The difference is scope: a theme can change an app’s interface, the way Outlook displays a message, or the formatting of an email you compose. In classic Outlook for Windows, the Office theme applies across Microsoft 365 desktop apps. New Outlook and Outlook on the web have separate appearance controls, while message-reading and email-formatting options are separate again.
What “theme” means in Outlook and Microsoft 365
These settings control different surfaces, so changing one does not necessarily change the others:
- Office or app theme: Changes the interface around the app, such as its background and menus.
- Outlook dark mode and reading controls: Change how the mailbox or message-reading area appears.
- Outlook stationery or message theme: Styles the content of an HTML email, potentially including its background, fonts, bullets, colors, and effects.
Microsoft distinguishes the program’s color scheme from themes used in individual Outlook or Access files. Its guidance on stationery concerns HTML-formatted messages, not the Microsoft 365 app interface: Microsoft’s Outlook and Access theme guidance.

Classic Outlook for Windows
In classic Outlook, choose an Office theme at File > Office Account. Microsoft states: “The theme you choose will be applied to all Microsoft 365 desktop applications.” This is the documented cross-app behavior for classic Outlook’s Office theme; it should not be treated as a guarantee that every Outlook client or device shares the same setting. The Microsoft dark mode instructions for Outlook also explain that selecting the Black theme enables dark mode by default.

Other Microsoft 365 apps on Windows
Microsoft documents the Office Theme setting at File > Options > General. Choices include White, Dark Gray, Black, Colorful, and Use system setting. The system option matches the Windows appearance. On newer Windows versions, a Mica background effect may also appear; it lets the desktop background show through the app. See Microsoft’s Microsoft 365 appearance guidance.
Microsoft 365 apps on Mac
Microsoft 365 apps can match macOS Light or Dark appearance when system matching is used. Microsoft also documents a per-app Turn off Dark Mode preference. That override applies only to the current app, so repeat it in other apps if you want the same override there.

How Outlook appearance works in new Outlook and on the web
New Outlook
In new Outlook, open Settings > General > Appearance, select Dark mode, and save. This is an Outlook-specific appearance setting; Microsoft’s instructions do not say that it changes Word, Excel, or other Microsoft 365 apps. The reading pane can be brightened with Turn on the lights. Microsoft also documents a Light Reading Pane option and a separate compose-window background toggle. Check the Outlook dark mode instructions for the controls relevant to your Outlook version.

For a web mailbox, Microsoft documents the path Settings > General > Appearance to turn on Dark mode. Turn on the lights can make the reading pane brighter and restore the message’s original formatting for viewing. These controls concern the web mailbox and reading experience, not a shared Microsoft 365 desktop-app theme. See Microsoft’s web and Outlook.com dark mode instructions.

Why a message can look different from Outlook’s interface
Dark mode does not mean every message surface must remain dark. Outlook has distinct controls for the reading pane and message background, and a message’s own formatting can affect how it looks. In classic Outlook, Microsoft documents an option named Never change the message background color. In new Outlook and Outlook on the web, the reading-pane lighting controls adjust the viewing surface. These options address message viewing or composition, rather than changing the Office theme across desktop apps.
Email stationery is another separate choice: it can add backgrounds, patterns, fonts, bullets, colors, and effects to HTML messages. It changes the email content, not Outlook’s menus or the rest of Microsoft 365. Microsoft’s instructions for these features apply to specified Outlook and Access versions, so available controls may depend on the client.

Choose the setting that matches what you want to change

Microsoft documents different controls for classic Outlook, new Outlook, web Outlook, and Mac. Its cited instructions do not establish identical options or synchronized theme state across every version, account, and device. Select the instructions for the client you are actually using rather than assuming one change will carry everywhere.
