Short answer: LibreOffice, ONLYOFFICE, and self-hosted Nextcloud Office or Collabora Online can reduce dependence on a vendor cloud and support Microsoft file formats, but they do not automatically match Microsoft 365 in every feature or workflow. Microsoft 365 is usually the safer choice for teams built around Microsoft-specific collaboration, templates, and automation. An open-source stack is more compelling when local or self-hosted operation, deployment control, and independence from a single cloud matter most.

“Open source” describes licensing and access to source code. It does not, by itself, tell you where documents are stored, who administers the server, which connected features process document content, or how well a complex file will survive conversion. Those questions must be evaluated separately.

What you are actually comparing

These are not two single products with identical boundaries. Microsoft 365 combines desktop and web applications with cloud storage, identity, sharing, administration, and connected services. The open-source side is a set of choices:

  • LibreOffice: a free, open-source desktop suite centered on Writer, Calc, and Impress. It is designed for local work and can open and save Microsoft Office formats.
  • ONLYOFFICE: desktop editors that can work offline, plus browser-based editors that can be integrated with services such as Nextcloud. Community builds are available for self-hosting, alongside commercial offerings.
  • Nextcloud Office and Collabora Online: browser collaboration components used with a Nextcloud deployment. They require an office document server and an organization capable of operating the surrounding infrastructure.

That means the fair comparison is about operating models as much as application features: local desktop, self-hosted collaboration, or vendor-hosted cloud. A locally installed suite can keep work on a computer, but files may still leave it through synchronization, email, plug-ins, backups, or a separately hosted collaboration service. Conversely, a self-hosted service can provide strong control over location and administration while still requiring disciplined security and maintenance.

The practical decision is therefore driven by four questions: how much work must happen offline, how tightly documents depend on Microsoft-specific behavior, who will run identity and storage, and what privacy or residency requirements apply to the exact plan and region.

Feature and operating-model comparison

Area Open-source options Microsoft 365 What to verify
Offline work LibreOffice is desktop software. ONLYOFFICE says its desktop editors work offline. Applications are combined with cloud services; exact offline behavior depends on the application, account, and configuration. Whether users must create and edit documents during an internet outage, and how files are synchronized afterward.
Browser collaboration Nextcloud Office, Collabora Online, and ONLYOFFICE can provide browser editing, but require deployment and service integration. Cloud-connected collaboration is built into the Microsoft service model. Who hosts the document server, identity system, sharing links, backups, and updates.
Microsoft formats LibreOffice reads and writes DOCX, XLSX, and PPTX. ONLYOFFICE uses OOXML as the basis of its cited Nextcloud integration and converts other formats for editing. Open XML is the default format for Word, Excel, and PowerPoint. Rendering, formulas, fonts, macros, charts, fields, and revision behavior in representative files.
Privacy control Local use and self-hosting can give an organization control over the machine or server environment, but the organization must secure and operate it. Microsoft documents encryption, data-residency choices, and enterprise privacy controls; essential service data remains required for some features. Storage and processing geography, connected experiences, administrator access, retention, encryption-key control, and the exact plan.
Licensing and cost LibreOffice is free software under MPL 2.0 with other licenses also present. ONLYOFFICE lists free and commercial options. Self-hosting has infrastructure and labor costs. Commercial plans differ in included applications, storage, support, and controls. Plan pricing is not uniform. Compare the complete operating cost, not only a license fee.

Can LibreOffice open Microsoft Office files?

Yes. LibreOffice Help states: “LibreOffice can open and save documents in the Microsoft Office file formats, including Microsoft Office Open XML formats.” In practice, Writer maps to Word documents such as DOC and DOCX, Calc maps to Excel workbooks such as XLS and XLSX, and Impress maps to PowerPoint presentations such as PPT and PPTX.

LibreOffice also includes a document converter for converting folders of Microsoft files into OpenDocument formats. That is useful for migration projects, but conversion is not proof that a file will behave identically in both suites. A format records more than visible text: it can contain layout rules, fields, formulas, chart objects, fonts, embedded media, accessibility metadata, and application-specific behavior.

