Microsoft Sway is a web-based application for creating and sharing interactive presentations, reports, newsletters, personal stories, and photo albums. It suits people who want to combine text, images, videos, documents, and embedded content in a visual format without starting from a blank slide canvas. Its card-based Storyline organizes content, while automatic design and layout suggestions help shape the finished Sway. Anyone with a Microsoft Account can use the Free plan, and additional capabilities are available through Microsoft 365 subscriptions.

Sway fits particularly well with Microsoft’s wider ecosystem. It can import content from Word, PowerPoint, and PDF files, embed Office documents, and connect with services including OneDrive, SharePoint, Microsoft Forms, Power BI, Stream, YouTube, Vimeo, Google Maps, and LinkedIn. Sharing links include view and edit permission controls for organizational accounts, and finished Sways can be embedded on websites. Accessibility Checker, Accessibility View, audio recording, and closed-caption support add useful options for publishing content to varied audiences.

The main trade-off is that Sway is designed more for interactive, web-first storytelling than conventional slide presentation workflows. It supports offline copies through Word or PDF export, but not offline creation or editing, and it does not provide presenter mode or PPTX export. The Windows desktop application was retired on June 1, 2026, so the supported experience is the web version. Choose Sway for free, shareable visual documents with flexible embeds and automatic formatting; choose another presentation tool if live presenting, offline work, or PowerPoint-compatible export is central to your workflow.
