Short answer: New Outlook for Windows supports most everyday accounts—including Microsoft 365 and Entra work or school accounts, Outlook.com and Hotmail, Gmail, Yahoo, iCloud, IMAP and POP—and adds a modern interface with newer mail and Teams features. Classic Outlook remains the safer choice for on-premises Exchange, VBA macros, COM add-ins, MAPI, custom forms, network-share files and other legacy desktop workflows. Microsoft’s feature matrix, last updated September 23, 2026, marks several classic capabilities as unavailable or only partially available in new Outlook.

What the two Outlook clients are

“Classic Outlook” is the long-established Windows desktop application included with Microsoft 365 and earlier Office releases. “New Outlook for Windows” is Microsoft’s newer client, built around the service-oriented architecture used by Outlook on the web. They can use many of the same accounts, but they do not expose the same desktop APIs, file types or administrative features.

The practical difference is not basic email. Both clients handle ordinary messages, calendars, categories, signatures, focused inbox, message recall, read receipts, calendar views and attendee scheduling. The dividing line is compatibility: classic Outlook still contains the broadest set of local, programmable and on-premises features, while new Outlook concentrates on cloud accounts, web add-ins and newer collaboration functions.

Microsoft says, “Most accounts are supported in new Outlook. This includes Microsoft accounts such as an Outlook.com or Hotmail.com account, work or school accounts assigned to you by your organization’s admin, third-party accounts such as Gmail, Yahoo!, iCloud, and other third-party accounts connecting through IMAP.” That statement describes account sign-in, not complete parity for every Outlook feature.

Account and protocol support

The account type determines whether you can sign in directly, must use a protocol such as IMAP, or should stay with classic Outlook. The statuses below follow Microsoft’s feature matrix as last updated September 23, 2026.

Account or connection Classic Outlook New Outlook What it means
Microsoft 365 or Entra ID work or school account Available Available Organization-managed Microsoft accounts work in both clients, subject to administrator policy.
Microsoft account, including Outlook.com and Hotmail Available Available Personal Microsoft mailboxes are supported in both.
Gmail Available Available New Outlook can add Gmail directly.
Yahoo Available Available Supported in both clients.
iCloud Partially available Available Classic Outlook has a narrower iCloud experience; new Outlook lists iCloud as available.
IMAP Available Available Useful for providers that expose standard IMAP mail service.
POP Available Available Both clients can connect to POP accounts.
On-premises Exchange Available Partially available through IMAP New Outlook’s IMAP connection is limited to protocol capabilities and does not reproduce Exchange functionality.
On-premises Active Directory Federation Services (ADFS) Available Partially available through IMAP Authentication and Exchange-specific features are not equivalent in the IMAP arrangement.
Multiple mail profiles Available Upcoming Classic supports separate profiles now; new Outlook lists this capability as upcoming.
Shared mailboxes and shared folders as resources Available Available Both clients can work with shared resources.
Shared mailbox added as an account Available Available Both clients support this account arrangement.
Delegated shared-mailbox access Available Partially available Delegation scenarios may require classic Outlook.

Gmail, Yahoo, iCloud, IMAP and POP

For a personal mailbox hosted by Gmail, Yahoo or iCloud, new Outlook is a viable choice when your needs are ordinary mail and calendar use. IMAP and POP are also listed as available in both clients. Remember that a protocol connection carries only what that protocol exposes: IMAP primarily synchronizes mail folders, while POP is designed around downloading messages. Provider-specific calendars, contacts, server-side rules or security controls may not behave like a Microsoft 365 account.

On-premises Exchange and ADFS

Organizations running Exchange in their own datacenter should treat classic Outlook as the compatibility option. New Outlook’s listed path is a partial IMAP connection, so it cannot provide the full Exchange account model, Exchange-specific calendar behavior or the desktop integration administrators may rely on. If your sign-in depends on on-premises ADFS, the same limitation applies.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Profiles and shared mailboxes

Classic Outlook supports multiple mail profiles, which is useful when separate work and personal configurations must remain isolated. New Outlook lists multiple profiles as upcoming rather than currently available. Both clients can use shared mailboxes and shared folders, but new Outlook’s support for delegated shared-mailbox access is only partial; test the exact delegate and send-as workflow before switching a team.

