Choose File History or Time Machine for the simplest personal-file recovery on one operating system. Choose restic, BorgBackup, or Kopia when you need cross-platform coverage, encrypted repositories, deduplication, cloud or self-hosted destinations, or scripted policies. The trade-off is operational: open-source tools give you more control but make you responsible for scheduling, retention, credentials, repository maintenance, and restore testing.

File History and Time Machine are version-history systems rather than complete disaster-recovery images. Microsoft distinguishes personal-file backup from recovery media, while Apple documents Time Machine as a way to restore some or all files to the same or another Mac. Your decision therefore depends on the data you need to recover, the computers you use, and how much backup administration you are willing to perform.

Quick decision: which backup approach fits?

If you need… Best starting point Why
Simple personal-file version history on Windows Windows File History It is integrated into Windows, copies personal files to an external or network destination, and provides a browse-and-restore history.
Simple automatic backup history on a Mac macOS Time Machine It backs up files, apps, music, photos, email, and documents with a platform-integrated restore experience.
One workflow for Windows, macOS, and Linux or BSD Restic or Kopia Both support multiple operating systems and repository destinations; Kopia also offers an official GUI.
Long-lived archives accessed through local, USB, or SSH repositories BorgBackup It combines encrypted, compressed archives with content-defined chunk deduplication and mountable archive browsing.
Encrypted off-site copies with policy-based retention Kopia or restic Kopia provides schedules, exclusions, retention, compression, and many cloud backends; restic provides encrypted snapshots and broad backend support.
Whole-computer disaster recovery Do not rely on File History or Time Machine alone These tools focus on files and history. Add a separate system-image or recovery strategy appropriate to your operating system.

What Windows File History actually backs up

Microsoft describes File History as a Windows feature that protects personal files and folders from accidental loss or damage. It periodically scans for changes and saves copies to an external drive or a network location. You can browse earlier versions and restore a file or folder when needed. The default libraries include Documents, Pictures, Videos, and Music; to include another folder, add it to a Windows library first. See Microsoft’s current Windows 10/11 guidance at Backup and restore with File History.

What File History is good at

  • Recovering a document after an accidental edit or deletion.
  • Keeping a rolling history on a locally attached disk or network destination.
  • Providing a familiar Windows restore interface without repository design decisions.

What it does not establish

File History should not be treated as a complete image-based disaster-recovery system. Microsoft’s broader backup, restore, and recovery guidance separates personal-data backup from recovery media and system-repair features. A recovery drive does not contain your personal files, so creating one does not replace File History or another data-backup method.

Basic setup and restore path

  1. Connect an external drive or make a network location available.
  2. Open the Windows File History settings or Control Panel entry, select the destination, and turn File History on.
  3. Review the included libraries and add any folders that are not already in a library.
  4. To recover an earlier version, open File History’s restore view, browse the timeline, select the file or folder, and restore it to its original or chosen location.

Keep the destination connected or reachable often enough for the scan schedule to capture changes. A disconnected disk cannot receive new versions, and a network location that is unavailable has the same practical effect.

What macOS Time Machine actually backs up

Apple says Time Machine automatically backs up files including apps, music, photos, email, and documents to a USB drive or another external storage device. Apple recommends a backup disk with at least twice the Mac’s storage capacity. After the initial backup, Time Machine copies only files changed since the previous backup. Its documented retention is hourly backups for the past 24 hours, daily backups for the past month, and weekly backups for all previous months; when the disk fills, the oldest backups are deleted. Details are in Apple’s Back up your Mac with Time Machine guide.

Time Machine’s retention behavior

Age of backup Documented cadence
Previous 24 hours Hourly backups
Previous month Daily backups
Earlier months Weekly backups
When the disk is full The oldest backups are removed

Basic setup and restore path

  1. Connect a suitably sized external storage device. For a Mac with 1 TB of storage, Apple’s two-times guideline points to at least a 2 TB backup disk; adjust for the data you actually retain.
  2. Open the Mac’s Time Machine settings, choose the backup disk, and enable automatic backups. You can enable the “Encrypt Backup” option during setup when offered.
  3. Leave the disk connected, or keep the configured network destination available, so scheduled backups can run.
  4. Enter Time Machine from the file browser, move through the timeline, select the required version, and restore it. Apple also documents restoring some or all files to the same Mac or another Mac.

