web-address attachments, reminders, spell-checking, and password protection. Local storage and portable USB installation also support offline access and portability.
Pricing is based on one-time payment per copy rather than a recurring subscription. The 1–2 copies plan costs $49.95 per copy, 3–9 copies costs $37.95 per copy, 10–24 copies costs $33.95 per copy, 25–49 copies costs $28.95 per copy, and 50+ copies costs $24.95 per copy. A 30-day trial is available. This structure makes the product easier to evaluate before purchase and lowers the per-copy price for larger orders, while the absence of a free plan means continued access requires a purchase.
The product’s strongest fit is a narrow, local knowledge-management workflow. Import options cover text, HTML, RTF, Cardfile, delimited text, and custom formats; exports include text, HTML, RTF, Cardfile, and CSV. PK Reader enables read-only distribution of Knowbase files, which can help when others need to view archived material without editing it. However, Personal Knowbase is Windows-only and does not provide integrations or collaboration features. Choose it for a private, portable archive with flexible file handling; choose another note-taking app if cross-platform access, connected services, or shared editing are priorities.
Personal Knowbase pros and cons
- Where it wins
- Keyword indexing, filtering, bookmarks, and links organize freeform notes.
- Imports and exports support text, HTML, RTF, Cardfile, CSV, and custom formats.
- Local storage, USB portability, password protection, and read-only sharing.
- Where it doesn't
- Windows-only platform limits access across other operating systems.
- No integrations or collaboration features for connected team workflows.
- No free plan; the 30-day trial precedes one-time paid pricing.