Legacy desktop, data-file and extensibility support

Classic Outlook is the clear choice when Outlook is part of a desktop automation or document workflow. New Outlook does not expose the same Windows programming model.

Capability Classic Outlook New Outlook Operational consequence
VBA macros Available Not supported Macro-driven mail processing, forms or buttons must remain in classic.
COM add-ins Available Not supported Existing COM extensions cannot be carried over as-is.
Outlook Object Model Available Not supported Scripts that automate Outlook’s desktop object model need classic.
MAPI Available Not supported Applications depending on the Messaging API require classic Outlook.
Files on a network share Available Not supported Classic can open supported files from network locations; new Outlook cannot provide that workflow.
Custom forms Available Not supported Organizations using published Outlook forms should not assume parity.
PST files Available Partially available New Outlook can import mail, calendar events, contacts and tasks, but does not expose every classic PST capability.
Offline support Available Partially available Classic offers the more complete offline desktop experience.
Public folders Available Partially available Check the specific public-folder operations your organization uses.
Search folders Available Partially available Saved virtual-folder workflows may need classic Outlook.
Tasks Available Available through To Do integration New Outlook manages tasks through Microsoft To Do rather than the classic module.
Virtual desktop infrastructure (VDI) Available Available Both clients list VDI support; validate your organization’s image and policy configuration.
Web add-ins Available Available Web-based extensions are the supported cross-client model.

What PST support really means

New Outlook is not a drop-in replacement for opening and managing a PST as a classic data store. Microsoft lists import of mail, calendar events, contacts and tasks, while marking PST support only partial. If you depend on archive folders, extensive local search, custom forms or other PST-specific behavior, keep classic Outlook available and verify the workflow with a copy of the file before migrating.

Macros, add-ins and automation

VBA, COM add-ins, the Outlook Object Model and MAPI are all available in classic and not supported in new Outlook. A web add-in may provide an alternative when one exists, but it is not an automatic conversion of a desktop add-in. Inventory every extension, script and line-of-business integration before changing clients.

Mail and calendar feature differences

Core mail and calendar operations are present in both clients, but Microsoft’s matrix identifies important differences in productivity controls and collaboration.

Rules, Quick Steps and mail merge

Microsoft marks Quick Steps, rules, mail merge, conditional formatting and delay-send behavior as partial in new Outlook. “Partial” means the client may support some operations without matching classic Outlook’s complete editor, trigger set, storage model or import/export behavior. Test representative rules rather than assuming a rule that works in classic will execute identically.

Voting buttons and rule migration

Voting buttons and rules import/export are available in classic Outlook and not supported in new Outlook. If a department distributes rule files or uses voting buttons for approvals, that dependency alone is a reason to retain classic for those users.

Teams-connected meetings

New Outlook provides meeting chat, native Teams integration, meeting recap, follow meetings and in-person events. Microsoft marks those experiences unavailable in classic Outlook. Native Teams integration in new Outlook means a separate Teams add-in is not required there.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Recurring-event editing

New Outlook supports editing an event and all following events in a series. Classic Outlook marks that specific capability as not supported, so recurring-event organizers may find the newer client more capable for this operation.

Offline work, public folders and search

Classic Outlook has full support for offline use, public folders and search folders in Microsoft’s matrix. New Outlook marks each as partial. This matters for travelers, regulated teams, archive-heavy users and organizations that publish information through public folders.

  • Offline: Determine whether users need to read, compose, search and manage mail while disconnected. New Outlook’s partial status warrants a pilot under airplane-mode conditions before deployment.
  • Public folders: Test reading, posting, calendar access and permissions separately; “partial” does not guarantee every public-folder operation.
  • Search folders: Recreate the saved searches users depend on and verify their scope and refresh behavior.

How to test new Outlook without giving up classic

Microsoft documents a toggle that lets users try new Outlook, import accounts and settings, and switch back. Microsoft also says both clients can run side by side. Use that arrangement as a controlled pilot instead of treating the first launch as an irreversible migration.