What usually transfers well

  • Plain text documents, headings, ordinary tables, and common paragraph formatting.
  • Basic spreadsheets with standard formulas, cell formatting, and uncomplicated charts.
  • Presentations using common slide layouts, text boxes, and ordinary images.

Where differences appear

  • Complex page layouts, text wrapping, floating objects, section breaks, and specialized fonts.
  • Advanced spreadsheet features, external links, unusual formulas, pivot behavior, and chart formatting.
  • Presentation transitions, embedded media, SmartArt-like objects, and theme-specific effects.
  • Fields, document controls, add-ins, and features implemented differently by each application.
  • Macros and automation code.

Microsoft’s file-format guidance explains that applications may read only portions of another application’s format. It also warns that unsupported or differently implemented features can change how a file works or cause content loss when saved in another format. Microsoft recommends Open XML as the default unless there is a specific reason to choose another format; that means DOCX, XLSX, and PPTX are generally the least surprising exchange formats for Microsoft-centered teams.

Is LibreOffice compatible with Microsoft 365?

It is compatible at the file-exchange level, not identical at the service or feature level. A LibreOffice user can open, edit, and save many files that Microsoft 365 users create. The resulting file can then be returned to Word, Excel, or PowerPoint. Compatibility becomes less predictable when the workflow depends on Microsoft-only services, application behavior, or automation.

Compatibility boundaries to explain to a team

  • File format: DOCX, XLSX, and PPTX are exchange formats, not a guarantee of identical rendering.
  • Application behavior: the same file can paginate differently, recalculate differently, or display a chart or object differently.
  • Cloud features: Microsoft 365 sharing, simultaneous editing, comments, version history, identity, and policy controls are service functions. Opening the file in LibreOffice does not reproduce those services.
  • Automation: a document can open correctly while its macros or add-ins fail.

For a simple report or worksheet, this distinction may never matter. For legal templates, financial models, regulated forms, branded presentations, or documents edited by many parties, it should be treated as a testing requirement.

Macros are the clearest compatibility risk

LibreOffice’s documentation is explicit: “With a few exceptions, Microsoft Office and LibreOffice cannot run the same macro code.” Microsoft Office commonly uses Visual Basic for Applications (VBA), while LibreOffice uses Basic based on the LibreOffice API. Some Excel VBA scripts may run when the relevant feature is enabled, but users may need to edit macros to preserve equivalent functionality.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A macro-heavy workflow should therefore be classified as a software-migration project, not a file-opening exercise. Test the complete task, including buttons, data imports, external connections, protected sheets, generated reports, and error handling. Do not assume that a workbook that opens without a warning is operationally compatible.

Macro test checklist

  1. Collect representative files, including the largest and most complex examples rather than a blank template.
  2. Record every automated action a user performs, such as importing data, refreshing a query, generating a PDF, or sending an email.
  3. Open a copy in each candidate suite and run the workflow with macros disabled first.
  4. Enable macros only according to your organization’s security policy, then test each action and compare outputs.
  5. Inspect formulas, named ranges, charts, print areas, and exported files against the original result.
  6. Decide whether to rewrite the automation, retain Microsoft applications for that workflow, or redesign the process.

Open XML and OpenDocument: choose a working format deliberately

Open XML is Microsoft Office’s default format family: DOCX, XLSX, and PPTX. OpenDocument formats are the native formats associated with LibreOffice and other applications that implement the ODF standard. Microsoft Office supports ODF, but Microsoft documents feature caveats where implementations differ.

Use Open XML when the receiving organization, template, or automation is built around Microsoft Office. Use OpenDocument when your group controls the workflow and wants an open standard as its primary working format. In either case, establish a “master format” policy. Repeatedly opening and saving the same file in alternating formats increases the chance of layout or feature changes.

