Choose Paperless-ngx when your priority is a searchable personal or small-team archive: scan documents, apply correspondents and document types, add tags, and find everything with full-text search. Choose Mayan EDMS when documents must move through controlled review or approval states, generate an event history, or follow retention and escalation rules.
Both platforms provide OCR and searchable content, but they are organized around different decisions. The comparison below reflects documented capabilities, not a performance benchmark; installation effort, scalability, administration time, and total cost should be validated in a pilot using your own files and users.
Paperless-ngx and Mayan EDMS at a glance
| Decision area | Paperless-ngx | Mayan EDMS |
|---|---|---|
| Primary orientation | Personal or small-team archive for scanning, organizing, and retrieving records | Document management with modeled processes, state changes, and event history |
| OCR and text | OCR for scans, full-text search, and Tesseract recognition across more than 100 languages according to the project documentation | Automatic OCR, language-aware processing, Tesseract by default, alternate OCR backends, and extraction of embedded text from PDFs and office documents |
| Ingestion behavior | Can OCR an item, create an archival PDF/A derivative, match metadata, and retain the original | Automatically processes documents by type and supports metadata extraction |
| Organization | Tags, correspondents, document types, custom fields, saved views, workflows, and permissions | Metadata plus document states, workflows, automatic actions, events, expiration, and escalation controls |
| Best fit | A steady stream of household, freelance, or small-office records that must be easy to find | Teams that need review, approval, auditability, or retention behavior built into the document process |
| Comparative speed, scale, administration effort, and cost | Not established by the documentation reviewed | Not established by the documentation reviewed |
The shortest decision rule is this: if the main action is “find this document later,” start with Paperless-ngx. If the main action is “move this document through a governed process and prove what happened,” start with Mayan EDMS.
What each platform is designed to do
Paperless-ngx: an archive built around intake and retrieval
Paperless-ngx describes itself as a community-supported, open-source document management system that turns physical documents into a searchable online archive. Its documented feature set centers on getting files into the system, recognizing their text, assigning useful metadata, and retrieving them later. Correspondents identify the sender or organization, document types classify records, tags add flexible labels, and custom fields capture information that does not fit those categories. Saved views can turn recurring searches into a reusable working list.
#1 Best Overall
- FAST DOCUMENT SCANNING — Document scanner with feeder allows you to speed through stacks with a 50-sheet Auto Document Feeder (ADF); Efficient office scanner to help you scan more productively
- INTUITIVE, HIGH-SPEED SOFTWARE — Quickly scan with this desktop document scanner; Epson ScanSmart Software lets you easily preview scans, email files, upload to the cloud, and more; Plus, automatic file naming saves even more time
- SEAMLESS INTEGRATION — Easily incorporate your data into most document management software with the included TWAIN driver; Office document scanner integrates seamlessly with business workflows
- EASY SHARING — Duplex scanner allows you to scan straight to email or popular cloud storage2 services like Dropbox, Evernote, Google Drive, and OneDrive for simple storage and sharing
- SIMPLE FILE MANAGEMENT — Scanner allows the creation of searchable PDFs with Optical Character Recognition (OCR) and convert scans to editable Word or Excel files effortlessly; Designed for home and office document scanning
That model suits records such as invoices, tax notices, warranties, medical paperwork, receipts, and household correspondence. It also works for a small office where a few people share an archive but do not need every document to pass through a formal approval chain. Paperless-ngx does include workflows and multi-user permissions, so it is not limited to a single-user installation; its documented emphasis is still archive convenience rather than a formal case-management process.
Mayan EDMS: documents as controlled processes
Mayan EDMS documents document processing and metadata alongside workflows represented as states. A document can enter a review or approval state, trigger automatic actions, expire, escalate, and generate events that show what occurred. This makes it a more natural candidate when the document itself is part of an operating procedure: a contract awaiting legal review, a policy requiring approval, or a record that must be retained and then acted on when a period ends.