  1. Inventory dependencies in classic Outlook. Record account types, mail profiles, PST archives, public folders, shared-mailbox delegation, rules, Quick Steps, voting buttons, macros, COM add-ins, custom forms, network-share files, offline requirements and VDI use.
  2. Start new Outlook with the Microsoft-provided toggle. Allow it to import the accounts and settings it offers, then confirm that each mailbox appears and can send and receive.
  3. Test one complete workday. Send and receive messages, use signatures and categories, run representative rules, open shared mailboxes, schedule meetings, access public folders and perform the searches users actually need.
  4. Test failure-sensitive workflows. Disconnect the network to evaluate offline behavior, import a copy of a PST, run every business-critical add-in or macro in classic, and verify delegated mailbox actions.
  5. Keep both clients during the evaluation. Microsoft’s side-by-side guidance allows a return to classic whenever a required workflow is unavailable in new Outlook.
  6. Document the decision by user group. A cloud-only user with no desktop automation may move to new Outlook, while an on-premises Exchange user or macro-dependent analyst may remain on classic.

Do not use a successful sign-in as the migration test. Account connectivity proves only that authentication and basic mail access work; it does not prove parity for PST archives, automation, delegation, public folders or offline work.

Automatic switching and administrator controls

Automatic-switch guidance is cohort-specific rather than a universal date. Microsoft said some personal-account users could be switched beginning in October 2024. Some small-business Current Channel users with a Business plan could be switched beginning in January 2025. That guidance did not automatically switch enterprise work or school accounts and unsupported accounts, and administrators can control eligibility.

For a managed environment, administrators should identify which users are eligible, communicate the fallback to classic, and set policy around pilots before broad deployment. A user who sees the new client should still be able to return to classic when a required feature is missing, subject to organizational controls.

Which Outlook should you choose?

Choose new Outlook when

  • Your accounts are Microsoft 365, Outlook.com, Hotmail, Gmail, Yahoo, iCloud, IMAP or POP and your work is primarily online mail and calendar use.
  • You want the newer pin, snooze, sweep, swipe, undo-send and schedule-send experiences.
  • You rely on meeting chat, native Teams integration, meeting recap, follow meetings or in-person events.
  • You do not depend on VBA, COM add-ins, MAPI, custom forms, network-share files, voting buttons or rules import/export.

Choose classic Outlook when

  • You connect to on-premises Exchange or an on-premises ADFS environment and need Exchange-specific behavior.
  • You use VBA macros, COM add-ins, the Outlook Object Model, MAPI, custom forms or network-share workflows.
  • You need full PST management, offline operation, public folders, search folders or multiple mail profiles.
  • You depend on delegated shared-mailbox behavior, voting buttons, comprehensive rules, rule import/export or mature Quick Steps.

Use both when your environment is mixed

Side-by-side use is often the least disruptive choice during transition. New Outlook can serve cloud-focused users and collaboration-heavy meeting workflows, while classic Outlook remains available for legacy automation, on-premises mailboxes and archive-dependent teams. Reassess only after each critical process has passed a real-user pilot.

Bottom line for common questions

  • Does new Outlook support Gmail? Yes. Gmail is available in both clients.
  • Can new Outlook use POP or IMAP? Yes. Both protocols are listed as available in both clients.
  • Does new Outlook support VBA macros or COM add-ins? No. Those are available in classic Outlook and not supported in new Outlook.
  • Can it open PST files? Only partially. New Outlook can import mail, calendar events, contacts and tasks, but classic retains broader PST capabilities.
  • Will on-premises Exchange work? Classic Outlook supports it. New Outlook is only partially available through IMAP, with functionality limited by that protocol.
  • Can classic and new Outlook run together? Yes. Microsoft documents side-by-side use and a toggle back to classic when a workflow is not available in new Outlook.

“If there are features or workflows you use that aren’t available in new Outlook as yet, you can toggle back to classic Outlook for Windows.” — Microsoft Support, Run new Outlook and classic Outlook side by side, accessed October 18, 2026.