Time Machine’s automatic retention is convenient, but it is still bounded by the capacity of its destination. A larger disk preserves a longer practical history before old snapshots are removed.

What the open-source options add

Restic: portable encrypted snapshots

Restic runs on Linux, BSD, macOS, and Windows. It can write to self-hosted or online storage, transfers only parts that changed, uses cryptography, supports verification, and represents backups as snapshots. Its documentation states that identical file content is stored only once in a repository. On Windows, unchanged-file detection uses path, size, and modification time; use the documented --force option when you need to force a rescan. The detailed backup behavior is documented at restic backup documentation.

Unlike a platform wizard, it leaves scheduling, retention rules, repository credentials, and restore procedures for you to design and maintain.

BorgBackup: efficient archives for Unix-like workflows

BorgBackup is a free, open-source archiver that provides space-efficient, encrypted, compressed backups. It uses content-defined chunks and stores identical chunks only once across files, machines, and years of history. Borg supports authenticated AES encryption, selectable compression, mountable archives for browsing older versions, and repositories stored locally, on USB media, or through SSH.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The Borg project lists Borg 1.4.5 as its stable series, released July 19, 2026, and warns that Borg 2.0 beta is for testing rather than production. Borg’s own positioning is more centered on Unix-like systems than on native Windows workflows, so a mixed Windows fleet should verify the operational experience before standardizing on it.

Kopia: GUI, policies, and many repository targets

Kopia creates encrypted snapshots in local, network, or cloud repositories. Snapshots are incremental, content-addressable, and deduplicated. Policies control schedules, exclusions, retention, and compression. Supported destinations include S3-compatible storage, Azure Blob, Backblaze B2, Google Cloud Storage, WebDAV, SFTP, and selected rclone backends.

Kopia offers selective restore, mount-based browsing, consistency checks, error correction, a command-line interface, an official GUI, and an optional server mode for centralized management. Its documentation states that data is encrypted before it leaves your machine with user-controlled end-to-end keys. The repository password is critical: Kopia says a forgotten password cannot be recovered, so store it in a durable password-management or key-escrow process before you need a restore.

How to choose by real-world scenario

You use only Windows and mainly need previous file versions

Start with File History. It directly addresses accidental deletion, unwanted edits, and rolling personal-file recovery. Add folders to a library if they are outside the defaults, and use a destination that remains available. Move to restic or Kopia when you need encrypted off-site copies, cloud repositories, cross-platform clients, or more deliberate retention policies.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You use only Macs and want the least setup

Use Time Machine with a disk sized according to your data and Apple’s at-least-two-times capacity guidance. Its hourly, daily, and weekly history is easy to understand, and its restore flow is integrated into macOS. Choose another tool when you need a repository shared with non-Mac systems, client-side encryption with portable keys, or destinations beyond the storage options supported by your Time Machine configuration.

You administer Windows, macOS, and Linux together

Use a cross-platform repository tool rather than maintaining separate platform-specific histories. Restic is a compact, script-friendly option. Kopia is more approachable when a GUI, policy controls, and optional centralized server mode matter. Borg can be excellent for Unix-like systems and SSH repositories, but validate Windows support and operational procedures before adopting it for a mixed fleet.

You need encrypted off-site copies

Use a tool with encryption before data leaves the device, then place the repository on a second location such as a remote server or supported cloud backend. Kopia explicitly provides user-controlled end-to-end encryption; restic and Borg document cryptographic repository designs. The remote copy protects against theft, fire, ransomware affecting the local computer, and local-disk failure, but only if credentials and restore instructions remain available.

You need long retention without storing every duplicate byte

Look at deduplicating repository tools. Restic stores identical content once, Borg deduplicates content-defined chunks across files, machines, and years, and Kopia uses content-addressable deduplication. The amount saved depends on how much data repeats; no cited source establishes a universal reduction percentage.

Storage: do you need an external hard drive?

For File History, Microsoft documents an external drive or network location as the destination. For Time Machine, Apple documents a USB drive or another external storage device and recommends at least twice the Mac’s storage capacity. That makes a phrase such as “2TB external hard drive for backups” a capacity category, not a guarantee that 2 TB suits every computer: a Mac with more than 1 TB of retained data, or a user who wants long history, needs more room.

