Outlook categories are named color labels you can apply to messages, calendar items, contacts, and other supported items to group and find related information. Create a small set of meaningful labels, apply them from the Categorize menu, then filter or sort by category when you need to retrieve something. The exact controls depend on whether you use new Outlook, classic Outlook, the web, or iOS.
What Outlook categories do—and what they do not do
A category gives an item a label that can help you recognize and group related work. Microsoft says categories can be used with email, calendar items, contacts, notes, and more, and an item can have multiple categories. They are useful for visual grouping and filtering, not as a promise of a particular productivity gain. See Microsoft’s Create and assign color categories in Outlook.
Categories are separate from folders. A category labels an item without requiring you to move it out of its current folder; folders provide a different organizing structure. You can use both when you want to preserve a folder arrangement while also grouping items across it. Microsoft explains folder creation in Create a folder or subfolder in Outlook.

Start with a few labels that help you decide what to do with an item or where to find it later. For example, you might use a project name, “Waiting for response,” or “Reference.” These are practical examples, not Microsoft-prescribed categories. Use names that make sense without their colors, since color alone may not be enough to identify a label in every view.
#1 Best Overall
Microsoft recommends renaming generic default labels to meaningful names, but does not specify an ideal number of categories or a required naming system. Keep only labels you expect to use consistently; a long list can make choosing a category slower.
Create and manage categories in your Outlook version
Microsoft documents different category-management paths for new Outlook and Outlook on the web versus classic Outlook. If the labels or menus below do not match what you see, use the matching version tab in Microsoft’s category instructions.
New Outlook and Outlook on the web
- To create a category while working with a message, open Categorize and choose New category.
- To manage category names and colors, open Settings > Accounts > Categories.
- To apply one to a message, select Categorize from the message list, reading pane, or open message, then choose the label.
- If the label you need is not among the recently used categories shown in the menu, open Manage categories to find the full list.
Classic Outlook for Windows
- Select an item, then open Categorize > All Categories to open the Color Categories dialog.
- Create a category, give it a name, and select a color. You can also assign a shortcut key in the dialog.
- To apply a category, select the item and choose it from Categorize.
Classic Outlook also offers Quick Click: choose a default category and apply it from the category column in supported table views. This is useful when you repeatedly assign the same label, but it depends on working in a view that displays that column.

Apply categories to calendar events and contacts
Calendar events
In Outlook, right-click an event and choose Categorize, or open the event and use Categorize on the event ribbon. The category list is shared across supported Outlook item types; repeat the action to add more than one category. Microsoft’s steps are in Assign a color category to a calendar event in Outlook.
A category on a meeting or request you receive changes how that item appears in your own Outlook view. Microsoft says it does not change the sender’s or other attendees’ Outlook views.
Contacts
In classic Outlook, you can assign and rename contact categories and sort a contact list by the Categories column. In new Outlook, assign a category from the contact’s More options menu. Microsoft provides steps in Organize your contacts with color categories and Manage contacts in Outlook.

Use categories to find items again
Applying labels is most useful when you can retrieve items by them. Outlook supports filtering items by category; the available controls vary by view and version. Start with Microsoft’s Filter items by category instructions, then use the category filter in the relevant mail, calendar, People, or task view.
For contacts in classic Outlook, sorting by the Categories column can bring similarly labeled contacts together. In other views, filter by category when you want a focused list rather than changing the item’s folder or other details.

Understand categories, flags, and Microsoft To Do
A category is a grouping label; a flag marks an item for follow-up. Outlook flags are not colored by design, but you can put a category on a flagged item to add a visible grouping label. Microsoft explains this distinction in Add a color to a flag.
Category sync with Microsoft To Do has a specific scope: Microsoft documents it for flagged email in the Flagged email list, and the email must be both flagged and categorized. A category on an arbitrary email does not mean it automatically becomes a categorized To Do task. See Manage tasks with To Do in Outlook.
Why categories may be missing or behave differently
- You use an IMAP email account: Microsoft’s category guide says IMAP account types do not support assigning categories. This limitation is specific to the documented account type; it should not be generalized to every Outlook account or mail protocol.
- You are following instructions for a different Outlook version: New Outlook and web category management use Settings > Accounts > Categories; classic Outlook uses Categorize > All Categories. Follow the matching version instructions.
- You are using Outlook for iOS with a calendar event: Outlook for iOS can display category colors already applied to Microsoft 365 calendar events in Outlook for Windows, Mac, or the web, but the iOS app does not support applying or editing those event categories. Microsoft details this in Calendar Category colors.
- You expect other meeting attendees to see your category: Categories on a received meeting are for your own Outlook view and do not change other people’s views.
Microsoft’s interface guidance is version-specific and can change. For current steps, use its relevant category page for mail and general category management or calendar categories and reminders.
