A password-reset email template is only one part of a secure reset flow. Protect the account through the request endpoint, reset token, destination page, completion notification, locale and address handling, and sender authentication. HTML affects how the message is presented; it does not make the reset process secure or guarantee consistent rendering across email clients.

1. Keep account existence private at the request step

When someone requests a reset, return the same message whether the submitted address belongs to an account or not. OWASP also recommends uniform response timing and abuse protections such as per-account rate limiting or CAPTCHA. These controls belong in the service handling the request, not just in the email wording.

A localized confirmation can say that instructions will be sent if the address is associated with an account. Use equivalent wording and behavior for both cases; otherwise, the response may reveal which addresses are registered. OWASP’s Forgot Password Cheat Sheet recommends a consistent message for existing and nonexistent accounts.

2. Treat the reset token as a temporary credential

The email’s link carries a credential: whoever can use a valid token may be able to change the account password. Generate a cryptographically secure, sufficiently long token; store it securely; bind it to the intended user; and make it single-use and time-limited. Do not change the account until the service validates the token.

Apply limits to token attempts as well as reset requests. After a token succeeds, invalidate it so it cannot be reused. OWASP describes these token protections in its Forgot Password Cheat Sheet and reset-functionality testing guidance.

3. Build links from a trusted HTTPS destination

Construct reset links using a hard-coded or allowlisted domain, not a domain taken from the incoming request’s Host header. Use HTTPS for the reset destination. That prevents an untrusted request header from influencing where a credential-bearing link sends the recipient.

Keep the token away from third-party domains and resources that could receive it. OWASP warns that exposure to a third party can put the token at risk. On the reset page, set Referrer-Policy: no-referrer to reduce the chance that the token-bearing page URL is disclosed through a referrer. OWASP also recommends this policy in its forgot-password guidance; its testing guidance covers risks around reset functionality.

4. Give the email a narrow job

The message should help the intended recipient reach the reset flow; it should not include or ask them to email a password. Never send a password in email. Once a password change is completed, send a notification so the user can recognize a change they did not make. OWASP covers these practices in its Forgot Password Cheat Sheet.

A template can make the action and its destination clear without becoming the security boundary. For example, a server-rendered message might contain:

<p>{{localized_reset_intro}}</p>
<p><a href="{{trusted_https_reset_url}}">{{localized_reset_action}}</a></p>
<p>{{localized_expiry_or_help_text}}</p>

Replace each variable with approved text or a link generated by the reset service. The URL must use the trusted HTTPS destination and token lifecycle described above; do not let a template editor or incoming request supply an arbitrary destination. The example illustrates message structure, not a guarantee that every client will render the same HTML.

5. Define address and locale behavior deliberately

Email addresses can include internationalized domains, and internationalized mail standards also address local-parts. Preserve the address the person entered for display, while defining a consistent comparison policy for account lookup. Normalize the domain according to that policy, and handle internationalized domains and local-parts deliberately rather than assuming every address can be transformed the same way.

OWASP’s Email Validation and Verification Cheat Sheet discusses address handling. The IETF’s RFC 6530 provides an overview and framework for internationalized email. These sources do not prescribe how a product should select a message language or choose a fallback locale. Set that policy from product requirements, then test the actual localized message and reset flow.

6. Authenticate the sending domain and test the message format

Configure SPF, DKIM, and DMARC for the sending domain to help prevent spoofing. These mechanisms are domain-authentication controls; they do not guarantee inbox placement. OWASP’s reset-functionality testing guidance recommends checking sender-domain authentication. For internationalized mail contexts, see the IETF’s RFC 8616 and RFC 6530.

RFC 5322 specifies Internet message syntax, not email-reader interface features or a universal HTML/CSS rendering standard. It recommends message lines no longer than 78 characters and sets a maximum of 998 characters excluding CRLF; these are message-format limits, not an HTML design recipe. See the IETF’s RFC 5322. Test the message in the clients and locales your product supports, and provide a plain-text alternative if that is part of your email implementation. Do not infer portability or accessibility from valid HTML alone.

Implementation checklist

  • Return equivalent reset-request messages and timing for account and non-account addresses; limit request abuse.
  • Generate secure, user-bound, single-use, time-limited tokens; limit attempts and invalidate a token after use.
  • Use a trusted HTTPS reset domain, keep tokens away from third-party resources, and set Referrer-Policy: no-referrer on the reset page.
  • Use the email to direct the recipient to the reset flow; notify them after a completed password change, and never email a password.
  • Document address comparison, domain normalization, internationalized-address handling, locale selection, and fallback behavior.
  • Authenticate the sending domain and test message behavior in the email clients and languages the product supports.