Local drive

  • Fast nearby restores and simple physical ownership.
  • Vulnerable to theft, fire, power events, and malware that can reach attached storage.
  • Requires a connection schedule that allows backups to run.

Network or self-hosted repository

  • Useful for several computers and for keeping the backup device away from the desk.
  • Depends on network availability, authentication, and storage administration.
  • Restic, Borg, and Kopia provide repository-oriented workflows suited to this model.

Cloud or online repository

  • Provides geographic separation from the source computer.
  • Requires an internet connection, account or endpoint management, and enough capacity for retained snapshots.
  • Kopia documents S3-compatible, Azure Blob, Backblaze B2, Google Cloud Storage, WebDAV, SFTP, and selected rclone destinations; restic also supports self-hosted and online storage.

A resilient plan commonly keeps at least one copy disconnected or otherwise isolated from everyday credentials. The exact number of copies and locations should reflect the value of the data and the consequences of downtime.

Encryption, passwords, and recoverability

Encryption changes the failure mode: an attacker or lost disk should not reveal the files, but a lost key or repository password can make a valid backup unusable. Time Machine can offer “Encrypt Backup” during setup. Restic and Borg include cryptographic protection in their repository designs. Kopia makes end-to-end encryption and user-controlled keys central to its model.

Keep credentials separate from the backup device

  • Record the repository password or encryption key in a password manager that you can access during a device replacement.
  • Maintain an offline recovery copy for a disaster that affects your primary computer and its online accounts.
  • Document which repository belongs to which computer and which destination credentials it requires.
  • Test that a second trusted person can follow the recovery instructions when appropriate.

Do not assume that a provider can reset an encryption password. Kopia explicitly states that a forgotten repository password cannot be recovered.

Restore testing and verification

A backup job that reports success is not proof that the files can be restored. Test representative files and, for a critical system, a larger recovery procedure on a schedule that matches your risk.

Minimum practical test

  1. Select several files of different types, including a document, photograph, project folder, and a file that was changed recently.
  2. Restore copies to a separate temporary directory or spare computer rather than overwriting the originals.
  3. Open the restored files and check that names, dates, permissions where relevant, and expected contents are present.
  4. Record the restore date, repository or disk used, and any corrective action.

Repository checks

Restic documents verification functions, and Kopia documents consistency checks and error correction. Run those checks according to each project’s documentation, and investigate failures rather than deleting the only copy of a repository. Borg users should also periodically mount or otherwise browse archives to confirm that the expected history is accessible.

Common failure modes and fixes

The backup destination is often offline

Reconnect the external disk or restore network access, then confirm that a new backup actually runs. A history cannot include changes made while its destination was unavailable unless the tool later captures them.

A folder is missing from File History

Check whether it belongs to one of the default libraries. If not, add the folder to a Windows library and confirm that File History is still enabled.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Time Machine removes older history

This is expected when the destination fills: Apple says the oldest backups are deleted. Increase the disk capacity, reduce what is retained, or add another backup approach if the required history exceeds the available space.

Restic skips files you expected to be rescanned

On Windows, restic’s unchanged-file detection uses path, size, and modification time. Review those attributes and use the documented --force option when a full rescan is required.

A repository password is unavailable

Stop assuming the storage provider can unlock it. Check your password manager, offline recovery record, and documented key-escrow process. For Kopia, the documented position is that a forgotten repository password cannot be recovered.

The backup exists but the restore process is unclear

Write a short recovery runbook while the computer and credentials still work. Include the destination, software and version, repository name, password location, restore target, and the order in which files should be recovered.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A practical backup plan

  1. List the folders and applications whose loss would matter, rather than assuming every default location contains everything important.
  2. Choose the simplest tool that meets your platform and recovery requirements: File History for Windows file history, Time Machine for Mac history, or restic, Borg, or Kopia for cross-platform and repository-centric needs.
  3. Choose a destination with enough capacity for the source data and desired history. For Time Machine, start with Apple’s at-least-two-times Mac-capacity guidance.
  4. Enable encryption where available and store the key or password separately from the backup media.
  5. Configure exclusions and retention deliberately. A backup that fills its destination or includes unnecessary temporary data is harder to manage.
  6. Keep at least one copy in a different physical location when the data is important enough to justify off-site protection.
  7. Run verification or consistency checks and perform real test restores.
  8. Update the runbook whenever you change computers, destinations, repository passwords, or backup software.
