Collector Systems review
A deep collections system with strong cataloging, but a narrower records-management focus.

Collector Systems is a cloud-based collections management platform for museums, institutions, universities, private collectors, art advisors, family offices, and corporate collections. Its core purpose is to catalog objects and manage the surrounding collection record, including documents, images, locations, exhibitions, loans, insurance, valuations, shipments, reports, labels, and exports. Customizable fields and tabs support different collection structures, while web access, iOS and Android apps, and a RESTful API extend access across teams and connected systems. It is a strong fit for organizations whose records work centers on objects and collections rather than conventional records-retention programs.
Pricing is plan-based and billed monthly per user. CS Core costs $95 per user per month and includes all fields and modules, unlimited object records, ongoing support, a mobile app, and 10GB of storage for media and documents. CS Enterprise costs $185 per user per month and adds Azure AD and SSO, custom report creation, priority support, 50GB of storage, and the Private Gallery secure read-only portal. Both plans include the collection-management foundation, while Enterprise is aimed at organizations needing identity management, expanded storage, higher-touch support, and controlled external viewing. Trial periods are available by contacting the vendor.
The platform’s standout strength is breadth within collections operations. It combines cataloging with workflow records for loans, exhibitions, insurance, valuations, and shipments, plus digital signatures, Excel export, selected ecosystem integrations, granular permissions, audit logs, and mandatory multi-factor authentication. Its integrations include Acquia (Widen), OrangeLogic, Open Exchange, Getty vocabularies, Chenhall’s Nomenclature 4.0, and ITIS. The vendor security page states ISO 27001 certification. Choose Collector Systems when collection intelligence and object history are central; organizations primarily seeking retention schedules, legal holds, or disposition controls should choose a more records-management-focused alternative.