A practical exchange policy

  • Keep an editable master in the format required by the workflow owner.
  • Export a PDF for fixed-layout review when recipients do not need to edit.
  • Never use a format conversion as a substitute for checking formulas, pagination, accessibility, and embedded objects.
  • For a shared template, document the supported suite, fonts, macros, and version assumptions beside the template.

How online collaboration works in open-source deployments

Open-source desktop software and browser collaboration are different products. Nextcloud’s administrator manual lists Nextcloud Office and Collabora Online as collaborative editing options and requires an office document server. The integration guide for ONLYOFFICE with Nextcloud likewise requires the services to be reachable from one another and from clients.

That architecture introduces components that a vendor-hosted suite normally manages for you: the web application, document server, reverse proxy, TLS certificates, identity integration, storage, backups, monitoring, upgrades, and capacity planning. A browser editor may feel like a cloud office suite to users, but the organization remains responsible for the service boundary when it self-hosts.

Deployment questions before promising collaboration

  • Can every client reach the document server over the required network paths?
  • Are authentication, group membership, sharing links, and revocation integrated with the organization’s identity system?
  • Which component stores the source file, temporary conversion data, thumbnails, and revision history?
  • How are updates tested, and what is the rollback plan if an upgrade changes rendering?
  • Are backups restored regularly, and can the organization recover a single file without restoring an entire server?
  • How will simultaneous edits, comments, tracked changes, and conflict recovery be supported?

Is Microsoft 365 more private than open-source office software?

There is no universal yes-or-no answer. Privacy depends on the operating model and configuration, not on the “open source” label alone.

What local or self-hosted operation can control

A local LibreOffice installation can support workflows in which documents remain on the user’s device, provided the surrounding workflow does not upload them through synchronization, email, extensions, backups, or another service. A self-hosted ONLYOFFICE or Nextcloud deployment can let an organization choose its server location, network controls, administrators, retention rules, and backup process.

That control comes with obligations. The organization must patch the operating system and applications, protect administrator accounts, configure encryption and TLS, segment networks, monitor logs, test backups, manage malware defenses, and secure every document-processing component. A poorly administered self-hosted server can be less secure than a well-managed hosted service.

What Microsoft documents about its service

Microsoft’s enterprise documentation describes encryption at rest and in transit, data-residency choices, and limited approved access by Microsoft personnel for service operations. Storage geography depends on the tenant’s default geography and service availability. These are Microsoft’s descriptions of its commercial service controls, not an independent guarantee that every plan, region, or organization meets a particular requirement.

Microsoft also explains that connected experiences send and process required service data to deliver features. Enterprise privacy controls can manage certain connected experiences, but required data for essential services cannot be disabled. Microsoft gives PowerPoint Designer as an example in which text or images in a slide may be processed to produce the requested feature.

The privacy questions that matter more than slogans

  1. Is the suite local, self-hosted, or vendor-hosted for this specific workflow?
  2. Where are documents, temporary files, backups, and logs stored and processed?
  3. Which features transmit document content, and can optional connected experiences be disabled?
  4. Who controls administrator accounts, encryption keys, retention, and legal holds?
  5. Which personnel or services can access content for support or operations?
  6. Which controls are included in the exact plan and available in the relevant geography?
  7. Who is accountable for patching, incident response, backup testing, and recovery?

Document complexity should drive the decision

Document profile Likely approach Reason
Letters, notes, basic reports, simple tables LibreOffice or another desktop suite can be a practical primary tool. These files use common features with fewer application-specific dependencies.
Routine spreadsheets with standard formulas Either side may work; test the actual formulas and charts. Visible compatibility can be good, but calculation and chart differences still matter.
Brand-sensitive presentations Choose the suite that owns the template, fonts, and review process. Theme, layout, media, and pagination changes are costly at approval time.
Macro-enabled workbooks or automated forms Retain the environment that runs the automation, or budget for a rewrite. Macro languages and APIs are not generally interchangeable.
Large collaborative repositories Compare Microsoft 365 with a fully operated Nextcloud/office-server stack. Identity, sharing, revision history, capacity, and recovery become system-level concerns.
Strict residency or deployment-control requirements Evaluate self-hosting and Microsoft’s available geography and controls against the policy. Neither label alone proves compliance or a particular data location.

