For most routine Mac PDF work, start with Preview. It can open and search PDFs, highlight and annotate, fill in forms, sign documents, rearrange pages, combine files, export, reduce file size, and add password protection. Choose PDF Expert when you regularly need to change the existing wording or images inside a PDF, run OCR on scans, or convert PDFs to Word, Excel, or PowerPoint. Those are fundamentally different workflows from adding markup.
PDF Expert is a paid app, while Preview is included with macOS. Readdle lists PDF Expert at $79.99 billed annually for iPhone, iPad, and Mac, or $139.99 for a one-time Mac-only lifetime license on its pricing page checked October 13, 2026. The right choice depends on the files you handle, not on a blanket “best” rating.
What is the real difference between Preview and PDF Expert?
The dividing line is whether you need to alter the PDF’s underlying content or simply work around it with annotations and page tools.
- Preview is Apple’s built-in viewer and markup utility. It handles reading, searching, highlighting, notes, signatures, form filling, page organization, exports, compression, and password controls.
- PDF Expert is a paid editor that Readdle advertises for direct text, image, and link edits, alongside annotations, page management, forms, signatures, redaction, OCR, and document conversion.
Apple states in its Preview annotation guide: “Although you can’t edit the text of a PDF in Preview, you can use the markup tools to provide feedback or write down something you want to remember.” In practical terms, a text box placed over a page is markup; it does not rewrite the original text object. PDF Expert’s advertised direct-editing tools target that latter job.

Readdle’s descriptions are vendor feature claims rather than independent speed, accuracy, or outcome benchmarks. No independent comparative statistic establishes that one app is faster, more accurate, or more secure for every document type.
What Preview can do on a Mac
Preview is already installed with macOS, so there is no separate license or subscription to start with. Apple’s Preview User Guide documents the following capabilities.
Read, search, and review
Open a PDF in Finder or from Preview’s File menu, then use the search field to find text. You can highlight passages, strike out text, add notes, draw, add shapes, and place text boxes through the Markup toolbar. These changes are review annotations: useful for comments and approvals, but distinct from changing the document’s original paragraph or image.

For a fillable PDF, click a field and type. Apple’s form-filling and signing instructions also cover adding a signature with the trackpad, camera, or an existing signature. Preview can place the signature as markup on the page. Apple notes that enhanced AutoFill behavior has conditions, so a form that does not expose standard fields may require manual text boxes or other markup.
Combine files and manage pages
Preview can insert pages from another PDF, delete pages, move them, rotate or crop them, and combine documents. A typical workflow is to open the PDFs, show thumbnails with View > Thumbnails, then drag pages into the desired position. Apple warns that Preview saves changes automatically; duplicate the source PDF first when the original must remain untouched.
Export, reduce size, and protect a PDF
Use File > Export to choose a format or apply a Quartz Filter such as reducing file size. Compression can lower image quality, so keep an uncompressed copy when the PDF will be printed or archived.

Preview also supports password protection. Apple’s password-protection guide describes setting a password required to open a PDF and controlling permissions such as printing, copying text, and adding annotations. These controls are useful for ordinary document sharing, but they are not a substitute for an organization’s full information-security policy.

Readdle’s PDF Expert features page advertises a broader editing workflow than Preview. Its pricing page lists the following premium capabilities. Treat these as the developer’s stated feature set and verify behavior with your own documents before committing to a workflow.
Direct edits to existing text, images, and links
PDF Expert is designed to select text or an image already in a PDF and change it, rather than covering the old content with a comment. This is the clearest reason to consider it: correcting a date, replacing a logo, fixing a typo, or updating a link without returning to the source document.
Direct editing can still have document-specific limits. PDFs may contain unusual fonts, scanned pages, embedded forms, or complex layouts. Check a representative file and confirm that the edited result prints, searches, and opens correctly in the software used by recipients.
OCR for scanned documents
Readdle lists optical character recognition (OCR), which can turn text in a scanned page into searchable or editable content. OCR quality depends on scan resolution, language, typeface, skew, handwriting, and table layout. Before relying on a converted document, search for likely errors and compare key figures with the scan.
Conversion to office formats
The pricing page lists conversion to Word, Excel, and PowerPoint. This is useful when a PDF is an endpoint format but the recipient needs an editable office file. Conversion is not guaranteed to preserve every column, font, chart, footnote, or form element. Test the exact document class you use—such as invoices, contracts, slide decks, or spreadsheets—before making it part of a production process.

Redaction, forms, signatures, and page organization
Readdle also advertises redaction, annotations, form filling, signing, merging, splitting, and page organization. Redaction deserves special care: removing visible text or drawing a black rectangle over it is not automatically the same as securely removing the underlying data. Use the app’s dedicated redaction workflow where available, then inspect the saved file by searching, copying, and checking metadata before distribution.
Additional premium features
Readdle’s current pricing page lists PDF Copilot and PDF translation among premium capabilities, in addition to OCR, conversion, signing, annotation, and direct text, image, and link editing. Feature availability can change with plan and app updates.

