Personalized email marketing uses relevant information about recipients to make messages, content, offers, or timing more useful to them. It can include a simple greeting by name, but effective personalization goes further: it sends the right information to the right audience while using only data that serves a clear purpose.
What personalized email marketing means
Salesforce defines email personalization as delivering individualized content using customer data. In practice, that data might include declared preferences, purchase history, browsing activity, engagement, or a customer’s lifecycle stage. A message can be tailored through its subject line, recommendations, offer, send timing, or sections of content. Salesforce’s overview of email personalization describes these approaches.
Personalization and segmentation are related, but not identical. Segmentation groups recipients who share a useful characteristic, such as an interest or purchase history. Individualized content adapts a message for a particular recipient using relevant information. Dynamic content can change one section of an email for different recipients while leaving the rest of the message the same. Salesforce also outlines segmentation approaches in its email segmentation guide.

Why use personalization—and what can go wrong?
Useful personalization can help a business send a welcome message to a new subscriber, explain how to use a recent purchase, or share updates that match a recipient’s stated interests. It gives the recipient a reason to care about the message rather than merely adding a personal detail for its own sake.
It also brings practical constraints. In its guidance, Salesforce identifies data quality, scaling personalization, complex segmentation, and privacy compliance as challenges. If a preference is outdated, a purchase record is wrong, or a message uses missing data without a fallback, personalization can make an email less relevant or inaccurate. How to build a practical personalization workflow

Choose a useful outcome
Start with a specific recipient need or business task: welcoming new subscribers, helping customers use something they bought, or sending updates that reflect expressed interests. Decide what a more relevant email should help the recipient do. Avoid gathering information without a clear purpose.

Explain data use and establish the right permission
Tell people clearly what information you use and how it will affect their messages. Establish an appropriate legal basis and obtain any marketing consent required for your organization and recipients. Provide preference controls and a way to opt out as applicable. The UK Information Commissioner’s Office (ICO) advises organizations to plan for data protection, collect information fairly, explain its use, and respect objections and opt-outs in its electronic mail marketing guidance.

Create a small number of useful segments
Possible criteria include location, stated interests, previous purchases, site activity, email engagement, or lifecycle stage. Keep a segment only when it changes the content, timing, or next step in a meaningful way. Salesforce describes common segmentation approaches in its segmentation guide.

Tailor the message and plan for missing data
Use relevant content blocks, recommendations, or behavior-triggered messages. Set sensible fallback content for cases where a preference or activity record is missing or stale. For example, an email should still read naturally if the system has no reliable product-interest data for a recipient.

Test the message and review its outcomes
Compare versions and monitor measures tied to the original goal, such as clicks, conversions, complaints, and unsubscribes. Interpret open rates cautiously: they do not by themselves establish that personalization caused a lift in results. No current authoritative benchmark or clean causal estimate of personalization’s effect is established here.

Maintain data quality and privacy practices
Set retention and access practices that fit your organization and the laws that apply. Correct or remove data that leads to inaccurate messages, and review whether each data point is still needed for its stated purpose. Salesforce identifies data quality and privacy compliance as ongoing challenges in its personalization guidance.
What to look for in email marketing software
Choose capabilities that fit the workflow you intend to maintain, rather than selecting a tool simply because it offers many personalization features. Salesforce’s vendor guidance discusses CRM-based software, templates with dynamic content, segmentation, and analytics; it is not an independent comparison of platforms. Personalization guidance and its segmentation guide provide examples of relevant capabilities.
- Segmentation: Can you create and maintain the audience groups your campaigns actually need?
- Dynamic content and triggers: Can content blocks vary by recipient, and can messages respond to relevant actions or lifecycle events?
- Customer-record integrations: Does the tool work with the records that hold the preferences and activity you rely on?
- Data maintenance: Can your team identify outdated or missing information and avoid sending content based on unreliable data?
- Reporting: Can you measure the clicks, conversions, complaints, or unsubscribes relevant to your goals?
- Privacy-supporting controls: Does the workflow support preference management, opt-outs, and the access or retention practices your organization requires?
- Team fit: Can your team operate and review the automations and segments without creating more complexity than it can manage?
Privacy and marketing rules depend on where you operate
Personalization does not grant permission to use every available personal detail or send any marketing email. Requirements differ by jurisdiction, recipient type, and campaign. The following official guidance covers particular regions; it is not a complete international compliance survey or legal advice.
United Kingdom
The ICO’s electronic mail marketing guidance, updated 28 April 2026, covers the Privacy and Electronic Communications Regulations (PECR), consent, soft opt-ins for products and services and for charitable purposes, bought-in lists, publicly available contact details, withdrawal, and tracking pixels. Its discussion of a charitable-purpose soft opt-in reflects a provision introduced under the Data (Use and Access) Act 2025. Check the ICO’s current guidance to determine which rules and conditions apply to your situation.
The ICO says organizations normally need consent before sending unsolicited electronic mail marketing to individual subscribers unless a valid soft opt-in applies. It explains that consent must be freely given, specific, informed, and unambiguous, and that it requires positive action: “Additionally, people must take a positive action to consent, so you must not use pre-ticked opt-in boxes, silence or inactivity as evidence of consent.” See the ICO’s electronic mail marketing guidance.

European Union
The European Commission summarizes valid GDPR consent as freely given, specific, informed, and unambiguous. People should be told the intended data use, who processes the data, and how consent can be withdrawn. This is a summary of GDPR consent principles, not a complete account of national electronic-marketing rules. Consult the Commission’s consent guidance and check applicable national requirements.
Canada
The Office of the Privacy Commissioner of Canada says a business remains responsible for ensuring appropriate consent when a supplier conducts e-marketing on its behalf, including when the business did not collect the address list itself. Review the regulator’s guidance on consent and third-party e-marketing.
These examples do not establish the rules for every country, state or province, subscriber category, or campaign type. Check the official requirements for the people you contact and the organization sending the message.
How to evaluate results without overclaiming
Measure whether each campaign meets its stated objective. If the purpose is to help customers use a recent purchase, for example, decide in advance what meaningful engagement or action would indicate progress. Keep complaint and unsubscribe signals in view alongside positive actions. Comparing versions can help you learn which message performs better for your audience, but a change in results alone does not prove personalization caused the difference.
Do not treat a general industry percentage as a guaranteed result for your audience. Figures repeated on Salesforce’s personalization page are attributed to other organizations; their original studies, dates, methodology, and current applicability are not established here. Salesforce’s page is vendor guidance, not a substitute for checking the original studies behind any statistic.