Ingestion and OCR: where the day-to-day experience diverges
Paperless-ngx intake
Paperless-ngx can process an incoming file, run OCR when appropriate, create an archival PDF/A version, match metadata, and keep the original. Keeping the original matters when you need to preserve the source scan or prove that the archival derivative came from a particular file. The intake pipeline is therefore both a capture step and a normalization step: the system can make a consistent, searchable copy while retaining the source.
The OCR configuration has meaningful choices:
- Automatic behavior: a document with sufficient embedded text can bypass OCR, avoiding unnecessary processing.
- Redo behavior: OCR can be rerun when existing text is inadequate, but the result depends on the document and language configuration.
- Force behavior: OCR can be imposed even when text is already present; use this deliberately because replacing or combining text layers can have document-specific effects.
- Language selection: installed languages can be combined for mixed archives. More languages can mean more processing time.
The project documentation says Tesseract can recognize more than 100 languages. That is a capability figure, not a promise of equal accuracy in every script, scan quality, font, or language combination. Test representative pages from your archive, especially faint receipts, skewed forms, handwriting, and documents containing more than one language.
Mayan EDMS intake
Mayan EDMS describes automatic document processing by document type. Its OCR layer is language-aware, uses Tesseract by default, and can use alternate OCR backends. It can also extract text already embedded in PDFs and office documents, rather than treating every file as an image-only scan. Metadata extraction is part of the documented processing model, allowing intake rules to feed the later workflow.
This approach is useful when the first question is not merely “can I search this?” but “what type of document is this, what metadata does it carry, and which state should it enter?” You will still need to define and test document types, metadata fields, and transitions for your process; the documentation does not provide a universal configuration that fits every organization.
What to test with your own files
Do not select a platform from the OCR language count alone. Build a small corpus containing clean digital PDFs, low-resolution scans, multi-page forms, office documents, and mixed-language samples. Compare whether the extracted text is searchable, whether page order and attachments remain intact, and whether the resulting metadata is useful enough to drive your next action. Measure processing time on your own hardware rather than treating either project’s feature description as a speed claim.

Search, metadata, and archive organization
When retrieval is the main workflow
Paperless-ngx gives an archive several independent ways to narrow a collection: full-text search, tags, correspondents, document types, custom fields, and saved views. That combination lets you model both stable facts (such as “utility provider” or “insurance”) and temporary work queues (such as “documents to review this month”). A saved view can preserve a complex filter so you do not have to reconstruct it each time.
Its archival-PDF/A intake also helps separate preservation from convenience. You can retain the original while using the normalized, OCR-enabled derivative for everyday search. Decide in advance which file is authoritative for export, legal retention, or future migration, and document that decision for anyone else who administers the archive.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsWhen metadata must feed a process
Mayan EDMS also uses metadata, but its distinctive value is what happens after classification. A document type and its fields can be part of the conditions for a workflow state, an automatic action, an expiration rule, or an escalation. This is a better conceptual fit for records that have an owner, a required decision, and a defined next state.
Neither product’s documentation establishes a universal metadata taxonomy. Before migration, list the fields you actually use, identify which are mandatory, and decide whether each field is descriptive, searchable, or process-triggering. Over-modeling creates entry work; under-modeling makes later filtering and automation unreliable.
Workflow, approvals, audit history, and retention
Paperless-ngx capabilities
Paperless-ngx documents a workflow system and multi-user permissions. Those features can support routing and access boundaries in a small team, but the available documentation does not establish the same state-oriented approval, expiration, escalation, and event model described for Mayan EDMS. If your process requires a defensible sequence of decisions, test the exact workflow and permission behavior you need rather than inferring it from the presence of a feature named “workflows.”
Mayan EDMS process controls
Mayan EDMS explicitly describes approval and review as workflows made of document states. States can have automatic actions, expiration, and escalation options, and the system records events. Together, those controls address questions such as:
- Who currently owns the document?
- Which state is it in: draft, review, approved, rejected, or another state you define?
- What automatic action occurs when a state expires?
- Did an escalation or transition happen, and when?
That does not automatically make a deployment compliant with a particular regulation. Retention configuration, access design, backups, administrator privileges, and operating procedures still determine how defensible your records process is. Treat the documented controls as building blocks and validate them against your organization’s policy.
Privacy and optional language-model features
Paperless-ngx states that documents are stored locally and are not transmitted unless you choose to transmit them. That describes the normal self-hosted arrangement, not every optional integration. Its optional large-language-model features are disabled by default. When an administrator enables them, the documentation says document content and metadata are sent to the configured backend.

