Preview is primarily a Mac tool for filling a PDF and placing your own captured signature. Acrobat can do that too, but its Acrobat Sign workflow also lets you send an agreement to other people, assign recipients and signing order, place fields, and manage the transaction through cloud services. That difference is about workflow and administration, not automatic proof that one visible signature has stronger identity assurance or the same legal effect in every jurisdiction. The signature category, authentication method, certificate status, document type, and applicable law all matter.
The practical difference in one view
Apple’s Preview documentation describes a local, straightforward Mac workflow: open a PDF, fill supported fields or add text, create a signature with a trackpad, the Mac camera, or an iPhone or iPad, then place and resize it. The resulting signature is inserted into the PDF you are editing. Apple also says saved signatures can be available on other Macs through iCloud Drive when it is enabled. See Apple’s Preview guide.
Acrobat has a similar one-person signing capability. Adobe says Acrobat can accept a typed, drawn, or handwritten-signature image and save the signature and text in the PDF. Its separate request-signatures workflow uses Acrobat Sign cloud services: a sender uploads a document, adds recipients, can set a signing order, positions signature and form fields, and sends the agreement. Recipients can sign in a browser or on a mobile device without purchasing an Acrobat product. The workflow is described in Adobe’s e-signature overview and request-signatures guide.

The table compares documented workflows, not speed, reliability, security ratings, or legal validity. Neither vendor documentation establishes a universal winner or a controlled performance result.

What Preview actually does on a Mac
Fill a form or add text
When a PDF contains interactive form fields, Preview can let you type directly into those fields. If the PDF does not accept direct typing, Apple says you can add a text box instead. This distinction is important: a scanned or otherwise non-interactive form may need text placed visually over the page rather than entered into a form control.
On macOS 14.2 or later, Apple documents enhanced AutoFill for contact information, while noting that not all PDFs support it. Treat that feature as a convenience for compatible forms, not as a guarantee that every PDF will become an interactive form.
Create and place a signature
Preview’s signature capture options are designed for the person sitting at the Mac:
- Open the PDF in Preview and display the markup controls.
- Choose the signature control and select the option to create a signature.
- Capture it with the Mac trackpad, use the built-in camera to read a handwritten signature, or use an iPhone or iPad when that option is offered.
- Select the saved signature, click in the PDF where it belongs, and drag its handles to resize it.
- Save a completed copy under a new name if you may need to preserve the original unsigned file.
Apple’s guide is the authoritative description of these options; labels and the exact arrangement of controls can vary by macOS release. A signature captured this way is a visible element placed in the document. Its appearance alone does not tell a recipient how the signer was identified or whether a certificate was used.
Use the signature on another Mac
Apple says iCloud Drive can make saved Preview signatures available on other Macs where iCloud Drive is enabled. That is a synchronization convenience, not a statement that every Mac has access to the same files or that a signature is cryptographically bound to its owner. Keep account access and device security under your control when using synchronized signatures.
How Acrobat signing differs from Acrobat Sign requests
Sign a PDF yourself
Acrobat’s ordinary e-signature feature can also be a one-person operation. Adobe describes signing by typing a name, drawing a signature, or inserting an image of a handwritten signature, then saving the signature and text in the PDF. This overlaps with Preview’s basic use case: one person completes a document and returns the file.

The overlapping capability does not make the products identical. Preview’s cited workflow is a Mac application workflow. Acrobat’s broader feature set adds a cloud-based request process and separate digital-signature tools, so the relevant choice depends on whether you only need to mark your own PDF or need other people to complete an agreement.
Send an agreement to other people
Adobe’s request guide describes this sequence:
- Upload the document in the request-signatures experience.
- Configure the agreement settings available to your account.
- Add each recipient and, when needed, specify the order in which recipients should sign.
- Place signature fields and any other form fields on the appropriate pages or assign them to the appropriate recipients.
- Send the agreement. Adobe’s overview says recipients receive an email link and can sign from a browser or mobile device without an Acrobat subscription.
Adobe notes that enterprise customers may be redirected to Acrobat Sign and that administrator settings can restrict access. The request page was updated April 9, 2026, and the overview was updated November 5, 2025; interface names, account eligibility, subscription requirements, and regional availability can change. Confirm the controls shown in your current Acrobat account before documenting an internal procedure.
When the cloud workflow is worth the extra setup
Use a request workflow when the document must move among several people, when each person needs assigned fields, or when the sender needs an agreement-management view rather than a file that is manually emailed back and forth. The cited Adobe material establishes recipients, optional signing order, field placement, sending, and management of agreements. It does not establish that every plan includes every reminder, reporting, authentication, or retention control, so check the account and administrator configuration.
Electronic signatures, digital signatures, and visible signature images
The word “signature” can describe different technical things. Adobe’s signature-types guidance separates these categories:
Basic electronic signature
An electronic signature is the broad category. Adobe says it can include a graphical image of a handwritten signature and may provide little or no signer identification beyond information such as an email address. A signature image pasted into a PDF is therefore not, by itself, evidence of a certificate-backed identity check.