Run a representative-document pilot

Official documentation does not provide a universal compatibility percentage, privacy ranking, or feature-parity score. The most defensible choice is a controlled pilot using your own documents and collaboration practices.

  1. Inventory workflows: list the documents people exchange, the applications used, macros, add-ins, fonts, external links, comments, tracked changes, and approval steps.
  2. Select samples: include ordinary files and the edge cases that cause business risk: long reports, complex workbooks, branded decks, forms, and macro-enabled files.
  3. Define acceptance tests: specify required rendering, print output, formulas, accessibility checks, PDF export, comments, version history, and sharing behavior.
  4. Test round trips: open and save files in each candidate suite, then reopen them in the original environment. Compare layout, formulas, objects, metadata, and automation results.
  5. Test collaboration: have multiple users edit, comment, restore versions, revoke access, and recover from a deliberately deleted copy.
  6. Measure operations: document setup time, update procedures, backup restoration, account lifecycle, support workload, and outage recovery.
  7. Record exceptions: identify files that must remain in Microsoft applications or require conversion, redesign, or a dedicated owner.
  8. Make a mixed decision if needed: a desktop open-source suite for ordinary work can coexist with Microsoft applications for macro-heavy or highly specialized workflows.

Common failure modes and fixes

“The file opened, so it is compatible.”

Opening proves only that the application could parse some of the file. Inspect pagination, formulas, charts, fields, fonts, media, and print output before approving a workflow.

“A browser editor removes deployment work.”

Browser editing still requires a document server and reliable connectivity between the office service, storage, identity system, and clients. Test those paths before rollout.

“ODF or OOXML will preserve every feature.”

Neither format erases differences in application behavior. Keep a master format, avoid unnecessary round trips, and verify complex files after every conversion.

“Cloud encryption means nobody can process content.”

Encryption in transit and at rest protects data during storage and transport, but connected features may still process required service data. Review the actual privacy controls and feature settings for the plan.

Which choice fits which organization?

Choose a desktop open-source suite first when

  • Most work is individual and must continue offline.
  • Documents use common features rather than macros or proprietary add-ins.
  • You want local control and can define a clear file-exchange policy.
  • Your team can test the templates and formats it receives from Microsoft users.

Choose a self-hosted collaboration stack when

  • You need browser editing but require control over hosting location and administration.
  • You have staff or a service partner able to run identity, storage, document servers, updates, monitoring, and backups.
  • Your security and residency policy justifies the operational burden.

Choose Microsoft 365 when

  • Your organization depends on Microsoft-specific templates, macros, add-ins, or cloud workflows.
  • External partners expect native Microsoft formats and collaboration behavior.
  • You prefer a vendor-managed service and can accept its data-processing, residency, and administrative model.

Use a mixed environment when

Ordinary documents can be handled locally or with an open-source editor while a smaller set of high-risk workbooks, regulated templates, or automation-heavy processes stays in the environment that supports it reliably. Define which users, files, and features belong to each side; an undefined mix creates more conversion problems than it solves.

Bottom line for a procurement decision

Open-source office software can deliver capable local editing, Microsoft-format exchange, and—when properly operated—self-hosted collaboration. Its advantages are control over deployment and the option to work without a vendor cloud. Its trade-offs are conversion differences, macro incompatibility, and the expertise required to run collaborative infrastructure.

Microsoft 365 offers a tightly integrated commercial cloud model with documented encryption, residency options, and enterprise controls, but connected features process required service data and the service remains subject to its plan, region, and administrative model. No source establishes a universal winner for privacy or compatibility. Base the decision on a representative-document pilot, explicit privacy boundaries, and the operational capacity of the people who will support the system.