How to complete common jobs in Preview
Sign a PDF
- Open the document in Preview.
- Choose Tools > Annotate > Signature, or open the Markup toolbar and select the signature control.
- Create or choose a signature using the trackpad, Mac camera, or an existing saved signature.
- Click the signature, drag it into position, and resize it if needed.
- Save a copy if you need to preserve the unsigned original.
The signature is placed as a PDF annotation. For regulated or workflow-managed signing, confirm that the recipient accepts this type of signature.
Combine PDFs without losing the originals
- In Finder, duplicate each source PDF or save copies in a working folder.
- Open one copy in Preview and choose View > Thumbnails.
- Drag pages from another PDF into the thumbnail sidebar at the desired location.
- Drag thumbnails to reorder pages; select unwanted pages and press Delete.
- Save the combined file under a new name.
Preview’s automatic saving is why the duplicate-first step matters when the source files are archival originals.
Protect a PDF with a password
- Open the PDF in Preview.
- Choose File > Export.
- Enable the password option and enter the password when prompted.
- Set any available permissions for printing, copying, or adding annotations.
- Save the protected copy and test it by closing and reopening the file.
Send the password through a separate channel from the PDF, and retain an unprotected original only where your policy permits it.
Reduce a PDF’s file size
- Open the PDF and choose File > Export.
- Choose PDF as the format.
- Select the file-size reduction Quartz Filter.
- Save to a new filename.
- Inspect text, images, links, and print quality before sending the reduced version.

Readdle states that PDF Expert requires macOS Monterey or later. Prices, included features, operating-system support, and the treatment of future features can change, so confirm the live pricing page immediately before purchase. The annual and lifetime options are not equivalent: one covers three Apple device categories, while the other is Mac-only and may not include every future capability without an additional charge.

1. Identify the operation, not the file extension
“I work with PDFs” can mean reading, annotating, assembling, editing, OCR, conversion, or redaction. List the operations you perform in a normal month. If none requires changing existing text or images, Preview may cover the job.
2. Separate markup from content editing
Open a copy of a typical PDF in Preview and try the exact change. If a text box, highlight, or note is acceptable, no paid editor is needed for that task. If the requirement is to replace the original words so they reflow and remain part of the document’s content, Preview is not the right tool.
3. Test difficult files
For PDF Expert, use representative scans, multi-column reports, tables, forms, unusual fonts, and image-heavy files. Check OCR spelling, converted layouts, hyperlinks, page numbering, selectable text, and printing. A feature listed by the vendor does not establish identical results across every PDF.
4. Match the license to your devices
If you need iPhone, iPad, and Mac access, evaluate the annual plan’s stated scope. If the work is confined to one Mac and you prefer a one-time purchase, compare the lifetime price and its stated future-feature caveat with your expected replacement cycle.

5. Protect originals and verify output
Keep source PDFs before combining or editing. After any major change, reopen the saved file, search for text, inspect links and pages, and verify that the recipient’s software displays it correctly.

Common pitfalls and fixes
Expecting Preview’s text box to rewrite a paragraph
Symptom: The old text remains selectable underneath the new box, or the replacement does not reflow. Fix: Treat Preview’s box as markup; return to the source document or use a direct PDF editor for a true content change.
Overwriting an original while combining pages
Symptom: The source PDF now contains the inserted or deleted pages. Fix: Duplicate first because Preview saves changes automatically.
Assuming OCR is error-free
Symptom: A converted contract, invoice, or table contains incorrect characters or numbers. Fix: Compare critical passages with the scan and proofread the complete output before sharing.
Confusing visual covering with redaction
Symptom: Hidden text can still be selected, copied, searched, or extracted. Fix: Use a dedicated redaction feature, save a separate copy, and test the result by searching and copying from the covered area.
Compressing a file without checking quality
Symptom: Images become blurry or small text is difficult to read. Fix: Keep the original, compare the reduced PDF at its intended viewing or print size, and use the uncompressed version when quality matters.
Verdict: which PDF app do you need?
Choose Preview if your Mac PDF work is reading, searching, reviewing, signing, filling standard forms, combining pages, exporting, reducing size, or applying basic password controls. It is capable enough for those jobs and costs nothing beyond macOS.
Choose PDF Expert when direct edits to existing PDF text, images, or links are a recurring requirement, or when OCR, redaction, or office-format conversion would remove a real bottleneck. Its $79.99 annual plan and $139.99 Mac-only lifetime option, listed October 13, 2026, should be weighed against how often those specialist tasks occur and which devices you need.