Some e-signature processes add identification steps beyond displaying a name or image. Adobe describes e-signatures with identification as using more robust identification processes. The exact method can depend on the service, account configuration, and transaction requirements; do not assume that the presence of an Acrobat interface means the same authentication was used for every agreement.

Certificate-based digital signatures
Adobe describes a digital signature as certificate-based. The certificate is issued by a Trusted Service Provider or Certificate Authority and is used to bind the signer’s identity to the signed document and to detect changes made after signing. This is technically different from placing a picture of handwriting on a page.
Qualified Electronic Signatures
Adobe also describes a Qualified Electronic Signature as a certificate-backed type defined by European Union law. Whether a signature is legally equivalent to a handwritten signature depends on the applicable country’s law and the facts of the transaction. The EU category should not be presented as a universal legal standard for documents signed elsewhere.

Identity assurance: what each workflow proves, and what it does not
A visible mark answers “what was placed on the page?” It does not automatically answer “who controlled the signing process?” or “was the document unchanged afterward?” Those questions require information about authentication, certificates, and validation.
- Preview capture: Apple documents how to create and position a signature, but the cited guide does not describe identity verification, a certificate authority, or a transaction audit process.
- Acrobat basic e-signature: Typing, drawing, or inserting an image can produce a visible signature. Adobe’s category description warns that a basic e-signature may have low or no identification beyond an email address.
- Managed request: Acrobat Sign adds a sender-recipient workflow and cloud agreement handling. The identity strength still depends on the authentication and signature type configured for that transaction.
- Certificate-based signature: A certificate and its issuing authority provide a mechanism for checking signer identity and whether the signed content changed, subject to certificate validity and verification settings.
For a high-consequence document, decide the required identity and evidence level before choosing the tool. A convenient signature image may be adequate for an informal acknowledgment but inappropriate where a contract, regulator, court, or internal policy requires stronger authentication or a certificate.
How certificate validation works in Acrobat
Validation is a separate question from appearance. Adobe’s validation-preferences documentation describes settings for digital signatures, including showing a signature badge, checking signatures when a PDF opens, certificate-related checks, certificate revocation checking, and the time used for verification. These controls concern certificate-based digital signatures, not every visible signature image.

What a recipient should inspect
- Whether Acrobat identifies the signature as a digital signature rather than only displaying a graphic.
- Whether the signing certificate is trusted and within its validity period.
- Whether the certificate has been revoked, when revocation checking is available and enabled.
- Whether the document reports changes after signing.
- Which verification time and trust settings Acrobat used.
Organizations should establish consistent validation preferences instead of relying on a recipient’s visual impression. See Adobe’s validation-preferences guide for the controls and their scope.

Certificate signing can change what is editable. Adobe says digital ID or certificate signing affects editing and accessibility. If the only signer, a user may be able to clear their signature; if other people have signed, Adobe says the user may need the original unsigned copy or may need to ask a signer to remove a signature.
Locking the document
Acrobat can offer a “Lock document after signing” choice. Adobe says selecting it blocks edits and additional signatures. That setting is appropriate when the document is final, but it conflicts with a workflow that expects another person to sign or a correction to be made later.
A safe file-handling sequence
- Keep an unsigned master copy before applying a certificate-based signature or choosing a lock option.
- Confirm that all text, attachments, form fields, and recipient assignments are final.
- Apply the required signature type and review the resulting status in Acrobat.
- Distribute the signed copy as the controlled version; do not continue editing it as though it were the master.
- If a correction is required, return to the unsigned copy, make the change, and obtain the required signatures again.
These restrictions are specific to Adobe’s documented digital-ID and locking behavior. Do not assume that every drawn signature or inserted image has the same editing consequences. See Adobe’s signed-PDF limitations guidance.