- FAST AND EFFICIENT – No technical hurdles or complicated setups here; easily scan both sides of a document at the same time, in color or black-and-white, at up to 12 pages-per-minute, and with a 20 sheet automatic feeder
- BROAD COMPATIBILITY – Works with both Windows and Mac devices, be it laptop or computer
Make that distinction part of your deployment checklist:
- Leave the optional language-model features disabled unless there is a defined use case.
- If you enable them, identify the backend, review its data-handling terms, and decide which document classes may be processed.
- Keep sensitive records out of that path unless your privacy and contractual requirements permit the transfer.
- Record the setting and reassess it after upgrades or configuration changes.
Mayan EDMS’s OCR and processing choices should receive the same practical review. Map where files, extracted text, and metadata reside, who can access them, and which services are involved before importing confidential records. Self-hosting changes the trust boundary; it does not remove the need for one.
Scanner and digitization setup
If your archive begins on paper, a duplex document scanner is a sensible category to consider because it can capture both sides of a sheet in one pass. The available documentation does not identify or test a particular model, price, feed rate, or compatibility claim, so choose hardware only after checking your operating system, connection method, page sizes, and expected volume.
Keep a repeatable scan profile: resolution, color mode, page size, and file format. Use a few representative batches to check skew, blank-page handling, folded receipts, and multi-page grouping. The document manager can improve searchability, but it cannot recover text that was never captured clearly.
Choose Paperless-ngx if these statements are true
- Your dominant task is scanning or importing documents and finding them later.
- Tags, correspondents, document types, custom fields, and saved views describe your filing habits well.
- You want an archival PDF/A derivative while retaining the original source.
- Your household or small team needs shared access, but not a formal approval chain for every record.
- You are comfortable validating OCR language settings and optional integrations yourself.
Choose Mayan EDMS if these statements are true
- A document must pass through explicit review, approval, rejection, or other states.
- You need event history to show transitions and actions.
- Expiration, escalation, or automatic actions are part of the procedure.
- Document types and metadata should determine what happens next, not only how an item is found.
- You are prepared to design roles, states, transitions, and retention behavior before importing production records.
A practical pilot before migration
A pilot is the safest way to resolve the questions that feature pages cannot answer, including administration effort, processing time, permission behavior, and performance on your hardware.
- Inventory the archive. Group files by source, format, language, page count, sensitivity, and whether they already contain a text layer.
- Define success criteria. Write down the searches users must perform, the metadata they must enter, the approval or retention events that must be recorded, and the export or backup result you require.
- Create representative samples. Include clean PDFs, poor scans, office files, mixed-language documents, attachments, and records with duplicate names.
- Model the structure. In Paperless-ngx, test tags, correspondents, document types, custom fields, saved views, workflows, and permissions. In Mayan EDMS, test document types, metadata, states, automatic actions, expiration, escalation, and event records.
- Test OCR deliberately. Compare automatic, redo, and force behavior where applicable; try the language combinations your archive needs; inspect the text on every sample class.
- Test access and privacy. Create the roles you expect to use, attempt permitted and forbidden actions, and verify that optional language-model features remain disabled or are restricted as intended.
- Exercise recovery. Document how you back up originals, derivatives, metadata, and configuration, then perform a restore into a clean test instance before deleting or reorganizing the source archive.
- Record operational results. Note processing times, failed files, manual corrections, upgrade steps, and the skills required to administer the installation. These are local measurements, not values supplied by either project.
Common pitfalls and how to avoid them
Assuming OCR makes every scan searchable
OCR quality depends on image clarity, layout, language, and the recognition engine. A successful import does not prove that names, amounts, or dates were recognized correctly. Spot-check search terms from each document class and retain originals so you can revisit a questionable extraction.
Using too many OCR languages by default
Paperless-ngx allows combined installed languages, but its documentation warns that processing more languages can take more time. Configure the smallest language set that covers a collection, and create separate profiles or intake rules when archives have clearly different language needs.
Forcing OCR without understanding text layers
Redo and force modes are not interchangeable. Reprocessing a PDF that already has text can produce document-specific complications. Test those modes on copies and inspect both search results and visual page output before applying them broadly.

The available feature documentation does not establish comparative throughput, scalability under shared workloads, ease of administration, minimum hardware, or total cost. Treat each as a pilot question. Test your largest realistic batch, concurrent users, backup window, and upgrade procedure before migration.
Decision examples
| Situation | More natural starting point | Reason to validate in a pilot |
|---|---|---|
| Household scans of bills, receipts, warranties, and tax records | Paperless-ngx | Confirm OCR quality for your languages and decide how originals and PDF/A derivatives will be backed up |

| Policies with scheduled review or retention actions | Mayan EDMS | Verify automatic actions and escalation behavior against your policy calendar |
| Mixed-language archive with sensitive content | Either, depending on process needs | Test language packs, OCR accuracy, processing time, access controls, and whether any optional integration transmits data |
What the available documentation does not answer
There is no reliable basis here for declaring one system faster, easier to administer, more scalable, cheaper to run, or safer under a particular workload. No comparative benchmark, direct deployment matrix, supported minimum hardware profile, installation cost, or current Paperless-ngx release number was established. Those omissions are not reasons to reject either platform; they are signals to measure the factors that matter in your environment.
Check the current official installation and operations guides for version-specific requirements. Pay particular attention to storage growth, OCR dependencies and language packages, update procedures, backup and restore, permission design, and how your chosen scanner or ingestion method feeds files into the service.
Final decision
Paperless-ngx is the better default for a personal or small-team archive whose success is measured by reliable intake and fast retrieval. Its OCR, archival-PDF/A handling, metadata model, saved views, and local-first behavior align with that job.