Neither Preview nor Acrobat can make every signature legally sufficient everywhere. Legal effect can depend on the governing law, the signer’s location, the recipient’s location, the document type, consent and disclosure requirements, required identity checks, record retention, and whether a certificate or qualified signature is mandated.

Adobe’s signature-types page describes qualified signatures under EU law and says legal equivalence depends on country law. That qualification matters: a Preview signature image, a basic Acrobat e-signature, an identified e-signature, and a certificate-based digital signature should not be treated as interchangeable legal instruments without checking the rule that applies to the transaction.

For an employment, property, lending, government, healthcare, or other consequential document, ask the responsible legal or compliance team what evidence is required. The software choice should follow that requirement, not substitute for it.
Choosing between Preview and Acrobat
Choose Preview when these conditions fit
- You are working on a Mac and need to fill a PDF or add your own signature.
- The document does not require a multi-person routing process.
- You can return the completed PDF through your normal secure channel.
- A visible signature is acceptable under the document owner’s policy and applicable law.
- You want to capture a signature with a trackpad, camera, or nearby iPhone or iPad.
Choose Acrobat’s personal signing tools when these conditions fit
- You need to type, draw, or insert a signature while working in Acrobat.
- Your organization already standardizes on Acrobat for PDF handling.
- You may need Acrobat’s digital-signature and validation controls in addition to a visible mark.
- You need to inspect certificate status or configure validation behavior for certificate-based signatures.
Choose the Acrobat Sign request workflow when these conditions fit
- Several people must sign the same agreement.
- Each recipient needs assigned signature or form fields.
- The sender needs a defined signing order.
- You want a cloud agreement workflow rather than manually exchanging revised PDF attachments.
- Recipients need to sign from a browser or mobile device without buying Acrobat.
Do not choose based on the product name alone
“Acrobat” covers more than one signing path, and “signature” covers more than one assurance level. First identify whether the requirement is a local visible mark, a managed multi-recipient agreement, or a certificate-based digital signature. Then check account access, administrator restrictions, regional availability, and the legal or policy requirement.
Common failure points and fixes
The PDF will not accept typed text in Preview
It may lack interactive form fields. Use a text box as Apple documents, then check alignment and legibility at normal zoom. If the form owner requires machine-readable field data, ask for an accessible or interactive version instead of relying only on positioned text.
A signature appears but recipients question who signed
A visible image does not establish the identity assurance of a certificate or an authenticated transaction. Use the organization’s required Acrobat Sign authentication or a certificate-based digital signature when the transaction calls for stronger evidence, and retain the completed agreement and related records according to policy.
The next signer cannot add a signature
Check whether a certificate signer selected “Lock document after signing.” Adobe says that option blocks edits and additional signatures. Recreate the agreement from the unsigned master with all recipients and fields in place, then send it through the intended request workflow.
Acrobat options are missing
Adobe says enterprise users may be redirected to Acrobat Sign and that administrators can restrict access. Subscription tier, organization settings, product version, and geography can affect what appears. Have an administrator verify entitlement and policy rather than assuming the feature has been removed.
A certificate warning appears during validation
Review the certificate trust chain, validity period, revocation status, and Acrobat’s verification preferences. A warning is not resolved merely by looking at the signature graphic; validation settings and certificate status determine what Acrobat can establish.

- Count the signers. One person filling a PDF points toward a local workflow; multiple recipients point toward a managed request.
- Define the identity requirement. Decide whether a visible electronic signature is enough, whether additional authentication is required, or whether a certificate-backed signature is mandated.
- Check the platform. Preview’s documented instructions are for Mac. Acrobat Sign recipients can use a browser or mobile device, while sender access depends on the account and organization.
- Confirm the signing order and fields. For a routed agreement, assign every field before sending and verify who signs first.
- Preserve the unsigned original. Keep it before certificate signing or locking, especially when corrections or additional signatures remain possible.
- Validate the result. For a certificate-based signature, inspect Acrobat’s signature status and certificate checks; do not equate a visible image with validation.
- Check the governing rule. Confirm that the selected signature type is accepted for the document and jurisdiction.
Bottom line: compare the job, not just the app
Preview is the simpler choice for a Mac user who needs to fill a PDF and place a personal signature. Acrobat covers that basic task and adds a materially different Acrobat Sign workflow for collecting signatures from other people, assigning fields and order, and managing agreements. Certificate-based digital signatures and their validation controls are a further distinction from either a Preview signature image or a basic e-signature. Select the workflow that matches the number of signers, identity assurance, verification, editing plan, account access, and legal requirement.
